Main Features

Virtual Office

8x8’s Virtual Office is a web-based dashboard, accessible from a desktop computer or mobile device, such as a smartphone or tablet, that users can visit to manage their telephone features. The Virtual Office integrates an organization’s online voicemail, corporate directory, instant messaging, and video calling. Businesses with upgraded plans can also use the Virtual Office for faxing, call recording, and web conferencing.

Login to your Virtual Office online with your 8x8 login and password. Once you’ve logged in, you’ll be able to access your contacts, meetings, telephone, fax, personal history, and settings from one location. You can also make and receive calls on your desk telephone.

Online Administration

An administration portal, dubbed the “8x8 Account Manager", is available for users who are configuring their phone systems or setting up extensions. Users can also visit the Account Manager to setup Auto Attendant, hold music, and ring groups.

The Account Manager is your online portal for managing your company’s internal telephone system. Most of the information you need will be viewable in the dashboard. This is where you’ll find call log reporting, billing information, phone system setup, and account updates (such as network alerts).

Auto Attendant

Having an automated attendant replaces the need for a receptionist at many places of business. A powerful VoIP business service, 8x8’s Auto Attendant feature can efficiently direct callers to the correct department or extension, and it can be customized for different hours of the day. The Auto Attendant feature is included with 8x8’s Unlimited, Metered, and Global extension plans.

You can set up the Auto Attendant feature by recording and uploading a custom greeting. 8x8 also gives you the option of using a professionally-recorded greeting, purchasing from the company’s Audio Production Store. Your callers have the option to reach specific employees by extension, dialing by name, or by dialing from the company directory. You can also define greetings scheduled by hours. For example, some companies will have different greetings that play on holidays or after business hours.

Ring Groups

When someone calls an individual, that person’s desk telephone or smartphone will ring. But when someone calls a department, businesses have the option to setup their telephone systems to ring multiple extensions at once. Setting up Ring Groups is a way for users to group extensions by department or role. Ring Groups are also known as Hunt Groups.

Up to nine Ring Groups are available with an 8x8 Virtual Office account, however more can be added at any time. Ring Groups are a smart way for you to more effectively distribute calls within departments. The app gives you the option of having all telephones ring at once, or using a “round robin” approach.

Voicemail to Email

Automatically converting voicemail to email is an important strategy for companies that are looking for ways to make their employees more efficient. Using this feature, employees receive immediate email notifications when they’ve received voiceails, with attached audio files for quick listening.

With 8x8, you can listen to voicemails without calling in to your voicemail box. Instead, the app will send you an email whenever a new voicemail comes in. This email will contain an audio file of the voicemail, along with the phone number of the person who called. You also have the option to have emails sent without audio files, or with links to the audio files rather than attachments.

Pros

It's cheap, really cheap respectively. You get a lot of features for not a whole lot of actual investment.

Cons

It's software is super out of date, awful to use, and their websites are severely behind the times.

Love the software

Pros

The app on the computer is great. Shows me calls coming in to different extensions. I am able to fax right from my computer with is amazing!!

Cons

The only con is not with the software itself. Customer support is can be a little difficult. Some of them understand others do not.

Very buggy mobile app

Would love for the app to be optimized.

Pros

Really like the convenience of being able to take my office phone with me where ever I am. Useful in that aspect.

Cons

The app is very buggy. It goes offline after each call and if you don't restart the app, the next call that comes in will freeze on the screen. I've also noticed that the calls that come through on the app are delayed. The phone will ring twice in the office before my cell phone rings which causes a lot of missed calls if I'm not able to answer right away. Especially if the app doesn't respond quick enough.

easy to use as plug and play. can easily set up voicemails. can log in remotely even if outside the network

Cons

very limited features compared to Fonality. Does not have hud software where you can easily chat with other colleagues.

Mobile App is very Glitchy

Pros

We use 8x8 for our office and we typically don't experience issues with our in office phones. The service is pretty reliable for in office phones.

Cons

The mobile app is SO glitchy. There is a large delay from when a call is received in office versus when it starts ringing from the mobile app. It causes a lot of our calls to be missed. Sometimes, the app won't open fully in order for us to hit the answer button. It will freeze a lot and requires a lot of forcing close and reopening the app so it will function properly.

- Easy to use online interface. - Can make changes to the phone system via web portal - updates deploy immediately. - A lot of good features for the price.

Cons

- Terrible customer service; if you have to call, you'll most likely get a support rep from overseas. - The Android app has major problems, it seems every update gets worse not better and they don't seem to really care that it doesn't work properly.

Pros

- The ability to fax electronically. Being able to have updates emailed in about received faxes come was helpful for my HR team and having faxes come in as .PDF's made them much more malleable with our paperless systems.

Cons

- I have had numerous people comment on the horrible audio quality while talking over the mobile app (Android). - The limit of one account in the organization with the ability to fax was highly annoying. It limited the potential for the application in our use (Windows). - The GUI could have been organized more intuitively. It always seemed more complicated to change Forwarding settings than it needed to be to get the set up I needed (which was complex, but not the reason for the problems I was experiencing). (Windows and Android)

There have been many times when 8x8 doesn't accurately depict what was actually done. Also, I get their idea to make it sleek and simple, but there isn't enough info on the home page you help you easily navigate.

Suited for everyone, from small businesses to large companies

This product offers pretty much everything you'd expect from a high-end VoIP without the high-end price, including call recording and faxing. For most the faxing functionality is just a "nice to have" but for us, it was a feature we were specifically looking for. It also integrates with Salesforce and Microsoft Outlook, so old timers in the office will be more comfortable using it over some of the other VoIP options out there.

Cons

Not to be particular, but the interface is pretty ugly and clunky. Think login web portals in the mid-2000s.
