I love how this is specifically for churches. So it uses church language and makes it easy to organize everything.
It doesn't have as much functionality as Quickbooks Online. Quickbooks Online has a better budgeting feature and you can do more with it.

Not good. I need help, and the support never provides help that works.
Had potential for non-profits vs QuickBooks
Bank integration does not work. I've used QuickBooks for non-profits, with integration that works fine. In Aplos, what shows up in Aplos doesn't match what the banks say. Tech support answers fairly quickly, however, they come up with all kinds of solutions that don't work. And different people will offer a different solution. None of them work. Then they drop it leaving me hanging. I may go back to QuickBooks which once you get a few words down (business terms vs non-profit) it is actually quite easy, and more dependable.

The Fund Accounting is most helpful for the churches I help. The monthly reports are great to send to my clients so they can see where their money goes and how much they take in. On some clients, the WePay feature is great for online donations going right into Aplos. I love being able to message Aplos right from the client's account with questions.
The ease of use is best and the access to help in a timely matter.
You can't set up Vendors with a specific Account # like in QuickBooks.

It integrates donation management with accounting so I'm not having to use two systems. It's built specifically for non-profits.
I greatly dislike that I cannot have a desktop version because doing accounting transactions in a web-based portal means you have to be online and you need to prepare for each transaction to take a second to load. And they charge a premium to be able to access some functions that feel as basic as what is included in QuickBooks software.

Aplos fund accounting structure helped us organize our accounting in much better consistency and compliance with non-profit standards. QuickBooks forces your to twist and turn their product to fit with non-profit practices. Having online access by multiple "seats" is a big step forward in efficiency. Aplos support staff have been over-the-top and better-than-expected helpful, from initial import or data to addressing specific features we wanted.

Costs have a bit more than doubled since we started. Donor receipts customization within Aplos could be much better. Ability to contact Donors individually or as selected segments or as a whole is missing. Would love to be able to send year-end contributions receipts via email PDFs!

I have been using Quickbooks for our church for many years. It does not handle funds accounting or tracking of giving very well. I was so happy to have found Aplos! It is a true funds accounting program and tracks giving seamlessly! It is a robust program that I believe excels where Quickbooks falls behind. I highly recommend it!
No real cons so far. When members split their giving between multiple purposes, I'd like to be able to add them without having to add another row.

I would recommend it to anyone who needs both an accounting and donor management solution for their non-profit organization.
A complete package that handles both your accounting needs and donor management needs. Is very affordable. Aplos has a program for new non-profits that makes it even more affordable. Has a program that does email marketing for you and collects emails thus building your donor base. Lets you design online web pages to post. Form 990 Reporting. Excellent Customer Service and will schedule regular calls with you to train you on the software. However it's easier to use than QuickBooks. Directly links to your checking account so that your balances are updated continuously. Takes online payments through WePay Can manage up to 5000 contacts. Contribution statements emailed to your donors. Can Integrate with Paypal

Aplos Fund Accounting is a great tool for accounting, it might not be as well known as Quickbooks it packs a lot under its hood.
It offers the tools that I was looking for, cloud based, multiple collaborators and even donor information. Having it hosted removes the need for me or someone from my team to make sure it is always up to date and secure.
When I mentioned to our book keeper that I was looking into Aplos Fund Accounting she wasn't pleased as she was still learning quickbooks. Sometimes the name of the software can discourage people from moving forward.

The fact that Aplos Accounting is cloud-based means that I can access our books from any computer, whether I am at the office or not.
It is a little pricey. However, despite it being pricier than programs such as Quickbooks and other accounting software, the cloud-based feature more than makes up for its cost.

Much more accurate accounting and record keeping, balancing with bank deposits.
We made the transition from paper to online accounting via Aplos. It is very easy to make entries and retrieve reports, keep up with contributions and even church membership.
Users with little computer experience could be put off a bit but that would be the case with any online accounting system.

We have been very satisfied with Aplos as our main accounting software. The customer service has been top notch and many of our suggestions about improving the software have been implemented into new versions. Hoping for a more robust Contacts module (email, texting, more information tracking) in the future!
Its online. Multiple user access. Great reporting. Easy to use. Great customer service.
The Contacts module is very limited - would be great to have more contact management tools (email, texting, grouping, tracking) so that we wouldn't have to have a separate software for that. Other software was somewhat disappointing - hasn't always worked correctly and a bit confusing on how it integrates with Aplos.

It is affordable for every non-profit. It is very simple and basic to use, and they have great customer service. They saw a need for non-profits to have an easier way of doing their finances other than Quickbooks and met that need at a very affordable price, which is very important to non profits. Simplicity is important because often, the bookkeeper is a volunteer and does not have the experience...
The reports available are good and basic, but maybe a few more reports would be helpful, like a cash flow report. Also, since this is a cloud-based program (only available for use over the internet), this may be a downside for some. Simply save all your monthly reports and transactions easily by downloading them into an Excel spreadsheet, and you have all your information on your computer hard drive.

This product took several things that we were doing separately and put them all together in one place. Accounting, credit card processing, year-end tax statements, donor communication, fund management. I have only been using the software about 6 months and they have already changed or updated several functions so I know they are constantly listening to users and making changes and improvements.
There is no function to create a deposit slip for the bank. I'm told they are working on it. Sometimes the navigation between functions is a little inconvenient. We had used quickbooks for many years and I like this product so much better for fund accounting.

I tried and tried to make Quickbooks work with fund accounting but knew it wasn't as efficient as it could be. Then, I found Aplos and have never looked back. Aplos make church fund accounting a breeze. We love it, and you will too.

I love the ability to due true fund balance accounting. For years I used Peachtree with job costs and spreadsheets to accomplish. This is a huge upgrade. I think the work around in the deposits is worth it for the fund balances.
It is easy to use "out of the box." If you been working with Quickbooks or Quicken this will be an easy transition. Also, you can add multiple tags to a single transaction, and then you can sort on these different tags. This provides and amazing matrix of data.
I big big draw back for me is the inability to batch deposits. It makes it more difficult to do reconciliations. They do this because the want you to use their CRM component. Of course there is a work around, but I would rather not "work around" such a critical area.

I hoped this would be a good solution for our needs, but it is a very expensive non-solution to even basic church management and accounting needs.
It is online, and mostly attractively put together. The support is integrated into the interface. It is available through most any computer with a web browser.
It is not a robust accounting system. For example, there is no way to track a group of Memorial Funds within one overall Memorial Fund. They offered suggestions for work arounds to this, but the general response for this and most other questions I had was, "Unfortunately, we don't do that." They claimed on their marketing materials that you could track attendance at various worship services, but you...

Overall, Aplos met our needs. We needed an accounting system that was easy to use and available online. It could have been even better if there were different role options.
It is easy to use and understand. Budgeting was a useful feature and transferring between various accounts was easy.
no different user profiles to help with internal controls. As the accountant, my role was to do the Bank recs to verify the treasurer. BUT I was able to make entries and the treasurer could do the bank recs.

I find this accounting program easy to understand and use. It is very easy to ask a question and I always get prompt replies. They have been very good to deal with, listen to my questions and concerns and work to improve the program where needed.
Easy transaction entries, I like the duplication of entry feature. Reconciliation is easy and fast. Great customer service It's easy to do a transaction search
When integrating for each account, I have to keep making sure it's on the right account if I go from transaction to integration. It won't stay on the account I've been working on. When I enter an online payment it puts it in the check register and I can't remove it from the list.
