Difficulty in understanding how to provide certain users with access to certain folders only

Thanks for the great feedback on the security and access we provide, along with daily email notifications which not many providers offer. As for providing permissions, we have folder level security as well as a View As tool that allows you to see through that groups perspective on what they have access to. If you are unsure I always recommend reaching out to our support team who is available 24/7 for any user that has access to the data room.

As for creating sub folders, we do offer an excel folder structure document that can be downloaded from the data room. This can be customized to create an entire folder structure for you and then uploaded directly into the data room mirroring set structure. Your Account Manager or our support team would be more then happy to walk you through how this is done.

The upload time sometimes can take longer than wanted.

Great to hear your experience with the ease of use and intuitiveness of the platform. As for uploads, without knowing how many GBs and files you were uploading it is difficult to better understand the needs. We offer full 24/7 support to any user involved in the data room, therefore if you have any issues such as upload speed they can do some tests on your behave to enhance this experience.

The security hands down is the most attractive feature of the product.

I cannot download files with watermark based on a specific user's access.

Thanks for the feedback. As for your issue downloading files with a watermark, there could be a couple instances of why this is happening but without further details I can only speculate. For security reasons, only users themselves can download files with watermark as the watermark is specific to each user. However, if you don't see an option to download files outside of our view as feature, please ensure download is enabled as both office & PDF files can be downloaded with watermarks. The data room is very user friendly and easy to use. We also love the data security features.

Many of the data room email invites go to our clients' spam folder.

Thanks for the feedback on how user friendly the platform is as that is one of our main competitive advantages within the data room space. Since our emails that are sent out for notifications are having spam issues, we also have the ability to in app message within the platform, as well as utilizing our Q&A function can users ask and answer questions.

I really like how easy to use and convenient Firmex is for managing the documents I need with the security that we need.

I like the security of this software. I feel that our corporate documents are very safe here. These are sensitive documents, so that is important.

I do not like the plain looking interface. More customer friendly GUI would be nice.

Thanks for the feedback on the level of security our platform provides and that you can be assured your sensitive material is safe which is the upmost importance when selecting a VDR. As for our interface, we are currently going through a platform update of which will be rolled out monthly leading into 2023. We hope that the new interface is more to your liking and up to date with the current trends.

Some work-arounds were needed for our particular needs; some users will never learn how to use the software due to infrequency of use (this isn't a software issue per se).

The security of this product is top-notch. Also, every time there has been a bug the IT team has been right on it with complete updates. The ability to view what users have viewed has also helped us multiple times.

The invite email going to potential buyers comes from Firmex. Even with the heads up often, it ends up in their spam or they claim they don't receive it at all.

The ease of use, ability to create the data room and the Q&A function built into the tool to manage all of the questions and answers related to the deal itself. Very dynamic and it allows you to have multiple security controls on documents.

The storage limit provided as part of the initial package. It would have been nice to get more storage space for the price paid.

As for the storage, we give you the flexibility to take information down and not be billed within a certain time frame. The initial set up of a new matter is somewhat cumbersome. However, we don't have any substantial cons.

Honestly the management of users and permissioning is really easy. Also the interface is intuitive. Intralinks is GARBAGE. I’m currently using intralinks on another deal it is impossible to permission users effectively.

I think maybe you could have alternative pricing schemes for deals that get delayed or have a regulatory component. This happened to us and our vdr needed to be used for much longer than originally intended. In any case more pricing options could have been useful.

The ability to create various security levels is vital to the value of this platform. The interface is user friendly which makes it essential when dealing with international clients. Lastly, we have not had any downtime with Firmex which has made the ability to share documents in real time remain seamless.

I would say the ability to have a template email invitation. Maybe it is there but I have not seen it.

Our invitation emails are standardized to include the basic information that a user needs to know when logging in. However, you do have the ability to add by copying and pasting a predesigned template to this invitation email. It isn't automated if that is what you are looking for but is a work around that may help. Reach out to myself or our 24/7 support, we'd be happy to show you how to set it up.

The functionality is perfect for running a VDR to share documents and files with many parties while controlling the document flow and accessibility of any party on any document. The product is very competitively priced compared to a lot of the service providers out there. Customer service is very prompt and happy to walk you through any issue, small or large. Firmex is also continually improving its services.

Security functionality is limited once the files have been downloaded by another party (if you allow them to download). Once a party bulk downloads you lose the ability to track their access and usage of documents and delete the document if you would like to remove their access from the information completely.

It is easy to use and a great tool for my company to help share documents. The customer service is excellent if there is ever a problem. The 24/7 customer service is a great security blanket to have knowing that a solution to any problem is available any time of day.

Renaming and organizing documents once they are already in the data room can be a time consuming task at times.

Thanks for the feedback on how easy and intuitive the platform is based on your user experience. As for renaming we have the ability to do this where other providers do not, therefore you have to delete the content and rename locally before reuploading. We have the ability to bulk move documents within a folder into another folder, as well as copy/move from data room to data room.

I like that our clients don't need any special training or hand holding to use the software. Once they login it is very simple to upload/download documents and understand without special training. I also really like the different levels of security, as we often have multiple clients with different levels of access all in the same document room.

I can't think of anything at the moment that I'm dissatisfied with.

The security features that administrators are able to apply are also quite useful to maintain confidentiality.Management and user interface is clean and logical. It is easy for newer users to get used to which is useful for us as we are often working with many different clients.The reporting feature is also quite useful in managing users and documents.

Frequent login prompt is a downside. Having the ability to set the duration before being automatically logged out would be helpful.

I am able to create different projects and assign users as needed & push notifications specific to that project with control over when to schedule notifications. Financial and other sensitive information stored in Firmex make it safe and easy to share and access without need to be on Companies network or shared folder. The storage combinations and security options are the plus in Firmex.

Since we started using Firmex we did not come across any technical difficulties or any error which needs fixing. the performance for our use is flawless.

I think the data analytics are very helpful in identifying usability. Determining who is accessing documentation has been helpful to the organization.

No folders and categorizing documents is not a function. When the portal is open it's just a dump of all documents, it's not functional or easy to use in this manor.
