Dave: I right click and I go “File Usage”. I can run a report on every single file. And I am going to click on this “Includes more dash“, and I am going to show you why. This can be done on any particular file that you choose you get this report. Now what does this say? Effectively says that on the “Downloaded” side here, there were 13 people that had access to this file. Only 4 of the people that had access actually downloaded it. Interestingly enough, only 2 of those 4 actually opened that file. Now you are thinking who are the culprits who did not actually bother to download the information? Now here are all the culprits.

Jimmy: Okay.

Dave: And we can see the ones who have not actually opened it. And we go down to this order team track and we can actually see that for example, Duncan, has first downloaded on this date and time. And then, subsequently other times. So this now gives the ability the Chairman of the Board or an executive at a company or somebody that is in leadership, can send information to all the organization and then check to see if people are actually reading the information. So famous words at a meeting with the Chairman says everybody read the financial. We all nod. And we say we have. When effectively I have not. And now he can actually check to see if I have actually done the homework before I get to the meeting or not.

Now this increases the efficiency level of organizations. Not because there is policing thing. But because people now know that they are checking to see if you are actually reading the information.

Jimmy: Right.

Dave: Before now, I see lots of organizations with their employees turning up to meetings and fully understanding what is necessary for them to actually do before they turn up. And because they think they are being checked all the time, the efficiency levels go up. But it is important, for example, if you are doing a Health and Safety memo to the whole organization, which really needs to be read by everybody. You can be picking up the phone and say, “Hey Dave, I know you are busy, but it would be great if you could read this memo because it is part of our policy of Health and Safety that you read it.” And so, there are some good ways to be able to use this report. But effectively if you are running meetings or you are running an organization and you really do need to know if your staff are actually looking at the information, then this is a fantastic tool.
