Clarizen Features In Depth

Creating Projects

Use Clarizen’s navigation panel to get one-click access to all of your modules, beginning with your list of active projects. To create a new project, use one of Clarizen’s pre-defined templates. Pre-defined templates have workflows built in. Make adjustments to Clarizen’s templates to fit your needs, or disregard the platform’s pre-defined templates altogether by creating your own.

You can create a project in Microsoft Excel or Projects and upload it to Clarizen, or create projects directly from email messages. You can also create your own forms to capture new project requests, and route those requests for scoring or approvals.

Engaging in Social Workspaces

Clarizen’s social platform connects unstructured communication to structured work. Host online discussions and share files with ad-hoc groups, and create new work items directly from the discussions that take place within Clarizen’s interface.

Each of your projects will have a “workspace.” This is where you’ll go to assign tasks, collaborate on documents, and update your current status in the context of a discussion or a work item. In addition to working with colleagues, you can also invite customers, clients, and third-party contracts to participate in your workspaces.

Managing Resources

Instantly see which resources are available to work on a project by opening the resource load view. The resource load view lets you manage the workloads of individuals and groups. Workloads can be managed by originally planned work or remaining effort, load, and real-time availability. They can also be filtered by project scope and displayed by hour or unit.

Once you’ve gotten a look at which resources are available to work on your next project, you’ll want to assign tasks to the people with the best skillsets. To assign and re-assign team members to your projects, use Clarizen’s drag-and-drop interface. You can balance workloads and plan resources more effectively using these tools.

Tracking Tasks

As team members work toward accomplishing specific tasks, Clarizen tracks their progress automatically and updates the status within the cloud-based platform. Every person who is associated with a project can see how that project is progressing by logging into Clarizen and reviewing the current status of all associated tasks.

Because Clarizen integrates with iCal, among many other business applications, entire teams can quickly access the task lists they’re associated with. This ensures that everyone remains on the same page for the duration of every project. Clarizen offers time tracking tools that can be linked to specific tasks, as well.

Super easy to track and submit hours, including setting up as many projects as necessary.

Cons

Certain reports are only available to certain licenses, not allowing basic licenses to see things like time tracking reports for project management or PTO.

I can add a new user for time tracking, provide a basic tutorial and tips and tricks, and they are all set to be able to report time correctly.

The negatives I have observed are the omission of some fundamental features like Undo, and some quirks, particularly in adjusting predecessors, cascading updated dates and adding new tasks in the work plan.
