8x8 Virtual Office Features In Depth

Virtual Office

8x8’s Virtual Office is a web-based dashboard, accessible from a desktop computer or mobile device, such as a smartphone or tablet, that users can visit to manage their telephone features. The Virtual Office integrates an organization’s online voicemail, corporate directory, instant messaging, and video calling. Businesses with upgraded plans can also use the Virtual Office for faxing, call recording, and web conferencing.

Login to your Virtual Office online with your 8x8 login and password. Once you’ve logged in, you’ll be able to access your contacts, meetings, telephone, fax, personal history, and settings from one location. You can also make and receive calls on your desk telephone.

Online Administration

An administration portal, dubbed the “8x8 Account Manager”, is available for users who are configuring their phone systems or setting up extensions. Users can also visit the Account Manager to setup Auto Attendant, hold music, and ring groups.

The Account Manager is your online portal for managing your company’s internal telephone system. Most of the information you need will be viewable in the dashboard. This is where you’ll find call log reporting, billing information, phone system setup, and account updates (such as network alerts).

Auto Attendant

Having an automated attendant replaces the need for a receptionist at many places of business. A powerful VoIP business service, 8x8’s Auto Attendant feature can efficiently direct callers to the correct department or extension, and it can be customized for different hours of the day. The Auto Attendant feature is included with 8x8’s Unlimited, Metered, and Global extension plans.

You can set up the Auto Attendant feature by recording and uploading a custom greeting. 8x8 also gives you the option of using a professionally-recorded greeting, purchasing from the company’s Audio Production Store. Your callers have the option to reach specific employees by extension, dialing by name, or by dialing from the company directory. You can also define greetings scheduled by hours. For example, some companies will have different greetings that play on holidays or after business hours.

Ring Groups

When someone calls an individual, that person’s desk telephone or smartphone will ring. But when someone calls a department, businesses have the option to setup their telephone systems to ring multiple extensions at once. Setting up Ring Groups is a way for users to group extensions by department or role. Ring Groups are also known as Hunt Groups.

Up to nine Ring Groups are available with an 8x8 Virtual Office account, however more can be added at any time. Ring Groups are a smart way for you to more effectively distribute calls within departments. The app gives you the option of having all telephones ring at once, or using a “round robin” approach.

Voicemail to Email

Automatically converting voicemail to email is an important strategy for companies that are looking for ways to make their employees more efficient. Using this feature, employees receive immediate email notifications when they’ve received voiceails, with attached audio files for quick listening.

With 8x8, you can listen to voicemails without calling in to your voicemail box. Instead, the app will send you an email whenever a new voicemail comes in. This email will contain an audio file of the voicemail, along with the phone number of the person who called. You also have the option to have emails sent without audio files, or with links to the audio files rather than attachments.

I like that it is virtual and does not require a physical phone, I also like that it works with any of the browsers I choose to use.

Cons

You could accomplish more with different software

Good idea but in all honesty I think it would have done a lot better probably a decade ago. I just don't see a reason to have this anymore in the face of global technology as it stands

Pros

It is a powerful communication tool if you lack access to other software.

Cons

For voice calls conference calls we use Skype for business and it works just fine and now even FaceTime has multiple callers so I don't really see a need when most things are going mobile to have this type of app tied down to a PC or a Mac

Good VOIP phone service, but support has turned to garbage and apps are laggy

Sadly, after many years of use, I can't recommend it anymore due to the problems described above with support and their poorly-written apps. Their core technology is good though and it would be possible to return to good service and bring in some good talent to fix these issues, but who knows if that will happen. Why don't companies learn how much customers HATE the terrible off-shore support experiences that they have to deal with in so many industries these days?

Pros

They offer a "call park" feature that other system don't, allowing a parked call to be picked up from any other phone in the office, as opposed to other systems where you only put a call on hold and can then only pick up from the same line.

Cons

Even when the web interface does work, there's no area for taking notes or anything to attach to the recording for future reference.

1. The phone ethernet line has to go through your PC. So every time you restart your PC/shutdown your PC, the phone restarts. 2. I had initial privacy concerns due to the line going through the PC. We agreed to it due to the reputation of the company.

Simple to use phone system management

I have over 70 clients who could call at any given time and it is important to be able to easily view any missed calls/voicemails/text messages so that I can return the calls.

Pros

The application provides handy desktop notifications which allow me to stay on top of any missed calls/voicemails/text messages I missed while I am away from my business phone.

Cons

If you do not restart your computer periodically, the application can start to have issues showing notifications. I've begun restarting my computer every 3-4 days (for reasons including 8x8 software and more) and have not seen the issue since.

Our company recently moved from an on-prem system to 8x8 as a full cloud based solution for phone services. We were able to move all our services, and port over all our numbers with no impact to our clients.

Recommendations to others considering 8x8 Virtual Office

8x8 fits the bill for a lot of companies that require phones to perform the daily tasks and business. However for some companies it does not make sense to hire dedicated staff to manage and maintain these systems. 8x8 Will take care of that management so you only have to worry about what is important to your organization. I would recommend to do a full POC on the contact center part of 8x8 to understand the features and benefits. For standard PBX this system has everything that we had before plus more.

Their administration dashboard is very easy to navigate, but there are 2 to 3 different administration portals that you can access for reporting or analytics, but they contradict.

Pros

Response time from support is quick. Online self service portal is a good source of info as well.

Cons

Support language barrier, limited or no Mac OS support, Overly complex reporting features and analytics.

Overall my experience was very positive.

Pros

8x8 was useful for VOIP, voicemail, recording client calls, and chats with other employees.

Cons

After I started my own law firm, to keep my costs low I ended up going with other options. 8x8 is not the least expensive option for a business line, but it is a good paid option.

And the conference call setup is really great, love being able to set something up for a one-time or on-going basis and I can access it from any phone, anywhere.

Cons

Also, people who don't use the features like making and receiving calls using your office number from your desk phone, cell phone, computer or tablet, video conferencing, etc. often don't remember how to do it and subsequently just don't use the software at all.
