FieldAware Features In Depth

Scheduling and Dispatch

Operations extending beyond the walls of the office are oftentimes fraught with communication challenges and data collection inefficiencies that eventually amount to lost revenues and business opportunities. FieldAware’s Scheduling and Dispatch features have been designed to keep field engineers and technicians from missing a call window. Office dispatchers, for their part, instantly recognize field workers with jobs completed ahead of schedule and subsequently assign them new jobs by proximity or open time slot.

Because scheduling and job completions are done and reported in real-time, managers, executives and dispatchers are able to quickly determine the productivity of their field workers, either through comprehensive business reports or the scheduler’s graphic user interface.

Mobile Time Tracking

Traditional time tracking practices for field service organizations require field workers to report to the office every day to turn in completed time sheets. FieldAware tracks the time required for field workers to drive to a client location, allowing them to bill for actual travel time. The same is true for other job-related trips, like when procuring additional parts.

FieldAware also enables organizations to view in real-time when field engineers and technicians start and finish work orders, including the status of other job orders.

Mobile Quote Generation

The combined business benefits of mobile devices (e.g., smartphones and tablets) and mobile field service management software for field service organizations in terms of customer satisfaction, productivity, profitability and business intelligence are undeniable. FieldAware’s mobile quote generation function is one good example.

FieldAware enables field technicians to create quotes for additional parts or services even while at the customer’s location. Actual labor rates and part costs are pre-defined, so there’s no need to contact the back office and ask questions. Field workers auto-fill customer information, and select the applicable details from dropdown menus for service, associated tasks and labor rates. Quotes acceptance is done through electronic signature capture.

Tasks List

Tasks are services provided to clients and are comprised of actions, steps and procedures to get a job done. From the FieldAware Task tab, tasks can be created, filtered, imported, exported, and printed. Columns you want to display can be customized and saved.

To create a new task, fill in the task’s details (description, estimated duration, cost, etc.), and once saved, the task will automatically be included in the Tasks List. Later, when you create a new job, tasks can be added to the job screen by selecting them from a dropdown menu. Once a job is started, tasks that are in progress will be shown at the bottom. Come invoicing time, tasks show up as line items in the invoice.

PDF Forms

The ability to edit and fill out PDFs while in the field is a game-changer allowed by FieldAware to field service organizations. Some instances require field personnel to fill out customer, process, and government forms. A PDF form can be edited via a mobile device as long as it’s attached to a job and the job is in active state – meaning, not scheduled, paused or complete. All edits and entries will be stored with the attachment in FieldAware.

The PDF forms can come from Microsoft Word, Excel or Adobe Acrobat. Note that to open a PDF document in Android devices, the device must have an installed PDF reader.

Overall we now easily dispatch field techs, export/import time sheets into our time payroll system, and can locate associates for a more efficient mid-day dispatch.

Pros

FieldAware is visually easy to read, quick to dispatch and the setup and implementation is quick.

Cons

I least like that a team can't see their dispatch and only the Team Lead can see the dispatch. Also, the Team Lead must clock an entire team in. Sometimes team members arrive at different times, and in order for the team to know where they're going they must talk with Team Leads rather than look at their IT equipment.

I highly recommend a cloud based system to eliminate software updates on multiple devices. Asset serial number tracking and history is a must and so is a calendar view tech's status and scheduled jobs. I also recommend signature capture on the remote devices.

What has happened????? It all started so well, now everything has stopped?

After 3 months we integrated the system with 3Plenish (at the recommendation of FieldAware) to manage the inventory quantities and locations.....

Pros

Simple starter system; great for those who have not used I.T. systems before on a daily basis. The mobile app is a doddle for the engineers.

Cons

No ability to manage stock quantities; hence the 3Plenish integration.

Do your homework and shop around. Get live demos from at least 3 or 4 different companies (whether you chose FieldAware or not) because there are a lot of companies out there offering similar systems and I'm sure that there are better options.

We have been in business for over 39 years; before Field Aware, our techs and service agents utilized paper work orders and emails to forward pictures and parts requests.We averaged +300 "paper work orders a week!"

Pros

Excellent Technical Support Immediate Followup ( since Sept. 2013, the average return call from Field Aware Support was 15 minutes!

Cons

If parts are requested,and the task is marked, should be able to send email to office- otherwise we have to have someone review all the pending jobs.Make a mistake a "delete" a a job, it is forever lost in the clouds! Business Works compatible>

Fieldaware has nearly killed my business

Pros

When it is functioning properly, Fieldaware is easily searchable; real time; shareable; and great for dispatching a medium to large crew.

Cons

Constant issues, sometimes taking weeks to have resolved. For instance, last month many of our jobs were vanishing without a trace. This month only the lead technician can 'see' the job. Any other crew members must be notified by other means that they have a posting. We have had the equivalent of one staff member designated solely to overcoming Fieldaware issues.

The sales department do their job very well but in reality the product cannot do what they claim, customer service is dictated by when your bill is paid and if you say you wont pay because of faults you are threatened with legal action

FieldAware does not integrate with QB...they use a tool called Swagman to map data and create *.csv files that you have to then open and import in QuickBooks (slow and old technology!).

Pros

I like the accessibility of it and the Customer Support staff. The software is in constant upgrade, which can cause issues to arise, but the Customer Support team is phenomenal. They address any issues that come up quickly and efficiently, even the ones I cause myself.

Cons

I would like it better if the layout format of the quotes, jobs, and invoices could be customized to a greater degree so that I could determine the text that is permanently on every form.

I looked at several options for scheduling software, from purchasing software that would be server-based to other cloud versions, and I felt this one had the best options. I didn't have to pay an exorbitant amount to purchase it, a separate amount for tech support, and or a separate amount for every update. I pay a monthly fee that includes all aspects of the software and the services of the provider.
