Pros and cons

I like that it is mostly pretty basic, and easy to understand. I like that it is neater, safer, and more convenient then paper files and notes.
We have had a wonderful experience from our first interaction with the team at Casebook. We highly recommend this platform for anyone that wants ease of use and superb customer service and support.
The easy-to-create forms, the customization and excellent customer service (thanks, [sensitive content hidden]) has made our integration into Casebook a more positive one.
We had 45 minutes/or 60 minutes and we had to get it or not but she was moving on. She made a bad situation much worst.
Sales pushed us to choose the DIY onboarding which was horrible.
Much of the implementation is left up to the customer to read and learn on their own. It is confusing from an operational workflow perspective to enter intakes, people and cases all separately.

Casebook Makes Stat Reporting Easier

Reviewed a year ago

Transcript

Nicole: Hi, my name is Nicole and I am the Coordinator for Victim Services at the Hidalgo County Sheriff's Office. And we currently use casebook, and I do give them a five out of five rating. Before we chose casebook, we would actually use Excel, so it was a very old-school way of trying to keep stats, and it was Excel and formulas, and it was very, very tiring and confusing with the formulas. So it was a lot easier to look into a program. And when we had the funding, we were going in between Casebook, we were going between VSTracking, and there was another program, forgive me, I can't remember the name of it right now, but one of the other programs, it was even their system, the way that it was, it looked very old-school, and so it was a little harder on the eyes. And now this younger generation, we're just so used to how different software looks, so we didn't use that one. And with VSTracking, it was kind of up there. We were really considering VSTracking, but it just really wasn't affordable, so it really wasn't something that was attainable for our department to use. And that's why we didn't choose VSTracking. We ultimately chose Casebook because it looked very easy to understand. We did have a few meetings where we would go through, I believe his name was Corey, we would go through a presentation on how Casebook is used, how to set up clients, how to input the services that we provide, and it was very user-friendly. So that was one of the major factors is that it was user-friendly. It was something that we were going to easily get up and running and start implementing with keeping our stats and keeping a caseload of all of our files. Casebook worked with us a lot. We had set up meetings, and once we got into the program, I'm sorry, I don't remember their names, but there was two girls that were always checking in with us. They helped us customize the services that we provide because we were getting Casebook, so that way we can input our grant stats. And so Casebook was able to customize the exact services that we provide so that we can keep an account for those. What we really appreciated was that they did have weekly meetings with us, and they were basically on call as we needed them to set up Casebook and to get it ongoing where we can input our stats, start inputting our clients. And what works really good is at our office, it's myself and another coordinator that we provide the victim services, so she could see the cases that I'm working on. She could see the services that I've provided, and likewise, vice versa with her cases. So if I'm out of the office one day and she's there and I have a victim come in, she's able to see what I've done with that victim. She's able to see what services I've provided, and she can see what our most recent conversations were about. So integrating Casebook, getting it started with the onboarding, there was good support, so it was fairly easy and we didn't really have too many hiccups in the road. The two girls that worked with us from Casebook, they were able to customize our platform so it can reflect what we needed it to reflect as far as the services we provide. Well for us, we found that Casebook was also budget-friendly. When we were looking at different programs and software, I mean, they were expensive. And let's be honest, a lot of us might work for nonprofits or we might work for law enforcement agencies, and we don't have a very big budget. So Casebook is affordable and it's, to me, budget-friendly and it's easy to understand and it's easy to start using. And what I like is you have a basic dashboard. Your basic dashboard shows you all the cases you've entered. If ever you just get asked, "Hey, how many victims have you serviced since we started Casebook?" Or you can easily pull up the stats. "How many victims have you serviced in the month of November or the month of October? We're already getting past Thanksgiving, but it's very easy to use. It's very user-friendly, and you can set up logins even for your supervisor. So your supervisor can go in and access to see where you're at without even having to take time out of your day. "Hey, can you provide your stats?" They can go in and check. Another thing that we like is that Casebook, it's a website. So if I'm working from home or if I'm out on the road and I need to update or enter stats or information, it's accessible. It's not stuck at the office. So it's not always good to bring work home, but when you need to, that's something that you can do with Casebook. It's easily available.

Vendor response

Nicole, Thank you so much for your kind words. We are thrilled to hear how Casebook has supported you and the work you do with your clients. We hope to keep building and providing you with more value in the years to come!

We were never able to use the platform.

Reviewed a year ago

Misleading and high sales pressure.

Pros

We were never able to implement it. It was a total waste of our nonprofit funds.

Cons

Sales pushed us to choose the DIY onboarding which was horrible. Several months in of us trying to set it up for out organization, I was told that most organizations that are successful implementing it on their own with just a few hours or training, usually have an “IT Team” to be successful. They knew we have 2.5 employees. Requested assistance from July of 2022 - April 2023. Finally we were provided additional self-help options in April 2023.Request for a partial refund since we were never able to use it for a single client, was denied.

Vendor response

Kathie, We are very sorry to hear that this was your experience. We are constantly working to improve our expectations setting and description of what is needed to successfully onboard the system. We have started offering a new service to pair organizations like yours with Casebook vetted consultants who can configure the system when there isn't capacity in-house to do so.

Housing Case Manager Casebook Review

Reviewed 2 years ago

It is way better than using the traditional paper filing case management system, however there are still some ways to go to perfecting it. Overall, I am happy to be able to have the software over not and I still think it is a great tool.

Pros

I like that it is mostly pretty basic, and easy to understand. I like that it is neater, safer, and more convenient then paper files and notes. I like that it is customizable and that my colleagues can easily access the information that I want them to see easily or I can restrict it.

Cons

That there is no android app that I can access Casebook from my phone from, and that there is not much for filing, holding onto, and organizing paperwork, documents, etc. I also do not care for how it appears so much and the lack of explanation in some way for the applications. I also wish there were areas that were more generalized and not specific just to clients but that the software could be more customizable to our company and how we run, rather than us having to conform to the software.

Has lots of bells and whistles

Reviewed 2 years ago

It very overwhelming how many tools and capabilities this software has however after approximately 3 months of using it every single day we are learning what we need and what isn't so important after all.

Pros

Ability to customize to our organization Single contact person helping us step up our platformAll of our contact notes in one place and knowing who wrote them

Cons

There were a lot of glitches when we first started using Casebook. For instance if you are logged in on your laptop and switch back to your desktop, one will overwrite the other and not save your work. We learned this the hard way a few months in. Other con was the lag/load time. We had to work on our backend IT and get everything up to speed before we could use casebook in real time.

I do case Managment for a nonprofit.

Pros

I like the overall layout of Casebook. It is nice to have a data base for the students that I work with.

Cons

Creating and closing cases is much more complicated than it needs to be. There needs to be a more intuitive and simple way to open and close cases. Also when I close a case it still shows up with all of my other cases. When I close a case it would be nice if it did not show up with all of my other cases. It would be nice to have a cleaner set up

Casebook use in small human services organization

Client/case file management

Pros

The system has simple form and user interface creation. Adding users is simple.

Cons

Lack of ability to customize data fields, remove or delete fields we do not use. Lack of implementation support, You must install and implement the software yourself, alot of client data must be entered manually. Implementation on our own was challenging, and we had planned to pay for some implementation assistance from a vendor, but it was not even an option.

Casebook: First Impressions

Reviewed 2 years ago

I'm still learning, so I will admit that my experience is limited. I hope that it can continue to grow and become more user-friendly.

Pros

I can tell that a lot of thought went into this program. It tries to cover every area that you could possibly need to keep an organized database for social work and medical work. There's a lot of potential to use this platform to keep everything organized and kept together.

Cons

Sometimes, things aren't very intuitive. It doesn't flow super easy and those who have just started working in social work may not understand the terminology/where to go to complete their company's specified tasks. Also, the support chat system always seems to be down and it's hard to get in contact with anyone to ask simple questions.

Casebook is advantageous to our organization

Reviewed 2 years ago
Pros

We can use this product on our laptops, smart phones and hand held devises. The ability to put in notes and upload attachments into a case is very important to what we do.

Cons

1. I wish you could do tasks from the Engagement page instead of needing to go to Intake page. 2. The ability to start and stop time you spend on a client under the Case Email addresses/Communications. This helps with time spent on working with a client. Needing to add time under "Recent Notes" along with any conversation or work done helping a clients seems double work.

Using Casebook for small non-profit

Reviewed 3 years ago

The problems that I can solve with Casebook are excellent. From tracking participants' employment history, career coaching sessions, graduation dates, etc.

Pros

What is most helpful about Casebook is that the Community Culinary School of Charlotte can capture all of our participant's information, from employment history to the medications that they are on. With Casebook, we can track each cohort so that we can follow our participant's successes. One of the essential features of the Community Culinary School of Charlotte is the ability to query information to provide detailed information to our funders. The advantage of using Casebook is that you will capture data on all of your clients smoothly and effectively. Thanks, Casebook, for such amazing software. It was very easy to integrate Casebook into our organization.

Cons

There isn't anything that I can think of that I don't like about Casebook. [SENSITIVE CONTENT] has been the best at ensuring that I understand everything about Casebook that I need to succeed.

Thanks for the great review, Warren! We're proud to be your partner and look forward to doing great things together!

Great product for a growing organization

Reviewed 4 years ago
Pros

The biggest thing we were looking for in implementing this software for our org was the ability to track applicants to our program as they moved through various stages of the certification process, and Casebook has definitely been helpful with that. I think it will grow with us well as we work to expand to other areas of the state, allowing our staff to work remotely and still have the info they need as we recruit and support foster families.

Cons

Because we got in early, which was a plus, there are some features that are not fully up and running yet, especially related to applicants. We also ran into some bumps when importing our current contacts - I think that process could have been more streamlined.

Vendor response

Thanks for your review and for being an early adopter. Your feedback is how we improve.
