Whova for a Virtual Event Win!

With six weeks to go for a virtual 4-day conference, Whova met all the requirements we were looking for in a virtual conference experience for both the organization and the attendees. The price point was ideal for a small organization, and their a la cart pricing helps keep within any budget. It was a very successful event for the organization and discussion is to have some virtual option moving forward, even if we still hold an in-person event.

Pros

A Small non-profit I work with moved their in-person event to virtual event for 2020. With 6 weeks until the event start in September, a decision was made to move it to a more robust option allowing for sponsor interaction. Whova came through for us in many ways - financially, user-friendly for both back end and attendee end, integration with already existing registration platform - RegFox, Zoom interface, meeting rooms, session surveys and robust reporting. Any issues we had and sent support emails were addressed in a timely manner. They offer several help documents and videos to walk you through various set-up and troubleshooting.

Cons

Be aware that Whova has their own drip-campaign of emails they send to those attending your event. We were not aware of these prior to them sending, and it cause a bit of confusion and frustration on our end. We are not able to see in advance nor edit those emails, which also contained information not pertinent to our virtual event. We did address this with our sales person in our post-event meeting, and this is an issue they are aware of and addressing.

Gauging an event platform and the countless variables that might be involved is a key demand for those moving into virtual or hybrid events. The marketing and sales elements are often adept at highlighting some aspects, while stepping over others. Rapport bridges the gap. So extra caution is required for decision makers.

Pros

The sales outline and the simple step videos indicate a smooth process to get set up

Cons

The reality, we found to be different. They recommended we use Zoom (‘you can get away with the free option too’ - sales) which quickly becomes obvious you will need to spend hundreds extra - upgrade to webinars (- support), a hidden cost. It didn’t integrate great with their system, yet they told us “that’s a Zoom support question, nothing to do with us”. There are other conflicts between Zoom and...

The cost of attending conferences can be staggering. Not only for registration but travel and staying at the conference. Using Whova to organize the conference allows the attendees much more freedom and ease in attending and tracking where you need to be.

Pros

Whova is a wonderful addition for any conference. I first used Whova in 2018 while attending RTUC in Las Vegas. Whova for Conference/Event

Great - when we started using WHOVA for conferences a few years ago, it was a game-changer for vendors.

Pros

two key features that are invaluable when attending a conference/event (speaking as a vendor):1) being able to capture new leads, contacts, gather their information, follow up, manage leads using the lead capture, especially when the attendees have the QR codes on their badges (the QR code is critical).2) having up to date event schedule on the app - with updates, reminders, note-taking, and more really facilitates and adds value to our attendance as vendors. no more carrying around a paper schedule, taking notes in the sessions

Cons

It would be easier for a vendor to have the lead capture always readily accessible on the app and not have to go to the home page, then go to the leads. Also, at the last conference, the attendees did NOT have the QR codes on their badges (not sure if the conference organizer chose not to do so) and this made it very inconvenience and annoying for attendees to provide the QR codes in their app. we lost alot of leads that way - so QR code on badges is ESSENTIAL!

Great Solution (especially for the price)!

Overall, I highly recommend Whova. In spite of some of the challenges, it is still one of the strongest tools available for the cost, and is very user-friendly. Their customer service is very helpful, and the product does continue to improve.

Pros

Whova has a wealth of features for a very low cost. It is a great solution for a clean, user-friendly registration system and app, that is still friendly to budgets. The app specifially is very easy to set up and use and has great engagement tools!

Cons

The back end system has a few quirks that take time to learn, and can be a little frustrating if you don't recognize them in advance. The menu system and where tools are located for admins can be a little confusing, though once you learn it, they are easy to use. Our biggest challenge is managing attendee records after they have registered; it would be nice if admins had more options for changing and updating their info, or using "admin-only" fields. Similarly, the difference in "attendees" vs. "registrants" can cause confusion.

Upgrade Options and Double Dipping Billing - Poor Customer Service

We hosted an event in August 2022. It was a successful event but unfortunately our experience with WHOVA was very disappointing. We procured the software and opted for 10 sponsor package. Then we upgraded to a 20 sponsor package and paid the difference in pricing. Fortunately, we went over 20 sponsors and then called WHOVA to upgrade us to the unlimited package. To our surprise, they would not allow...

Pros

The software overall has the functionality needed for a small to mid sized event. However, the user interface is not very inviting to the end user

Cons

Everything is being sold as add-ons. An event management software should have all of the basic functionality packaged in. The add-on features add to the total cost and the pricing overall does not become very transparent to the end user.

A must have tool for event organisers

The app is optimized for business events (were no abstract handling is required), however, we used it successfully to manage our attendees in a small scientific conference. We loved checking in our attendees ultra-fast, posting last-minute changes and useful information in the app and share event photos. It helped a lot in creating the name badges (maybe could consider a certificate feature according to the registration category as well?). As organizers, we would prefer a bit more flexibility and one cost for all the features, however, all of our participants loved the application and we received very positive feedback from them

Pros

The QR code attendee check-in is probably the highlight of Whova's features. It checks in the attendees a matter of seconds, skipping the long lines in the registration counters. The updated version of Whova includes features that can be used directly to the event's website (e.g. Agenda webpage). Great customer service experience with online training on how to use the app.

Cons

Several features require in-app purchases and purchases per-use (e.g the paid tickets or the sponsors' features). This may be a struggle for small events (less than 500 participants) who need to have an idea of the overall cost in advance. As a customer, I would greatly appreciate the flexibility to rename and create new or delete categories in all the fields of the event content, as well as flexibility...

The best easy tool to use for networking

Trying to inform conference attendees of changes while saving time and money. Overall, going virtual for knowledge sharing and cost savings is a terrific idea.

Pros

simple to use and offers a staggering array of intricate adjustments and functionalities to meet any event requirements. I adore how simple it is to communicate with other app users.

Cons

Simple accessibility, widespread acceptability, and high connectivity were all attained. Integration was simple as well.

Good event app for the price

Overall, our experience was good. For the price we paid, it worked for mostly what we needed. We got frustrated that every time we needed to add something (more documents, sponsors, session self-checkin, certificates) it was an additional cost which adds up quickly.

Pros

Whova is pretty intuitive to set up and use.

Cons

The Gamifications are not very customizable nor can you add your own games in. The lead scanning functionality is not the best as you cannot customize the questions fields and it was hard to tell who scanned leads per device. Everything is very a la cart. If you want to add more features, everything is an additional cost so the base price is just a starting point.

Exceptional Value!

The WHOVA app provided a wonderful user experience for our delegates. It made it easy for our delegates to connect with other attendees and speakers, share contact information, and be informed about all the event logistics and details. As the organizer of the event, the app had the perfect combination of "ready-made" options with the ability to customize and personalize. I found it extremely intuitive to use. When I did have a question, the online customer service was amazing. Overall the WHOVA app was a great value and contributed to the success of our event.

Pros

A very impressive platform for organizing events virtually.

Pros

This is an excellent software for organizing online event which offers several benefits. Firstly, It has a mobile app which allows participants to attend the events remotely even with a low data. Secondly, enabled features for socializing and networking helps the audience to feel the sense of community virtually. Finally, managing sessions and agenda by setting reminders helps audience to plan well during the event.

Cons

Nothing much in the cons. Just adding a feature for a detailed overview of all sessions will complete the app.

Whova's team is attentive, always innovating and updating their capabilities, they listen and address concerns quickly and effectively. Our event loved the app and we love the Whova team.

Pros

The Whova app is very straightforward to use, they provide all of the embed links and capabilities to make it look like you're own powered by a simple to use back-end experience. It's flexible in the way you use and deploy it and is affordable.

Cons

Some of the search capabilities to highlight top sponsors and provide a tiered level view of support can be worked on and the streaming view is good for traditional videos, engaging with Zoom is not as strong.

Pros

The software is very intuitive. Our conference attendees understood and were able to use the many features mostly without any help from us.

Cons

We chose to keep costs as low as possible, so that resulted in less customization, but it worked for our situation.

Pros

I like being able to post updates to the conference program during the conference itself. Using Whova means we don't have to produce printed copies of the program. Whova also allows users to engage with each other - posting messages, planning get-togethers, posting photos, etc. I heard that it will allow registration/check-in to be managed with Whova now, but I couldn't find that feature. I would be thrilled if it will handle registration/check-in.

Cons

It seems the price increased this year. But if we can use it for registration/check-in it would be well worth it.

Do plenty of research before using this product

Whova is useful for trade shows or large, paid events - I needed it for a 200-ish person corporate (internal) event. I chose Whova because of it's ease of use and straight-forward features. I really hated how the tool consistently promoted the Whova app - it's practically shoved down your throat on the user side, and no way to dial it back. I can see the value in this for large shows where attendees will need the app for networking and customized agendas, but it was just too much for smaller, corporate events. I wish they had an option to focus the user experience more on just the app itself.

Pros

-Easy to set up -Helpful customer support team -Easy to use (both as an admin and as an event participant) -Customization, though lacking in some areas, is possible -Easy registration and website set up

Cons

-Heavily, heavily branded to Whova, even when using the paid version -Focus on paid tickets -Customization was not possible for things I needed it to be

I was pleasantly surprised by the application's design and functionality. didn't have any glitches or error screens. Well done!Good application.

Pros

Very user-friendly interface, a straightforward menu, and was easy to navigate between pages and options, and liked notifications that were posted right on my home screen.A good forum option, has clean text and not bothering with constant reminders.

Cons

Was a bit difficult to understand how to share my contacts with others. Maybe when I'm sharing contacts thru the QR code it could gather and forward not only my email but a WeChat connect, as well.

It's worth figuring it out!

I attended a north American conference that used Whova. I have no idea about pricing or if we would be able to afford it in the future - also not sure it's a good tool for us in house. But I will be sharing the information with our liaison at the municipal government level for their consideration as they have more funding than we do and provide a week long conference each year.

Pros

Although it took me a while to make time to dive into Whova, I found I came away with so much more than just webex or zoom workshops. It connected me to other conference attendees, to the facilitators and to folks that were experiencing similar issues/successes/challenges across boundaries.

Cons

It took me some time to explore and understand how to use it. I was super busy and kept putting it off - I'm a bit of a technical dinosaur!

Whova has made it easy to navigate onsite. Being able to see the map and where sessions are being held has helped me from wandering around lost during the conference. I am able to get to the room I need and be on time.

Pros

The agenda tracking helped me and my colleagues decide which sessions we would attend so we could split up and get as much information as we could.

Cons

This wasnʻt Whovaʻs issue, but the area of the island we were at there was very low cell phone reception and the onsite wi-fi was not made available to the conference attendees until later in the day. Luckily we had planned out the day with the agenda tracker the night before so we knew where we would be going.

Whova was a great virtual option for conference attendance.

I was able to attend a number of conferences that I would otherwise not have been able to attend because of the cost of travel, lodging, and food. I didn't waste any time finding my sessions, or switching sessions if need be. Session recordings were almost immediately available. I didn't get sick. I was able to work part of the day as well as attend the conference. I did attend a couple of conferences where Whova was not the platform used. My experience was much less enjoyable and valuable.

Pros

Easy to use, engaging, made it possible for me to attend many conferences that I would not have been able to attend in person. Much more cost effective for the attendee, and I would expect for the vendors as well.

Cons

Make the vendor experience more robust for the attendee.

Enjoyed the app as an exhibitor of a trade show

It's a step in the right direction. I've never had a solid app that helped me identify attendees. But it still fell a bit short for making this information valuable. I spent hours researching the attendees to determine who may be a viable client or not, and then additional hours reaching out to them, with very limited results. If notifications were encouraged, and more information about attendees was mandatory, or requested, that would be a huge step to make it more efficient.

Pros

The access to information about everyone else that was attending the show who had installed the app. Gave me opportunity to prospect potential customers.

Cons

In many cases, not enough information was available about the attendees. It would be advantageous if the attendee would optionally provide a link to their website, their email address, their phone number. Also, the choice to implement notifications (or not) limited the ability for most to see that they had messages sent to them. I had a very low percentage response to messages sent in the app. Also, when I received a message, it was very hard to identify that I received one, and to dig it out.

Whova had the best pricing in comparison to other virtual conference platforms while still offering more features. The backend organization for an event is relatively easy to learn and makes it easy to contact exhibitors, speakers, and sponsors

I love how everything is housed in one place for everything, event, who is attending, messaging, pic sharing, on the day news and updates etc I love it and will look to using it this year once I understand pricing etc.

there are a lot of notifications which I am sure can be controlled as it was a little overwhelming.

CEU's I can afford from the Comfort of Home

Getting my CEUs and well as knowledge, in an affordable and easy way, was a wonderful thing.

Pros

I can use Whova on my PC or on my phone. I can carry Whova into the bathroom with me. I can attend a conference without having to park, stay at a hotel or walk a long distance, and still feel I've been involved with others. In the Chat feature, my words are out in the world without me having to wait, raise a hand etc, and I can see what others are saying.

Cons

I didn't find any down side to this experience.

Pros

I used Whova when I attended a conference about a year ago and was so impressed, I decided to purchase the software for my next event.

Cons

I can't think of anything. They offer more engagement options than their more expensive competitors.
