What is HydroScribe?

HydroScribe is a cloud-based solution that provides management features for supporting swimming and leisure pool service businesses in the management of staff and an unlimited quantity of customers across all web-enabled devices. HydroScribe provides features for managing customer records, documenting pool facilities, tracking maintenance and scheduling repairs, plus handling work orders. The system allows cost estimates, quotes and invoices to be sent, while billing scheduling offers automatic / manual modes, online payment processing, late fee policy setup and check printing. Inventory tracking then automatically tracks chemical or parts usage and costs while flagging up reminders for stock reordering. Financial management capabilities also track and feedback on income and expenditure with year-end tax reports, before QuickBooks integration adds broader accounting functionality. Route plotting tools for reaching customer sites can be optimized for economizing on fuel, with routes visualized on a map for intuitive viewing, finding work crews and monitoring field tech efficiency.

HydroScribe is then supported by the HydroScribe Pool App for iPhone/iPad, that enables pool and spa service and repair techs to log, record and submit data pertaining to the details of service calls. App capabilities include the viewing of assigned routes for reaching scheduled jobs, the record of start and stop working times, parts and chemicals used for tracking inventory, plus the ability to log any tasks and extra services performed. Users are also able to leave any additional relevant notes for the customer and reminders for their own reference. A quick-touch chemical menu then helps in logging usage during procedures, while the app allows for the native capture and upload of photographic evidence. Customers themselves are then able to access self-service support via a customer menu for viewing pool status and tech review notes, requesting services, sending messages, viewing invoices and making payments online.

Pros
Most of the products we looked at needed to be made to work for my swimming pool service business. With Hydroscribe it was already developed specifically for our industry. We love the paperless system and having our technicians using tablets and having updates visible to our office staff immediately after a service call or cleaning is completed is immeasurable. The auto bill feature is fantastic and having our clients have their own customer portal is professional and they love the ease of using it. The customer service is also 100% reliable and great to work with. We are able to add features and customize the system to our our companies way of doing things. Highly recommend.

Cons
I have to say that any time we find an area that needs improvement, it's easily resolved so I do not have a con.

Pros
Cost effective. Responsiveness to improvements that would make the system better. Consistent upgrades and new features added, most for no additional cost. Mobile app is simple and robust at the same time. User interface is easy to learn and intuitive.

Pros
The fact that it is online and very user friendly. Also, the technical support is fantastic! My phone calls are always answered and my emails responded to promptly. I always get the answers I need. Also, this software is very complete, and versatile.

Cons
Like any new software, it takes some getting used to, but with the technical support Reps provide the transition was almost painless.

This program is a must have for any pool business. It can run every aspect of your business efficiently once you learn how to setup and use.

Pros
Designed specifically for running a pool business, Keeps the customer informed on anything you want to share, all service history and data can be access by the customer at any time and customers can see everything you are in process of repairing along with pictures and notes.

Cons
Took some time to learn how to setup and do everything I needed. Kudos to the FAQ area as well as the instructional videos.

HydroScribe is a pool servicing business solution providing cross-device management capabilities that enable staff to manage customer records, schedule billing, track inventory, manage finances and also set mapped routes for sending techs to customers.

Specific system features for pool techs include the upload of photos captured in the field, the historical viewing of photo archives, photo-sharing with customers and also communication tools such as sending notes and alerts to customers that the tech is on the way.

Customers can be provided with a customizable portal consisting of an online menu for checking pool status including current chemical levels, service alerts, pool tasks performed, plus requesting services, viewing invoices and making online payments.

Financials can also be tracked in QuickBooks, along with the ability to print invoices in both applications and export options to seamlessly send new HydroScribe customer information, invoices and payments to QuickBooks to eliminate the doubling up of data entry.

The HydroScribe Pool App for iOS enables pool service techs to record service calls remotely, view routes, log start / stop times, track inventory item usage, log tasks, take notes and leave reminders.
