We would appreciate a patient portal or mobile capabilities (i.e. tablets, smart phones, etc).

Pros

We appreciate the versatility with creating initial assessment or progress notes (i.e. tabs, buttons, etc.).

Cons

We have had consistent troubles getting claims correctly prepped.

Best EHR for the mental health professional!

No other system offered is as well tailored to providing the type of medical charts kept by mental health professionals.

Pros

Integrates EHR with billing and calendaring to provide a complete solution for individual providers or small to medium practices.

The best overall dynamic documentation program I have seen so far. Learn to work around the limitations and you'll probably like the product. It does help you save time. Note, however, that if you have a low-volume practice it may not be as cost effective as it is with practices that have a high level of patient flow.

Pros

Some customizability. Once you get the hang of it you can produce a reasonably good clinic note in a brief period of time.

Cons

I give very frank reviews and I know something about software development, so consider that perspective in the following "cons". A little slow at times, even with a very fast internet connection. The application was not developed from the ground up using machine code. It is built on a platform that sometimes slows the process (on rare occasions frustratingly so) and limits the flexibility of developers and tech staff in creating a high level of adaptability. But if you don't mind a bit of awkward formatting and not having a couple of common keyboard functions (e.g., the Enter key on the numeric keypad), you can produce acceptable output. I suspect a competitor will emerge without these limitations in a year or two; maybe that will prompt some improvements.

ICANOTES REVIEW

Overall I would give ICANOTES high marks for ease of use and customizability .ICANOTES operates much faster than I expected even though the computing is done in the cloud.

Pros

I also found that typing personalized information was actually easier than handwriting notes .As I see a fair number of Workmans Comp patients it insures legibility and makes for a more refined note which has to be submitted with claims. I have not yet used the customizable buttons yet (I've only been at this one week) but expect that using them will make my notes seem more like what I naturally write.

Cons

The scheduling program in ICANOTES is a little underpowered as I would like to see it have the capacity to send out reminders which I understand is being investigated.

It also is a do it all EHR, including progress notes, billing, patient portal, etc. I highly recommend it.

Pros

First which makes for easy record keeping and taking care of renewals.

Cons

Initially, there were some quirky things about navigating , which have since been corrected.

Know that my best choice was to throw in the towel and cut the losses.

Cons

The extra expense of paying for mistakes made by a poorly conceived and slow-running program, for which the technicians and management would not and/or would not remedy, is unfortunate.

An increase in rates would tremendously help offset the additional costs accrued for agency's to remain in compliance with state, federal and local regulations thus, allowing agencies to add additional features that could really benefit service delivery.

Pros

The program does everything we need. All tasks can be completed with the features encompassed in the program.

Cons

Minor issues...... 1- I find the appointment book is extremely slow.

Recommendations to others considering ICANotes

1- It would be great if the electronic signatures were displayed on MacBook. Mine always shows an ERROR msg. Although, the signature is still there on other window computers in the office. I can't print and send docs to other offices with this bc it looks like the client did not sign correctly, with the ERROR msg by the signature. 2- I was recently mad aware the TOPAZ signature pad now has a wireless signature pad. It would be great if it was compatible with the ICANotes program. I have had to replace 2 pads due to the cord becoming twisted from clients signing and moving the pad back and forth. The NEW wireless TOPAZ would eliminate this issue and have saved me $1060.00 for 2 signature pads. And TOPAZ does not offer a replacement cord. There is a charge over $100.00 to send it back to be repaired. No issues thus far with 3rd party add one, Dr. First works well. I canceled SFAX due to poor customer service and excessive cost, and ongoing failed faxes. Approximately 6-10 in any given day. It was a nightmare. Spoke with the tech at ICANotes, I 'll wait for ICANotes to initiate their own fax program.

Pros

Lots of templates and easy to click through to get notes done, with the items you need to bill insurance.

Cons

It took a lot clicking to complete a note and it takes time to learn where things are. The learning curve was too steep for me.

Overall, I am very pleased with ICANotes for electronic mental health records. They appear to be keeping this product current to meet the everchanging needs within the mental health field.

Pros

Progress notes can be completed very easily and quickly. Appointment book and patient account features are easy to learn and use.

Cons

The billing on HCFA forms will only print one service per form and I would like to be able to print and bill weekly or monthly with several charges on one form.

I would definitely recommend this software.

Pros

I am now spending less time on progress notes and intake assessments which allows me more time to spend seeing clients. I would definitely recommend ICANotes to any clinician looking to go paperless.

Cons

I would like to have the ability to send appointment reminders via email, text messaging, and voicemail.

Very Basic Program , could be great but needs to be updated

It is easy to use and easy to train new employees to use it.

Pros

It is less expensive than many of the other integrated programs, BUT once you realize you now pay for the ehr/billing program and now you are gettiing a seperate bill for the clearing house and you are having to pay a monthly fee for each mental health tech and each licensed person both to icn and to a clearinghouse, it is suddenly much more expensive than using a high end integrated service.

Cons

The billing software is a horrible, with repeated problems and errors, very limited audit trail, very limited ability to speak with the best clearing houses, relegated to smaller, less advanced clearing houses, lots of lag, slow at times, notes that are saved disappear, lots of weird glitches that tech support has no clue on how to resolve the issues.

Highest recommendation. No reservations. I am an "early user" and have been using ICANotes for over ten years.

Pros

Program is designed to support various practitioners Including: psychiatrists, psychologists, therapists, nursing, social workers, dietary, pastoral counselors and supports basic medical H & P.

Cons

There are no cons. ICANotes is a "must have" for any behavioral health practioner, outpatient or inpatient.

Simply the best customer service of any company I have had the pleasure of working with.

Pros

So many things but the biggest pro for me as an individual provider is not having to type and still reach the highest medically correct billing. The ability to auto post payments from the clearinghouse right into ICA Notes is worth gold to me.

Cons

The only con to this program is it does yet have the ability to let customers self schedule or reschedule but I think this may be in the works.

Yet, I can tell you it is a Godsend for myself and my billing agent, who is also registered on my account and can simply look at the appointment schedule for the week, see who came in, and go do the billing for those sessions.

Pros

Once I got caught up with documentation, I found it takes only minutes to document after each session, adding the individual's unique comments and my observations easily to the appropriate sections allowed in the format.

Cons

Since I am one who does not enjoy reading manuals, I was happy to learn from videos provided by ICANotes. However, I would have preferred to have just "explored" the software and figured it out, I did sit through a few hours of video training to discover how to do what I needed to do. (I must admit I am happy to have those videos available for swift research, when needed.)

Death by 1000 clicks!

Lately I have been calling them every day for IT support and although it says I am first in line, nobody answers the phone. I also try to live chat at the same time and they will take over my computer run a "test" and say everything is fine. If it is so fine, why as soon as I resume use do the same problems occur?

Pros

When it works, it has good features that make charting faster and easier.

Cons

It is impossible to go directly to the chart room so that starts the day off totally wrong since that is where you are most likely to go to get your patient chart.
