TribeHR Features In Depth

Employee Profile

TribeHR has three user types: employees, managers and administrators. Employees are the most basic users and are provided with their own login credentials so they can update their own records through TribeHR’s employee self-serve system. Employees can only access their own data, including data other users share with them. Managers can access their own data plus those of employees who directly report to them. Administrators, on the other hand, can see everything, in addition to configuring the company’s domain settings and adding company holidays.

If you’re an employee and you need to update your data (e.g., you just moved to a new address), once logged in to TribeHR, point to your name at the top of the page and click My Employee File. When you click on the Edit Profile link, you’re ready to update your account details, employee details, job details, even your profile picture. An employee profile includes basic data, complete history, related documents and vacation tracking information, recent kudos, active goals, employee skills, and notes.

Kudos

Various studies show that employees are motivated by praise, and not so much by money, which goes to show that frequent employee recognition is a surefire way to motivate and keep employees engaged. TribeHR’s peer and public recognition feature helps cultivate a high-performance culture and reinforce positive behavior in the workplace. To encourage peer recognition, the green Kudos button is visibly displayed on the right hand side of pretty much every TribeHR page, which makes it easy for employees to publicly recognize their colleagues and for managers to send their team members congratulatory messages.

All commendations are stored in the employee’s record and prominently shown on the dashboard. Managers can even automatically tie them to employee performance reviews. Plus, employees have the option to post recently received recognitions to their Facebook pages.

Applicant Tracking

TribeHR’s applicant tracking feature is designed to help HR administrators organize their hiring process. It starts with a customizable job board to match your company’s branding and website. Applications can be accepted via email, or through the applicants’ LinkedIn and Facebook profiles. TribeHR creates a file for each applicant, which are then kept in a single location for easy access and collaboration.

Whether public or internal, for each posted position, the hiring team is selected and assigned. And for every application received, the hiring team is automatically notified based on pre-defined preferences. Depending on your hiring protocols, applicants can first be screened by reviewers before they move on to the hiring team. All interviewer notes, ratings and comments are kept in one place. Once hired, an applicant’s data, including resumes and cover letters, are automatically transferred to the TribeHR employee file.

Performance Management

TribeHR provides three tools to track and manage employee performance: goals, kudos and skills. The Goals tool allows managers and employees to track goals and objectives on an individual and team level. To add a goal, visit the employee profile and click the Add a New Goal button. The goal should have a title, description, start and due dates. Public goals appear in the company calendar, and employees can opt to keep their goals private or share them with teammates. Goal participants receive the goal on their employee files and see them on their overview pages when logged in. Once the goal is complete, they receive a news item on their overview page.

Kudos can automatically be tied to period-end performance reviews, and once received, a news item will be published in the company’s overview page for everyone to see. The Skills tool is used by managers to identify certain skills and competencies in individual employees, which are then tracked across the company. The generated matrix report is used to pinpoint areas for employee development. TribeHR gives managers the option to automatically include skills in their review templates. TribeHR also tracks 360 feedback, a system where employees receive anonymous feedback from their colleagues, and ongoing notes, like one-on-one or disciplinary notes.

Time-Off Tracking

Time-off tracking is a time-consuming HR process that’s better left automated. If done manually, what normally happens is an employee sends a time-off request. The manager then checks with the HR department the number of leave days the employee has already accrued. Next, he checks the service level requirement for the leave dates being applied. If work distribution wouldn’t be affected, the manager then approves the leave request and posts notes in the company calendar – an exercise that can become tedious over time, particularly if the manager handles a large team of employees.

TribeHR comes pre-built with common leave policies that you can implement right out of the box or customize according to your HR protocols. Used and available time-offs are then automatically tracked based on the specified accrual parameters and carryover policies. Employee requests and manager responses are logged. To better manage workload and service level requirements, TribeHR’s time-off tracking system integrates with the company calendar. Accruals and usage tracking make running payroll reports easier.

Pros

Still incorporating customer feedback and feature requests.

Cons

A few bugs here and there but the support team is always great in responding. Some features are still being developed so they may lack the structure or capabilities you are used to seeing from larger exclusive tools.

As a User of Tribe, it's simple but not very useful - that may be how my company implemented it

Everything is stored electronically. I can access HR resources from anywhere.

Pros

It's a simple portal I can sign on and review my PTO balance or other benefits.

Cons

It's basically setup as a network drive on a portal... maybe that's simply what our admin did though ;( Employee reviews are confusing.

Pros

Time tracking, resources, PTO booking and nice little things like sending accolades ("Kudos") to co-workers is really easy and centralized.

Cons

Our company doesn't take advantage of everything the product has to offer, so I don't know how well I can speak to this, but goal tracking for individuals and teams doesn't seem very robust.

Slow, not well thought out.

Pros

As an example you have the ability to track and manage the vacation schedule for your team, but are unable to access a view that shows you the vacation schedule for anyone outside of your team.

Cons

I love the way the system will log you off in the background, and only notify you once you hit the 'save' button, this process will in turn lock you out of the form you just spent the last hr commenting in.

Be prepared to spend a lot of time waiting for this system to do 'anything'. Watching the progress bar in the browsers tab will be a key skill for your employees to be trained on.

I want to change

I don't recommend TribeHR, unless it would change.

Pros

The security most be good, it's better TribeHR use worksheet. I don't really have good opinion on TribeHR.

Cons

I asked to add some features and they told me, we put your request on our request list and it may be improve next update.
