Best Lab Management Solution

Pros

This product is a great lab management tool. Many nice features for instrument management, many different roles/access level to instruments and easy to deploy/scale. I highly recommend.

Cons

The only downside but I really hope it will be implemented in the near future is that it currently has no solution for inventory management, so I have to rely to alternative products

Amazing management software for your research institution

It is the best management software I have tried for booking instruments, rooms and spaces for research institutions... and I evaluated quite a few for the institute I am working in. It can easily handle more than 100 users and over 200 different equipments/spaces! AMAZING SOFTWARE!

Pros

Extremely flexible customisation for specific instruments. It can handle large number of users with different policies. Very advanced options to manage external bookings. Easy to administer.

Cons

Not easy to make multiple or repetitive bookings. Sometimes it is not extremely responsive during bookings.

Lab Management Magic!

Pros

Clustermarket is extremely easy to set up and both essential & helpful in managing labs with a high volume of team members. It makes scheduling a breeze!

Cons

The methodology of scheduling and making edits to the reservations can be a bit rigid at first, but the learning curve is relatively low. Once you get the hang of it, its smooth sailing.

Excellent and easy-to-use laboratory equipment management tool for managing the equipment booking, maintenance and usage monitoring and recharging.

Pros

The software was very easy to set up, the technical support was excellent to get it working. The users find it intuitive and easy to use. Most of the features such as the booking calendar, maintenance announcements, reporting, equipment or user set-up are well designed. I am very keen to use QR codes.

Cons

I have the same equipment listed several times in different Groups. I cannot add to one user two Groups with the same equipment listed in these Groups.

Vendor response

Unfortunately, users are not able to have multiple points of access to equipment as there may be conflicting booking rules. For example, in group A all bookings need to be approved, whereas in Group B no bookings require prior approval. If a user was in both groups, it would cause a conflict as there would be no way of knowing which rule to follow. Nevertheless, we greatly appreciate the feedback and have shared it with the product team for their consideration.

a few things could be improved: 1. create phone apps 2. assign trainer automatically/selecting option upon booking by an untrained user. 3. one click the approval page as an option for booking request

Great software package for academic institutions

Pros

We use Bookit to book equipment internally across all our research platforms, including high-spec and day-to-day equipment. They have a great offer for academic institutions and we have found the system easy to use for lab administrators and users. I would also note that the customer service provided has been great, they are very responsive and open to making updates to the system when we have suggestions. The updates provided have allowed for a sophisticated and robust set of permissions available to tightly control bookings on heavily used equipment. We also have plans to start charging some external users for access to some equipment and Bookit is equipped to manage this.

Cons

The reporting provided is comprehensive in that all data can be easily exported into a csv file and manipulated into your own reports. However, I think lab managers/administrators would benefit from some quick reporting directly in the system (e.g. usage of equipment across a facility or over time).

Bookkit - new kids on the block

Very happy with the software and the support from the Clustermarket team. We have managed to solve all sorts of booking problems thrown up by the pandemic with minimal fuss and our users are very happy with the way it all works.

Pros

This booking system comes as part of the Clustermarket app and allows other customers to find services and equipment at participating organisations. A quote can be obtained for the service and the customer also pays Clustermarket a fee for facilitating the deal. This allows educational and research establishments like our NMR Facility use the app free of charge. We have found Bookkit to be very easy...

Cons

The worst thing about the software is probably the notifications that the software gives the administrator. As we have so many bookings each day the notifications soon built up to a level that caused the server to timeout when trying to display or mark them as read. It would be nice if we could switch the notifications off in the software whilst retaining them via email as a record of the bookings. I am also hoping that equipment will soon be able to be removed from the app if it is now redundant or not required to be bookable by the lab administrator so that the dashboard can be made less cluttered with equipment that no longer exists!

Our development team have fixed the issues with notifications and they should now be deleted automatically after 4 to 7 weeks depending on the read status. We are also working on removing the equipment and will update you as soon as this is possible!

Easy to use, good for lab management

I like the feature of back booking, and the report is simple to understand, and provide enough information for us to value the usage and benefits of certain equipment.

Pros

It is easy to use. Very useful for lab management, especially when you have a range of equipment to be shared by different users. The report is very useful to get an overview for the usage of various equipment/services.

Cons

Registering new users take time. Admin cannot register a group of new users directly and easily.

Hi Han, thanks a lot for the positive feedback! Actually, you can use our Multiple User Invitation tool to give access to many users at once. It is super easy - go to Users > Add Users > Invite Multiple Users > Select Role (e.g. Researcher) > Generate URL. Simply share this URL with your researchers - when they click on the link, they can register and have access to the account. You can even already create a Group for them with defined booking rules and equipment, and select it before generating the URL, this way, the users who gain account access via the URL will already be part of the correct group and have defined booking rules and will be able to book equipment. Returning to the lab during Covid-19 using Bookkit

So far so good - we have been pleased with how quickly we have been able to integrate the platform into our labs and it has met all our needs so far. Of particular note is how quickly the team have been to respond to any queries we've had, which has been excellent considering that the software is free to us academic users.

Pros

Bookkit has so far been an invaluable tool for our laboratory to return safely to work during the Covid-19 pandemic. As an academic lab we needed free booking management software that could be quickly deployed to make sure staff numbers on site could be controlled, Bookkit more than meets this need. We have found that as well as the basic function of booking equipment, Bookkit provides numerous other useful features that allows us to assign staff to 'bubble' groups (shift patterns), produce reports of staff present in various areas should we need them for track and trace, plus the ability to upload supporting documents such as SOP's and risk assessments.

Cons

Initially we had issues due to only one administrator account being allowed, which became difficult when our whole building decided to adopt the software (containing multiple labs). However the latest Bookkit version now allows multiple administrator accounts. The Bookkit team seem very keen to engage with users in order to provide a good experience and seem open to any suggestions made for improvements.

Clustermarket "Bookkit" is easy to use

Customer service has been absolutely fantastic since day one. Don't think I've waited more than a few hours ever for a response.

Pros

This software is very easy to use for both administrator (my primary use) and end user. Setting up new users and training take little to no time.

Cons

Users are unable to edit their bookings after-the-fact, which is difficult when this is being used for billing (I am doing it all myself). The only way for users to edit past bookings is if they get admin status, which would make it much more difficult for them to use (would see everything vs. just the instruments they can use) and take away the point of the software.

High Tech, High in Customer Support

Excellent, highly recommend!

Pros

The software has many nuances in which you can explore and fine tune to suit your needs. I love how much time it has saved us as a rather small organization, but we have to manage many residents. Using Bookkit has made our booking practices seamless for the users, and easy for us as management - it was really a no brainer.

Cons

Anything I had issues with have been resolved, or they were able to accommodate for us!

An absolute saving grace

Pros

I was sceptical when I first heard about the company, their software and the service that they offered. However, using this software has kept out personnel safe in the covid-19 pandemic, allows us to easily advertise and sell our equipment to outside users, the support is fab and the platform is very intuitive. All in all this is marvellous.

Cons

I really do not have anything to moan about yet however, am still working on brining other departments systems onto this platform.

An essential management system for scientific labs

The Clustermarket team is very helpful.

Pros

Bookkit tool is essential for managing the facilities in three labs in our College of Engineering. During the pandemic period, the system has been helping us to coordinate the use of the facilities and minimize to put too many persons the lab to keep social distancing. Furthermore, it helps us to keep a track on the training, equipment downtime, and user usage.

Cons

There is no issue. We really like the system.

Covid measures in a research institute

We loved how easy was to implement it and we have started to explore other possiblities (external service, costings).

Pros

We had to implement the whole booking system for the research institute under the new covid 19 measures. It took us less than a day to place all infrastructure and all users. We run a transition period from the previous system (excel sheets) to the new and in one week we were all using it.

Cons

I don't have a the moment anything that I don't like yet. Maybe confirmation of bookings could be done on multiple events at once, but it is something very minor.

Requires some work to set up, but a good solution for us

It's been ok overall. I have reached out to customer service several times to figure out how to do things that should have been pretty straightforward but weren't due to the usage assumptions that the developers obviously made. Customer service has been responsive - I'll give them credit for that.

Pros

The fact that the free version is so capable is a huge deal. Many other similar packages don't have that kind of functionality in the free version. It's pretty intuitive for users to get signed up and running - not necessarily intuitive for administrators in setting it up, however.

Cons

Some of the functionality is fairly counterintuitive. It is obviously structured with the idea that outside people will be requesting access to use your instruments - sort of like a big Clustermarket community. If you don't operate that way (and we don't) then some of the ways in which things work in the software is pretty cumbersome and counterintuitive.

Cons

Not all the instruments can be seen at a time or those instruments I am looking for are not able to see using the search button. All the time going through the portal. Also, new equipment adding issue still there!

Excellent lab management software

Using Bookkit has been a great success; both from the operators and user perspective. The benefits have been seen by all.

Pros

In the current climate we needed to be able to promote social distancing and be able to remotely control access/use of multiple laboratories and pieces of shared instrumentation. Bookkit was an outstanding piece of software that allowed us to easily setup and implement a whole new system for accessing and using our labs. The feedback from our users have been very positive and has been a revelation in how we operate, allowing us to continue to provide a service during these trying times whilst keeping staff/users safe.

Cons

We do not require a 'pricing' system, having to supply a quote, for internal users and is therefore unnecessary for our needs. However we have easily been able to work with it, despite the fact it is not required.

Good software when used for the appropriate purpose

Using Clustermarket has made much of our equipment booking far easier. This has helped a lot during the pandemic by allowing staff to plan their work much more efficiently, and only come into work when they need to.

Pros

Clustermarket has allowed us to make booking of key equipment much more efficient. It is easy to plan work as the time that the equipment is available is clear. Booking is straightforward. it is easy to examine instrument use and determine what equipment is under pressure.

Cons

The software at present does not make it so easy to define "default" areas that a user might want to go to. I would like to have more control over the dashboard and what I see directly on login.

Bookkit is a very nice product, so useful to manage the usage of shared equipment of our research center. Is a very friendly platform, with a large number of options to customize the services according to the needs of each laboratory. Their customer support are really efficient.

Pros

The feature that I really find useful is that we are able to manage different laboratories, with different users on the same platform.

Cons

I would like to have more options to customize the schedule of equipments. For example, set more than one time-block at the day where the equipment will be out of service.

Decent tool for scheduling shared equipment and space usage

I think it is a good tool so far. With the recommended improvements it could be better.

Pros

Click and drag to select time ranges for reserving space and equipment. Straight-forward to navigate the pages Dropdown menu for different lab spaces with different sets of equipment to reserve. Ability to have pictures of equipment for the users to know what they are reserving.

Cons

The approval process seems a bit intensive - each time chunk for each space has to be approved unless the user is an administrator, at least with the settings we use. This can be a lot to manage and approve if each user uses a lot of different space and equipment each day. A very useful feature for users that I recommend implementing would be something like saving a reservation profile so that if a user has to use the same set of equipment/space multiple days in a row they don't have to click and reserve so many things for every day - a single click option to repeat a prior days reservation, and be able to give it a title like "DNA Extractions" or "Library Preparation" would make it easy as a user to reserve space day after day.

Lab Instrument Scheduling made easy

It has been an easy change for the lab and users. Going from paper and Google calendars, this has been such an easy and welcome addition to the lab. Makes my job as the lab manager much easier.

Pros

Very easy to setup and manage. Adding users is very easy.

Cons

The inability for users to edit their own bookings AFTER completion. The only way this is done is if they are given Admin access (which no one wants to do for a user).
