Allocate overview

Allocate is an artificial intelligence (AI) powered time tracking and project management solution which logs time automatically, and uses project data to provide deeper insights. Designed for agencies within professional service industries such as lawyers, accountants, PR professionals, and more, Allocate provides a range of features and automation tools to simplify the task of tracking billable hours and logging time per task for client and project work.

Allocate uses machine learning algorithms to better understand the user, which facilitates quick timesheet input through automated suggestions of commonly grouped items. The AI aspect of Allocate also tracks and stores data on how much time is generally spent on each task, meaning alerts can be sent out when suspected errors or anomalies occur based on historical data. Users can log time from anywhere using a mobile device or desktop computer, and can be synchronized with third party tools to automatically track time spent working on each app.

Projects can be managed and monitored within Allocate, using time entry data, with in-depth reports on measures such as progress over time, hours billed, team contribution, task allocation, projections, cost, budget spend, and more. Management users are provided with actionable insights in order to alert them of the over or under utilization of team members, projects over budget, upcoming deadlines, and more, so that action can be taken at the optimal moment.

Management can also use Allocate to approve or deny timesheet entries, and with just the click of a button, entries can be flagged and an alert sent to employees to edit their entry. In order to facilitate the creation of invoices or reports for clients, Allocate gathers data from timesheets and allows users to filter it as needed for each project.

As a project manager, there are a couple of things I really like about this tool from a team and project management standpoint. First, its a tool that my team can have running in the background - so it saves them a lot of time that could be wasted trying to track their own time or catch up on time tracking. It also allows me to access their records and assist with their time sheets if they don't have time to do it themselves! This is great for when my team members are swamped or traveling to shoots or conferences. Secondly, I love the additional features, like having the ability to enter different financial information for each team member (such as their internal and external rates). This really helps my teams stick to budgets and know our overall internal team costs.

Allocate is great because it does not require your prompting or input in order to track time, it simply allows you to go about your work in whatever flow works for you and then go back and categorize the data it collects when you have some time. Not only does this mean that you don't have to put so much energy into organizing your time around a time tracker, and remember to turn on and off a timer, but there is also a lot of satisfaction from looking back over the course of the day and seeing how you have spent your time. Working for an organization where there is always so much to do we often feel like the days go flying by, Allocate allows us to quantify the work that we are getting done. Our Executive director has been loving seeing the graphs and charts that breakdown how time is being spent, particularly having that data will allow us leverage to obtain more funds both through grants and donors.

Allocate takes much of the work of time tracking off of my shoulders, allowing me to go back and fill in details when I have time. Creative agencies are notorious for the sprint pace that's often required on client projects, so often, time tracking was something that directly took away from critical time on client work. With Allocate, I know that I don't have to scribble notes frantically to keep track of my hours.
