Pike13 Features In Depth

Scheduling Client Appointments

Pike13 offers tools for scheduling classes, workshops, and private appointments online. Not only can clients book these services through the web-based platform, but they can also change their own reservations and make payments, as well.

Before clients can begin scheduling classes at your business, you need to enter those classes into Pike13’s scheduling management system, including the name of the instructor, the time when the class is scheduled to take place, and the cost for each class. Clients who have purchased packages or plans can then make appointments through the integrated cloud-based system.

Managing Client Relationships

Client profiles give staff members a snapshot of each customer relationship. In most cases, client profiles include basic contact information, along with birth dates, profile photos, payment methods, and sign-in codes. You can also track and store liability waivers and release forms within their client profile modules.

The next time a client signs up for services at your business, create a new client profile to begin the relationship. In addition to adding profile photos, which help staff put a face to the name when checking clients into classes, you can also add public and private notes for staff to review.

Tracking Class Attendance

Attendance tracking features enable staff to check clients into classes, update class rosters, and confirm class counts before training begins. Taking attendance in a class or course is important for the business because it ensures clients are paying you what you’ve earned.

As clients arrive for courses each day, they’re also able to check themselves in on your iPad app. Once the client arrives and the course has begun, Pike13 will deduct the visit from the client’s pass or plan. If a client hasn’t checked himself in for a course, the instructor can check the client in manually while taking attendance.

Accepting Payments

Pike13’s automated billing and payment features let your business securely accept payments with credit cards, direct deposit, and Paypal. Clients can purchase plans and passes, or pay for classes individually, depending on your business’s settings.

To process payments in Pike13, you need to create a merchant account. Pike13 encourages business users to process transactions through its partners, TransNational Bankcard and Gravity Payments. When your credit card processing has been activated, you can save your clients’ credit card information in Pike13 and avoid having to re-enter the information for each subsequent purchase.

Handling Staff Scheduling

Pike13 takes the information users have entered with regard to staff schedules and class lists and uses it to manage payroll. This feature is especially useful for businesses that pay staff based on the number of students enrolled in their courses.

After creating an appointment or a course in Pike13, choose the staff member who will provide the service. Business owners and managers can change the availability of staff members at any time. Staff members have the option to edit their own availability as well.

Best All Around Management Software for our Music School

This is primarily due to the fact that Financials (payment plans, billing, etc.) are completely decoupled from Enrollments (maintaining Schedules, Attendance, etc).

Pros

Viewing schedules for a few dozen teachers can be overwhelming; Front Desk has great flexibility in filtering the schedule (by person, activity, location, etc) as well as flexibility in presentation (list, day, week and month formats).

Cons

In our case, we've opted to use the reporting functionality to generate all payroll statistics we need, and roll them up in a spreadsheet, rather than take on the multiple Pay Rates per Instructor overhead.

Recommendations to others considering Pike13

Definitely enter enough real data to get the feel for how things really work and interact (with this or any software). Hint: Take their terminology and labels with a "grain of salt". For example, in attendance, they use "No Show", whether or not the absence was within guidelines. So, I think "Absent" would have been more appropriate. Another example, the term "Bulk Enrolled" means what I would call a "Recurring Enrollment".... I initially assumed it mean enrolling many students at once, rather than one student on an ongoing basis. So, just don't let the terminology lead you astray as to what the software is actually doing.

Poor development - no improvement in 2 years - Biggest Change was their name to confuse everyone.

Appointments for coaches, payscale, that's about it.

Pros

works on mobile and ipad through web function, easy to take attendance in sessions, easy to see client images. payscale for paying coaches per client is best feature.

Cons

again, no improvements in two years, hasn't updated any feature for sales, integration, Zapier integration - poor leadership, went to report functions as their key improvement for past two years, but doesn't work, integrate with Zapier or Google Sheets, doesn't allow shared reporting, so each staff person has to customize their own reports leaving a business to have more time on boarding, rather than less time to onboard.

I wish the online store for merchandise was viewable for clients and it would be great if the app had notifications for marketing and promotion for students.

It has good uptime. It doesn't charge per-user or per-staff. That is a pleasant difference. Not much else.

Best user interface on the market and none of their competitors come close to the end user experience as Front Desk has.

Pike13 fits 95% of our base cases, and works well in general. Edge cases are tougher though.

Scheduling is easy, payments are super easy. API helps us create company specific reporting.

Cons

Edge cases (pro rating, discounts, etc) are complex. Non-engineers sometimes complain about usability and ability to cover our edge cases. For our basic (and edge) cases, we often need to directly train users - sometimes it's not obvious how to use for them.

The many applications available to quickly promote on Social Media and the many options to customize my page.

They are a newer company so not everything is in place, but they are working on it and take all suggestions seriously.

Although it doesn't provide everything we need yet, and although there are some things that I'm still doing manually due to some functions not working like our company needs, it does seem that FrontDesk is making frequent updates and changes to their product to meet the needs of customers. So, I'm hopeful that the features id like to see improvements on will be happening soon.

Easy to use and love the accessibility though the phone app.

Cons

You essentially have to run multiple reports and then compile the data from those several reports to get the info you need.

As a FIT4MOM franchisee, Front Desk makes my life a lot easier than it otherwise would be, keeping track of scheduling, billing etc.

Pros

Ease of setting up class schedules, client profiles, credit card billing.

Cons

When I track things like new clients in an excel spreadsheet separately, where I know my numbers are accurate, I can't get Front Desk reports to give me the same results.

NOTHING compares to your support. We are a small gym so as the owner/operator, I ma also the person handling all things with Pike. Without her I would have to return to MindBody and I do not want to do that. It is lifesaving to know I have a lifeline when I don't understand something.

The onboarding team and management seem to be more concerned with getting you to sign their contract than they are about following through with their promises.

Be warned, if you catch them giving false information like this, you will have to hire an attorney to get you out of the contract, which can cost considerable time and money. You are better off going with any of the other fitness software companies who don’t have contracts.
