Effortlessly Schedule Appointments

Using Timely to schedule and organize appointments saves businesses owners and staff members a lot of time. It keeps staff and appointment time organized, and automates daily tasks such as reminders, all while collating financial data, client information and appointment history. Your Timely calendar is always handy, as it is hosted in the cloud, meaning you can use it from anywhere, at anytime. Booking appointments with clients is effortless. Online bookings act as a receptionist and work from any website, Facebook page, and even as a link in an email.

Timely uses the time your staff roster, including breaks, to create appointment slots, allowing you to fill your schedule and prevent overbooking. With powerful marketing features, Timely helps you fill all the slots on your calendar.

Automatically Send Reminders

Timely takes appointment management one step further by keeping businesses in touch with their customers. Automated reminders keep customers up-to-date with their appointments. A friendly message before each appointment helps ensure customers make it to their booking on time. This one feature alone can reduce your no-shows by 50%, saving the business from lost time due to no-shows. Business owners also have the ability to customize SMS templates.

In the event that a client can’t make a scheduled appointment, Timely makes re-scheduling easy. Simply click and drag the appointment to the new time, or send the client an online calendar and allow them to choose a time that suits them. Not only does it save the time of going back and forth, it decreases instances of outright cancellations. Reminders are also great for staff members. They are notified of new bookings, changes, and cancellations. With Timely, you’re in control. You can customize your own templates for both email and SMS. The best part, the emails are free - like they should be.

Easily Accept Payments

Timely makes invoicing for services and products effortless with its built-in Point of Sale (POS) feature. It uses the information from an appointment to generate the invoice. Invoices can be consolidated in store or, with an online payment gateway connected, emailed for payment online. The system also gives you the option to take payments with online bookings for the whole service or a deposit for part thereof. The POS system processes services, products, multiple services, redeems discounts, taxes and also sells packages of services together.

Timely's POS stores customer appointment and purchase history. It will also push your data to your invoices to your accounting software (Xero, MYOB, QuickBooks). The POS can connect to a thermal receipt printer and till drawer or email invoices in PDF format. It's perfect for the counter in your business.

Generate Performance Reports

Timely puts your business sales and financial figures at your fingertips, saving you time. You can generate powerful and insightful reports in just a few clicks so you always know what’s really going on in your business. The reports cover everything including appointments, products and services sales, rebooking, retention, staff hours, commission and more.

You can view an executive summary to see all of your appointments and sales grouped by employee or location. Or, if your focus is more on financials, you can generate performance reports that include key figures like rebooking rates and the time between bookings. Timely shows you your most important numbers in the dashboard, which is front and center each time you log in.

Customer Records

Getting to know your customers and their preferences is made easy with Timely. The system securely keeps a record of your customers including their appointment history, notes, sales and SMS/emails.

With the calendar sidebar, you can quickly refresh your memory by looking at a customer's profile before they arrive. It allows you to offer a level of personal service that will keep people coming back.

Online bookings

With Timely you can save time by allowing your customers to book online, freeing you up to spend time with other clients. Online bookings makes choosing the right appointment easy for your customers, they can see your availability and choose a time that suits them - all from the comfort of their own home.

Love the greater flexibility of the new app and the recently added activity page is fantastic for me being self employed to keep track of bookings when I'm out and about.

Were extremely please with how this integrates so well with our operations.

Pros

Ease of use for appointment scheduling, Customer notifications have saved us a lot of customer no shows, The Dashboard is very useful for a snapshot of daily weekly, monthly sales data.

Cons

The IOS mobile app need further development to allow a number of simple tasks, i.e. notifications, deletion of appointment permanently, ability to view sales and customer information.

Recommendations to others considering Timely

Focus more on the mobile app, we manage probably 95% go our scheduling on the go and having the simplicity go automatic logon and almost immediate scheduling is invaluable, however, we want to be able to access lots more functionality through the app. I understand Timely is predominantly aimed at the hair market however, its functionality can be tailored to suit a number of industries many of which aren't located in an office, so providing greater functionality though the mobile app would create a much wider appeal.

Also really like the reports that are available!

I struggle with the iPad app, it seems to freeze when I am writing the clients notes I would love to be able to have notes templates as well.

I'm often booking very quickly while on the phone with a client so i appreciate that getting them on the calendar is not complicated.

I really wish there was an API so that I could do a custom integration with my own site/app.

I recommend it to all my business contacts that deal with customer/client appointments, classes and workshops.

Pros

The way it integrates with Xero, my accounting software and it's integration with mailchimp.

Cons

I do not use Timely for it's accounting function, and I cannot easily see how to 'clear down' outstanding payments, which have, in fact been paid through xero.

We were looking for a booking solution for demo calls that would allow our clients to book in real time and not have to request a time and go through the hassle of numerous emails to confirm a call.

Affordable, great integration with Google calendar and the widget option is very nice and easy to embed.

Cons

I'd like to see greater flexibility in the confirmation email, the ability to actually construct an email using a text editing tool and adding attachments would be great.

Since switching to TIMELY I have been able to manage bookings for my business centrally. The reminder emails and Texts to customers help us minimise no shows and provide this value add consistently.

I would like better integration with my MYOB software -Timely dumps sales into one account in MYOB but not a number of accounts to link sales to so you can't keep track of what areas of the business and what locations monthly sales are from.

I love how clients can book their own appointments online, the automatic email appointment reminders and the client data base.

Cons

I only wish the app for the iPhone was as good as the app for the iPad. I do have to sit down on my computer at the end of the day and complete certain tasks that I can't do through my iPhone. Also I wish there was an option for a client to be added to a waiting list if their desired appointment time is not available.
