Regrettably I was sold a bill of goods. ePrescribe functionality with DrFirst was only partial of what the standalone DrFirst product offers, the integration with my existing credit card software was promised but after integration was useless and I reverted back to my old system anyway. Customer service was always available and helpful, but at the end I was charged for 2 months of access for using the program for just 2 weeks. They would not refund the 2nd month of charges because they do not refund for cancelations as a policy.
- the customer service was within the product and relatively immediate in response. This is helpful as you will need them a lot.
- ICANotes is noticeably slower relative to other EMRs and other computer programs. - There are places where you can get stuck and can't move. For example, creating a patient chart that does not have all the required information gives you an error message. - The actual look of ICANotes is grainy and unclear. It is a difficult program to look at throughout the day. - Scrolling is too fast. The windows...

ICANotes has been a solid system providing the flexibility and compatibility needed in today's complex healthcare system(s). Initially and even today, ICANotes promotes itself as a behavioral health platform. However, as a larger Integrated Care private practice with over 30+ users and a multidisciplinary team of professionals this EHR has been able to meet every need we have had and more. The platform...

With Icanotes my notes are much faster and know I am going to incorporate the billing at my office.
The organization of the working from left to right.
The selection of the drop down choices tend to be more pathalogicall then the clients I see therefore I end up typing more than I would like.

Overall, I am very pleased with ICANotes for electronic mental health records. They appear to be keeping this product current to meet the everchanging needs within the mental health field. I have recommended this product to other professionals in my area.
Loved the ease of downloading to my computers and finding video instruction for using the program. The support staff has always been extremely helpful and friendly. I like the features that allow me to tailor my progress notes to the way I focus on treatment issues. Progress notes can be completed very easily and quickly. Appointment book and patient account features are easy to learn and use.
The billing on HCFA forms will only print one service per form and I would like to be able to print and bill weekly or monthly with several charges on one form. If you subscribe to clearinghouse for billing this is not an issue.

Highest recommendation. No reservations. I am an "early user" and have been using ICANotes for over ten years.
Button driven narrative note is fast, easy and secure. Supports multitude of symptoms + adult and child population. Program scores and delivers valid E/M code specific to inpatient (and outpatient) setting. Can pull up any note 24/7 from any computer anywhere in the world with internet connection. Progress note can be constructed in two minutes. Supports practice management...
There are no cons. ICANotes is a "must have" for any behavioral health practioner, outpatient or inpatient.

I have used ICANotes off and on since the early 2000's. The only reason I stopped using this powerful program was due to the constraints of where I was working. There are so many improvements over the past 10 years that when I returned 2 years ago I was amazed. Perhaps one of the best features is there customer support system. Questions are quickly answered. If you have suggestions for improvement, someone actually reviews these and even implements the better suggestions. I could not recommend this software system enough. I wholeheartedly give this a 5 star rating!!
-Excellent customer support -Constantly updated and improved -Easy to use -Easily customized to my needs as therapist -Set for a wide range of healthcare providers -Integrated billing process -Quick notes that touch on all important aspects of visit -Economical, especially in light of how much you receive for the monthly fee
There are really very few cons that I would downgrade ICANotes about.

We would appreciate a patient portal or mobile capabilities (i.e. tablets, smart phones, etc).
We appreciate the versatility with creating initial assessment or progress notes (i.e. tabs, buttons, etc.).
We have had consistent troubles getting claims correctly prepped. Information will be dropped or added incorrectly. Current example with ticket #: 104307

After using other software for several years I switched to ICANotes and have been very satisfied. I spent several months researching options and tried quite a few programs. In only a few months I have reduced time spent on notes and have more time to spend with clients. I would highly recommend the program.
Ease of Use Great customer service even late at night when learning to use the program. Specialized help to create billing profiles for different insurance companies. Shortens the time I spend working on notes. Mobility-information can be accessed from my IPhone if I need information and am not at the office.
None I can think of, it has been a great program so far!

Know that my best choice was to throw in the towel and cut the losses.
After 8 months of endless problems and little support from technicians, we discontinued using the software. The extra expense of paying for mistakes made by a poorly conceived and slow-running program, for which the technicians and management would not and/or would not remedy, is unfortunate. The vendor refused to compensate for lost revenue due to poor programming.

Using ICANotes is very easy to navigate. Mistakes are easily corrected and functional steps are very easy to follow. The support team are very patient and knowledgeable about the software. The trainers are very good. My training experience with our rep has been so helpful and supportive. I will recommend ICANote any time.

I have not encountered business issues with ICANotes. They have excellent customer service. They provide ongoing training as needed and they take time to make you feel confident using the software.
This software has highly impressive features such as creating mental health forms such as screening questionnaires, creating treatment plans with measurable objectives, and very thorough mental health assessments. The case notes are very easy to create and include a comprehensive mental health status examination. Also, you can link your treatment plan to your case notes so that you can address the progress made in treatment when writing a case note. It has a comprehensive list of all psychotropic medications.
It is easy to integrate into your practice because it has all the necessary features for mental health providers, for example, CPT codes, assessment forms, consents, a fully integrated calendar with automatic reminders for the patients, and more importantly the capability to connect with a clearinghouse to submit electronic billing. It also has a patient portal. Very functional and extraordinarily helpful to create clinical notes. It has a telehealth platform too.

We have been using the ICANotes program for 4 yrs. The customer service has been exceptional and courteous. They offer webinars and training for all aspects of the program and include tutorials on their website which is great when hiring new staff. ICANotes has assisted us with issues and accommodated our needs when modifications/adjustments were requested to suit our practice needs. The team at ICANotes...
The program does everything we need. All tasks can be completed with the features encompassed in the program.
Minor issues...... 1- I find the appointment book is extremely slow. I was told it would improve several months back but, the staff reports this most often and is the most reported issue that becomes time-consuming for staff scheduling and is frustrating for clients waiting on the phone. 2- Populating the Treatment Plan - when completing a follow-up treatment plan it populates every treatment plan...

ICANotes offers all the necessary features to document clinical notes and asessments and at the same time to be in compliance with regulatory mandates by insurance companies and the government.
A dasboard to track documented and unducumented sessions that would allow to track any undocumented session. Also,

Overall I would give ICANOTES high marks for ease of use and customizability .ICANOTES operates much faster than I expected even though the computing is done in the cloud. I had feared it would be like Allscripts prescribing system which is quirky and slow. I anticipate that using ICANOTES will allow me to go fully paperless within a year.
I have found it very easy to use and learn very quickly. I was able to complete almost all my notes during visits with patients by the second day of use. I also found that typing personalized information was actually easier than handwriting notes .As I see a fair number of Workmans Comp patients it insures legibility and makes for a more refined note which has to be submitted with claims. I have not...
It was a little difficult to be able to upload patient data - not because of ICANOTES but because other systems do not setup data to enable conversion to excel or csv files (Therapist Helper, for example). I also found that prescribing systems do not share information either (Allscripts). I fortunately did have enough data from my scheduling program(Scheduleview) to get the baics put in. I was getting a little panicked at the thought of having 700 patients entered manually. The scheduling program in ICANOTES is a little underpowered as I would like to see it have the capacity to send out reminders which I understand is being investigated.

I have been using Icanotes since 2012 and do not regret the decision to go with Icanotes. I had researched numerous EHR's and found this one to be most affordable and customizable. There have been little problems along the way, but support has been right on top of correcting any problems. It also is a do it all EHR, including progress notes, billing, patient portal, etc. I highly recommend it.
It is easy to learn to use. First day I used it, I was able to keep up with notes throughout day. E prescribing is integrated with Dr. First which makes for easy record keeping and taking care of renewals. Icanotes is also customizable by creating buttons which will insert appropriate language where needed.
Initially, there were some quirky things about navigating , which have since been corrected.
Hi Michael, thank you so much for your feedback and thank you for being a long-term customer! We really appreciate the review and we're looking forward to serving you in the future.

I believe ICANotes represents the best value in EHR for the small two medium-sized mental health practice. No other system offered is as well tailored to providing the type of medical charts kept by mental health professionals. The vast majority of EHR systems on the market were designed for standard medical practices geared towards labs/procedures/meds and are ill-suited to the needs of the mental health professional.
Built from the ground up for psychiatry needs, and quite customizable. Allows the quick creation of patients notes without the need for much typing. Integrates EHR with billing and calendaring to provide a complete solution for individual providers or small to medium practices.
Visual interface is dated, some tasks take many clicks to accomplish. However, both of these are being worked on by the company.

It is easy to use and easy to train new employees to use it.
Overall it is simple to train new Mental health techs for our Mental health rehab ( community based services) It is easy to access from the field, but clicking is difficult because of the way you must click when using it on a tablet or smart phone. The system is relatively easy to use for those new to the industry. It is less expensive than many of the other integrated programs, BUT once you realize you now pay for the ehr/billing program and now you are gettiing a seperate bill for the clearing house and you are having to pay a monthly fee for each mental health tech and each licensed person both to icn and to a clearinghouse, it is suddenly much more expensive than using a high end integrated service.
The billing software is a horrible, with repeated problems and errors, very limited audit trail, very limited ability to speak with the best clearing houses, relegated to smaller, less advanced clearing houses, lots of lag, slow at times, notes that are saved disappear, lots of weird glitches that tech support has no clue on how to resolve the issues. It is too busy to look at, if you are dealing with...

Since I am an individual in private practice, I cannot speak for how well this works for groups. Yet, I can tell you it is a Godsend for myself and my billing agent, who is also registered on my account and can simply look at the appointment schedule for the week, see who came in, and go do the billing for those sessions. We no longer have to make time to meet, dragging along files and flash drives....
I shopped for months to find an affordable and adequate program to assist me with keeping my documentation up to date. When I found ICANotes I was very pleasantly surprised to find it has exceeded my initial expecations. Once I got caught up with documentation, I found it takes only minutes to document after each session, adding the individual's unique comments and my observations easily to the appropriate sections allowed in the format. So easy to edit, save and print. I am a very grateful therapist!
Since I am one who does not enjoy reading manuals, I was happy to learn from videos provided by ICANotes. However, I would have preferred to have just "explored" the software and figured it out, I did sit through a few hours of video training to discover how to do what I needed to do. (I must admit I am happy to have those videos available for swift research, when needed.)

Simply the best customer service of any company I have had the pleasure of working with. Throughout the whole company everyone is constantly working to accomplish some not so simple things (well as I see anyway) and this is to work for the providers to meet all the requirements of federal, state and private insurance sources while accomplishing meaningful use standards to get the provider paid appropriately...
So many things but the biggest pro for me as an individual provider is not having to type and still reach the highest medically correct billing. The ability to auto post payments from the clearinghouse right into ICA Notes is worth gold to me.
The only con to this program is it does yet have the ability to let customers self schedule or reschedule but I think this may be in the works.

No great. I think this would work as an end to end solution for a very small mental health practice. It is not good if you need to get things done quickly and efficiently.
My mental health providers that have been on this software for a long time really like it. They are very fond of the EHR and feel like it works best for them.
I don't like a lot of things about this software. It is very slow, there is not enough RAM to run the software through their "web based" rdp connection. Terrible customer service, no ability to reach anyone, when you do they are not helpful and never provide solutions. Trying to create an integration with their "preferred" partners is an impossible task. They want to charge for services that no one else charges for and do not respond for months at a time even after following up weekly. Running reports is almost comical. Something that would take seconds in another billing system takes hours or even DAYS to complete in ICANOTES. We have a special computer that only runs reports on ICANOTES because they can take anywhere from 8-24 hours to run and then "export."

Nothing works the way it is suppose to. Logging in takes five minutes or more. The system "Crashes" almost weekly, but you are still to pay for a service that you can't use. Telehealth works when it wants to. You either get sound or video, but not both. We go hours without being able to see our calendar or update notes or do billing because the server is updating. Support is absolutely useless. You call and wait 20 minutes to talk to someone for them to put you on hold so they can reach out to support. I would choose any other program besides IcaNotes.
The appointment reminders to patients....
Support is not helpful. Server Crashes. System takes too long to load. Hard to navigate. Screens repeat themselves. Takes to long to navigate between calendars for different providers. Telehealth doesn't work the way it should. Notes are repetitive and not individualized.

ICAnotes can be slow to load at times and you see lags especially when billing. Missing the ability to void claims which would be great. Auto post on payments does not always flow well and can make record keeping confusing. Great software but could be better with some tweeks.
Charting is simple and flows well
Slow to respond Billing features lacking auto post is not consistent and does not post in an organized manner, making your accounting confusing.

Lately I have been calling them every day for IT support and although it says I am first in line, nobody answers the phone. I also try to live chat at the same time and they will take over my computer run a "test" and say everything is fine. If it is so fine, why as soon as I resume use do the same problems occur?
When it works, it has good features that make charting faster and easier.
It has issues 5 out of 5 days a week. It is impossible to go directly to the chart room so that starts the day off totally wrong since that is where you are most likely to go to get your patient chart. Then when you can get the chart it decides when you can actually document in the chart . I wait a long time for a blue ring to stop going round and round and I also wait a really long time for something that says a find is in progress and processing inquiry. I get a coffee cup with steam several times a day as well and I have no idea what that icon means. Does mean, your patient will wait while you go get a coffee of coffee and we get this software working?

Overall this was a great experience. I would absolutely recommend this to anyone in need of a good scheduling system.
I really liked how easy to use this was for scheduling patients and for records.
It would often mess up for one reason or another and the entire system would be down and unusable.
