Manage Multiple Projects

When it rains, it pours. Most business professionals are expected to juggle multiple projects simultaneously, without dropping the ball with regard to the important tasks and milestones that must be met to keep clients happy.

Create a new project to get started using Mavenlink, making sure to select whether you’re the provider or the customer in a given setup. You can use project templates to quickly populate a project’s tasks, or add tasks manually. Mavenlink gives you the option to add a due date for the project, and to invite key players within your organizations who are also responsible for working on the project. Only these colleagues will be able to see the details of the project that you have uploaded.

Collaborate with Teammates

Mavenlink centralizes and prioritizes conversations, activities, and tasks within a unified platform, which means business users can spend more time communicating with one another and less time struggling to stay organized.

Post a message in your Activity Stream to collect contributions from teammates who are working together with you on a project. Mavenlink gives you the option to view all your projects in a global feed or view projects individually in separate project feeds. In addition to posting written comments, you can also attach Google files or upload your own files within an Activity Stream.

Prioritize Tasks

Tasks are an incredibly important part of collaborative work, which is why Mavenlink developed a series of task management features for its users. Drag-and-drop prioritization allows companies to re-order tasks based on the level of importance or in order of due dates. Meanwhile, time and budgets are also tracked and reported on the task level.

Click on the Task Tracker tab to view the tasks that have been set up for a specific project you’re working on. In addition to creating basic tasks with due dates and tags, you can create subtasks that add granularity to project tasks and deliverables. Mavenlink allows you to sync your tasks into a convenient location with Google Tasks, as well.

Use Gantt Charts

Gantt charts allow businesses to create dependencies between tasks. The visual timelines that users create by enabling Gantt charts help organizations get a better handle on where various projects stand in relation to one another. Gantt charts are especially useful for identifying resources, tasks, and dates at the beginning of a project.

View your Gantt charts to quickly assess the status and progress of any project you’re affiliated with. From the Gantt View, you can define how two tasks are related to one another, and you can assign dependencies. When a project timeline or scope changes, Mavenlink’s “Cascade Changes” feature automatically adjusts all dependent tasks to reflect the changes that have been made.

Great for when you need something more robust than Basecamp

The drawback for our agency using Basecamp was trying to manage complex task schedules and monitoring/measuring the efficiency of our resources.

- Ability to compare scheduled hours to actual hours - Robust reporting, both custom and out of the box options - Interactive Gantt - Easy to link conversation to project tasks - Flexible project templates for team re-use - Custom fields - Amazingly supportive Mavenlink team!!

Cons

While these are my biggest cons, I also know there's improvements on the way: - Building a project plan takes a little getting used to if you're a diehard Microsoft Project person

The basics are there, but too many features fall flat.

Benefits include matching estimates and budgets to tasks and breaking apart milestones with tasks and sub-tasks.

Pros

I can add a project, estimates and budget and track overall progress. It has given us a more robust look at what is happening across all projects.

Cons

The invoicing, estimates and user permissions are convoluted and lacking enough that our company cannot use them. Resource Management requires duplicate entry of information between planned and scheduled time.

-Planning for resource and to help manage expectations can be done in marveling as it provides a detailed analytics report with strong filter capabilities.

Pros

- Mavenlink works fantastically in the background to give the whole organization a seamless front end view that allows for efficient project management, time tracking, managing client billing to technical teams receiving their tasks & tickets. - The functionality works well for all different roles in the business and provides a top-level view.

Cons

- Around the end of the month when the majority of the organization is completing scheduling for the next calendar month, reaction time on the site tends to be lower than usual.

Excellent Time and Project Management Tool

Time tracking is never fun for agency employees, but Mavenlink is pretty efficient if the admins are power users

Pros

Perfect for agencies tracking time against clients and monitoring resourcing of employees, easy to learn

Cons

Less effective if using as a complete project management tool, prefer it's scheduling and time management capability

In write you can't track time and expenses.

Don't have to use a third party tool

Cons

- You can't rename the issue or task items. For example, sometimes I want to change the status title from "needs info" to "client review" -- and I can't edit the status (I could do this in Wrike).

We were able to provide better forecasting and manage budgets against timelines. All time entry is much better managed in a central location.

It manages my projects, tracks our time, expenses and reports our metrics.

Pros

I am able to build our project plans, assign users to their tasks, give them insight into their activities, budgets, timelines. We can track their billable and non-billable time easily now.

Cons

The expenses needs to be worked out but Mavenlink has bridged that gap until they can enhance that part of the product with reporting.

Rate cards and financials integration is well done, and resource planning continues to be improved with intelligent updates.

Pros

Does a great job with task, project, and role-level budgeting and financial reporting.

Cons

Doesn't retain customized views in the Gantt mode. Resource planning is good, but not quite there yet in terms of plotting multiple concurrent and projected engagements at the role level - but they're working on it.

Long story short, there are better project management tools out there.

The quick snapshots of the Analytics reports let you know if you're on track while the trends that are pulled from the Insights are very powerful to help us manage and course correct our estimate, resourcing and burn rate.

Pros

Resourcing, Scheduling for projections, the ability to compare actuals vs. scheduled/estimates, timetracking with a timer/timesheet or in the weekly timesheet tool - flexibility to do it however works best for you.

Cons

The Gantt chart is slow to load when you have a large project plan, there is no in tool estimate feature really that is comprehensive, there are workarounds, but would love to see that added.

Recommendations to others considering Mavenlink

Great for a small-medium sized company. Really simple to use and support is great. This allows me to manage my team and my company's profits through easy-to-use dashboards to understand what's going on at a project level as well as companywide. I no longer feel like I'm throwing a dart in the dark. Take Mavenlink to combine all your project management and financial information into one tool, you'll be happy you did.
