Our not-for-profit organisation looks after the disability workforce and we found vfairs as we were looking for a platform that would be affordable, flexible and user friendly for an audience than spans across many different jobs, age groups and disabilities. Of course given that this was our first time we had a few things that we needed to experience on the day to assist our internal processes for next time, but there will certainly be a next time! vFairs Played a Pivotal Role in our Success!

vFairs helped us solve the problem of how to hold an educational conference for healthcare professionals and consumers during and after pandemic shutdowns. By hosting a hybrid event we kept the in-person element of community building and networking along with the online element of easy international access without travel. vFairs provided a fun and easy to navigate platform for our attendees for a very reasonable price.

Pros

vFairs has been in the virtual event planning business long enough to know how to plan and execute a flawless experience. We found their team to be highly skilled, professional, collaborative, fast responding, and a pleasure to work with. Our project manager, [sensitive content hidden] , and Customer Success Manager, [sensitive content hidden] , were deeply committed to the success of our event. Throughout the entire planning and execution process we felt well taken care of.

Cons

The vFairs platform is highly customizable; it can be intimidating for inexperienced event planners to create the online platform with content and images. We appreciated the options to use standard templates and the help from our project manager in keeping things moving along when we were paralyzed by decision making fatigue. There were more tasks to setting up the event than we originally thought. The first year using vFairs we left too much to the end and were under pressure finishing.

The seamless visitor journey from registration to attending the event on the live days and being able to log back in to the event for up to 30 days. The virtual event environments can be fully branded which provides additional opportunities for sponsors and exhibitors. Self service option where exhibitors can design and build their own trade stands. They have a selection of stand templates which...

Cons

Email communications from the VFairs platform tend to land in junk folders which hinders communications with registered visitors when providing updates about the event. The live and private chat room functions have a slight lag on updating and require having a separate page open in your browser for the duration of the event. Engagement is key with any virtual event so these features need to be enhanced to improve the experience for all participants.

The initial impression of the platform was very good, and whilst aesthetically it looked a little dated, it was technically capable of replicating the key aspects of our events in a virtual environment. Theoretically, vFairs as a platform is able to replicate the key value of our conferences in a virtual environment. It can: 1. host content, presentations, Q&A and panels, 2. facilitate business engagement between buyers and sellers, 3. Provide delegate interaction. The problem is that these functions simply didn’t work properly.

Cons

On the day of the event, the platform wasn’t finished and critical features were missing or dysfunctional: the exhibitor booths were incomplete, the chat function didn’t work properly and the competitions didn’t run as instructed. The content delivery was also unacceptable: vFairs streamed the video content in such low resolution that the text and graphics on many of the slides was illegible, while...

An absolutely positive virtual conference experience

vFairs' price was what made our decision for us. Not only was their bid lower than other vendors, their package included features that would have been extra on other platforms. Their team was capable, responsive, and patient. Although vFairs has hosted academic conferences before, they were less familiar with humanities conferences. Our experience with them certainly would help to move their maturation process along. Indeed, it was such a pleasure to work with them that our organizing committee offered to provide them with free advice if they intend to expand their conference clientele.

Pros

vFairs understood our conference needs and they were more than able to provide the essential support and leadership. The platform was tremendously customizable and, together, we were able to convert a business-oriented framework to fit our academic conference needs. Their support through out the entire process was top notch. Emails were replied quickly and problems addressed right a way.

Cons

If there is ever an instance of an embarrassment of riches, it would be vFairs platform. There were so many options that figuring out where a particular adjustment lied was not always intuitive. However, we chalk this up to their lack of experience with humanities conferences. Once our vision was made clear, they were more than able to modify the platform for our purposes.

Great Platform - Just Needed Better Program Management

Overall we were very happy! Great platform, great price, and mostly a good experience working with their management BUT it could have been better. There were some hiccups and fires that needed to be put out ahead of time that caused A LOT of stress for myself who was making sure everything was ready day-of. Again, overall, we would use this software again if they would provide a more helpful/responsive management team on their end.

Pros

Ease of use was most important to us as our attendees are mostly older and we were looking to streamline the conference login and participation for our attendees. This platform nailed it! Login was simple, accessing all virtual areas was easy, and watching the sessions was simple for everyone. It was also great to have some help on the vFairs end, as they provided a team to assist with creating and launching the event. And the integration with Stripe proved to be a great bonus.

Cons

The "clunky" parts were the chat room, the area was separate from the rest of the platform and in a separate tab, also the integration with Stripe didn't quite integrate with the registration form as well as I would have hoped but it still worked out well. Additionally, the vFairs "team" we were working with was slow and we seemed to have some language barriers when explaining what needed to be updated or fixed prior to launching everything live. Without that part of the experience, everything would have been excellent.

VFairs Saved Our Conference!

VFairs really helped us pull this conference off. It was powerful, very moving, and we had 20 less attendees than we had in person last year. We couldn't have done this without their great team! We lost none of our sponsors which was a huge win. Our project manager [SENSITIVE CONTENT HIDDEN] and her team were stellar and had the best customer service! Thank you, Vfairs team!

Pros

We had planned a statewide mental health conference for this past May...then COVID hit. My client has had their annual conference at the venue for 40 years and it is very unique, and iconic! Vfairs helped re-create a digital version of this in just 6 weeks. It was a beautiful digital venue...truly jaw dropping and had great networking opportunities for our sponsors. We hosted over 40 sessions in 2 days. By having our conference online, many youth advocated and parents were able to attend. Usually going to the conference in-person costs an attendee around $1,000+ with food, room, and the conference price. This digital venue made it much more accessible and made our table much larger!

Cons

The networking features were really poor. We wish there had been more than just chat. We hope that next year, a video chat feature will be enabled.

Annual Conference 2020

I am not sure if I would go back to using V-Fairs. I think you have a great platform but need to work on customer service and do more with the tech peice for the price you are charging. [SENSITIVE CONTENT HIDDEN] was very helpful but getting ahold of anyone at v-fairs was very difficult. The looks and graphics were wonderful but using third party designers made it very difficult to make any changes quickly.

Pros

Our attenddes enjoyed the platform and how easy it was for them to use and easy to navigate. I like that you can make your exhibitors seen just like at an inperson training. The reporting after the conference is also very nice. Our rep tried her best to accomidate all of our needs.

Cons

We did alot of research on platforms for our conference. This was or first year going virtual. We wanted a platform that we could still have exhibitors and we wouldn't have to worry about the tech peice on our own. Sales told us that everything we wanted sounded perfect for V-Fairs and we signed with you. Then it was a good month or so before we heard back from V-Fairs. I was worried we were scammed...

vFairs a very affordable and coprehensive virtual event platform

Outstanding customer service and initially (4 years ago) was concerned about the time difference but they team working with us worked our hours and was extremely responsive to our requests and needs.

Pros

I have been using vFairs now for 4 years to manage our virtual events where we showcase third-party add-ons for our existing ecosystems of partners that sell the products and customers wo can buy them. We initially reviewed 5-6 platforms. All had basically the same functionality but vFairs was exponentially more affordable especially if you are doing multiple events. The platform is flexible and the customer service from the team is top notch! Would highly recommend!

Cons

With Zoom being integrated into the platform I now have no detractors for the platform.

vFairs - Have Your Next Tradeshow Event Online!

Once we had decided on using the vFairs product we were assigned a project manager who walked us through each step of the implementation process. The staff at vFairs did an excellent job of communicating with our project team. They were quick to follow-through on changes that needed to be made. Amazingly, working together, we were able to prepare the show for operation in just about 6 weeks! When the show opened they were able to quickly make some fine-tuning adjustment that helped our toughest customer to better use the interface.

Pros

People were amazed how much the software interface emulates the look and feel of a real trade show event. Customers and vendors liked the avatars in the booth and the lobby full of moving people. The software had many more features that we did not use. Our vFairs project manager quickly adapted the interface turning off the features we did not need. As we look forward to next year's show, I am certain we will add the chat feature and we will do more with media and documents.

Cons

There was some problems with people seeing the full width of the screens on certain devices. Some of our customers keep their screen resolutions set low for eye sight reasons. When this problem was discovered the staff at vFairs quickly responded. They adjusted the page layouts so that all of the data was visible.

They were all fantastic. By far the best rate for a virtual event. Every other company was expecting to charge us upwards for an event like this, yet vfairs had a much better price but the same amount of users and experience. Knowing that vfairs is located around the world, with a main location in DUBAI our team was a bit hesitant and questions them a lot about GDPR complience. The vfairs team proved...

The entire Vfairs software and platform was extremely user friendly as well as asthelictly pleasing. Most of our customers that attened the event are not focused in the tech world, and for them if it was simple to navigate. Which speaks highly, if they do not understand VR and still loved the event.

Cons

The only part I did not like, was the fact that chat rooms opend up within a new tab within the event instead of keeping the chatrooms all within on main page.

This was a first time virtual event for us and we learned a lot. If we were to hold another virtual event, we would definitely use vFairs again, and would be able to make the next event even more effective. We were pleased with vFairs ability to put this event together in just 12 weeks - especially recognizing the increased volume of events vFairs is seeing.

Pros

Project managers were really very good. They were able to take concepts and help us make them workable. Graphics were engaging - attendees liked the virtual lobbies/halls/convention center and animations. Robust reporting. Value for the cost. Trade show/virtual booth design options and scalability. Great support on live days. Setup for presentations was pretty easy once we learned how to do it.

Cons

Limitations on some of the customizations. There weren't any user manuals. Would have been nice to have demo sites available for us to use in planning our event. Participants couldn't create a customized agenda. Participants couldn't modify or cancel registration information after registering - changes had to be made through administrative back-end.

Experience with vFairs

The overall experience has been fantastic! We will continue to use vFairs for all of our virtual events and will continue to work with them to make the most out of the platform!

Pros

We love the customization and the flexibility of the platform. We've received excellent customer support from vfairs and truly enjoy working with the team! The cost aligns with our budget so no complaints there! We've asked for several revisions, updates to the rooms, changes to layouts etc... and vFairs exceeds our expectations every time!

Cons

The designs are a bit outdated. Users have expressed that it looks like a video game from the 90s. The avatars especially could be updated to reflect more human-like images. The ability to play music is nice but only allows for 3 mins of a song, so it's too repetitive. The spinning graphic display is also on a loop and seems glitchy due to start/stop so it doesn't spin continuously.

vFairs is AWESOME!

Before I found vFairs, I was set out to find a robust virtual event platform that could outperform our current virtual event platform. vFairs' demo and features blew me away AND it was a GREAT price point. They have helped us changed the way we do business from a virtual planning and design perceptive. I highly recommend vFairs to everyone and anyone who is interested in doing virtual events.

Pros

The developers and design team can create pretty much whatever you have in mind. This is HUGE!

Cons

Since vFairs is newer to the virtual platform scene compared to INEXPO and ON24, they're still developing things within their software.

The vFairs app and project management team far surpassed our expectations. We recommend this app to anyone in the market. You will not be disappointed!

Pros

Our association has wanted to utilize a conference app for several years. However, the financial costs and time needed to effectively manage an app kept us from moving forward. That all changed when we were introduced to vFairs. They worked with us on securing a price that we could afford and offered a dedicated team to assist with app construction, organization, and deployment. Ammemah was WONDERFUL to work with. She had a great team that was highly attentive to our needs, provided clear and timely feedback/responses, and met with our planning team on a regular basis. The app was a big hit with our conference attendees and we look forward to making it even better next year!

Cons

The only con to vFairs was that we didn't find it sooner

Highly positive. Would recommend vFairs and would use vFairs again for a virtual event.

Pros

Very attentive customer service, robust functionality, and reasonable cost for a one-day virtual conference with a single track of back-to-back workshops. Our event sponsors loved the virtual exhibitor hall with highly customizable booths. vFairs team provided support to our team as well as to our speakers and sponsors. Attendees appreciated the accessibility of the virtual event, the chat functions and availability of downloadable materials/resources, and a fun leaderboard function which offered the most engaged attendees a chance to win a prize.

Cons

No major issues or dislikes... the vFairs team accommodated every request we made regarding the virtual event environment and logistics, the training of speakers and sponsors, and the custom event splash page used for promotion and registrations.

From technical and graphic design great experience. We value the support and guidance from [SENSITIVE CONTENT] and team, always taking care of every single detail to solve and or implement. Valuable guidance from our account executivem [SENSITIVE CONTENT], to find better ways to work with the platform.

Pros

We had vfairs for our annual virtual international conference for 3 years in a row: feedback from atendees is positive in terms of firiendly, atractive features, great to have networking and chat experiences. Comments from sponsors are also positive given the booth design, easy to upload and download videos and documents making the availabe to attendees.

Cons

None specific, the software was reliable and friendly. Only the first time we implemented, there were somo tech issues to understand and solve, once we received proper training, no more issues to report.

Successful Partner Event with vFairs

Overall, I am very satisfied with vFairs and their virutal exhibition product. We had a very successful event and received great feedback from partners about the platform. The vFairs team replied very timely to requests and questions - really appreciated the round the clock support. Thanks again! :)

Pros

- easy to use and navigate the backend - support on the day of the event - great customization to corporate identity - around the clock support from the vFairs team

Cons

- final environment only ready 1 day before the event, a dry run was only partially possible (however this is due to the fact we only had 8 weeks to organize everything) - low engagement in the chat

Great Team Environment

Great people, prompt service and big bang for the cost. We have really captured a new market for our client - over 40% of virtual event attendees have never attended an in-person event, which is huge! We continue to work together and improve upon our prior year and look forward to our next event to seeing what else can be done and what we can accomplish this time around.

Pros

Very easy to use and execute. The team makes it very easy on the client to set up and get things up and running.

Cons

Occasional limitations on things we can do but the team is always willing to come up with an alternate idea and make it work for our client.

Average experience so far

Overall, vfairs offers great 2D experience for conducting a virtual/hybrid fair. Customer support was average and costing is way to expensive compared to similar platforms like hubilo, airmeet and careerfair

Pros

The 2D look and feel of the vfairs platform is the best thing which they are offering. Ease of use and great features.

Cons

The customer care is not professional. We had so many hiccups in setting up our event on vfairs platform. Secondly, it is quite expensive for indian users.

vFairs worked like a charm - twice!

Pros

vFairs is not just a software, it's a service. Their reps will walk you through all the steps for the creation of an online event. I most liked their speed and accuracy - any time we needed to change something, even during our event, they would have it done within minutes. It was also an incredible value for our money, and they even gave us a discount the second time around after we referred another company.

Cons

The small picture sizes / dimensions in a lot of booths make it a bit of a challenge to make your booth appealing - but given the nature of the software this isn't too important. The chat system worked well and that's all that mattered - it could be a little slow to respond at times, but it does work well overall.

Great Platform and Team

The team was very friendly, organized, helpful and kept us on track throughout the whole process.

Pros

We liked the many different options to integrate zoom, booths, breakout rooms all in one platform. The price was very affordable and we had limited firewall issues with our guests.

Cons

Some of the integrated tools can be tricky but overall the experience was great.
