Pros

The easy-to-use, intuitive and ISO27001 certified (information security) PM3 tool plays an important part in the planning, governance and reporting of portfolios, business change programmes, programmes and projects. The tool provides a valuable golden single source, providing consistency and visibility across the organisation at all levels. It’s obvious that this award-winning tool has been developed by practitioners for practitioners and that the provider understands what success looks like for the client.

Cons

Not all parts of the PM3 tool can be configured to local requirements but the benefits of a genuine long-term lasting partnership with the client and access to forums such as the Power User Group means that appropriate changes can be considered for future releases.

PM3 is in use at TCD to manage major capital projects and provide governance, reporting and query facilties for this portfolio. Our experience with the software and its support has been positive and we would definitely recommend it as a cost-effective option for any organisation seeking to manage project portfolios in a consistent and auditable manner.

Pros

Very intuitive and well-designed, it contains all of the features you'd expect from a PPM tool, with greater flexibility in reporting and dashboards.

Cons

While the interface has improved in the latest version, it still needs some upgrading to keep it in line with competitors. Not as much of an issue once you've become familiar with the product.

A practical, affordable tool for manging complex project portfolios

I inherited a complex set of projects, every one reporting in a different way and with no visibility of their contribution to programme objectives. PM3 allowed my staff to turn this into a simple well-controlled portfolio with everyone pulling in the same direction.

Pros

A flexible structure of projects, programmes and portfolios allows you to easily group projects to reflect the organisational structures and strategic goals of your organisation. Fast setup out-of-the box, with no complex tailoring of processes, so managers start using the tool productively within a few days. The multi-level tracking and reporting creates valuable status reports with minimum effort. Easily controlled sharing of information across the portfolio means PMs can see what other projects are doing and proactively manage interfaces and dependencies. PM3’s huge range of standard reports has covered every reporting requirement I encountered.

Cons

The breadth of system functions can initially appear a bit daunting to new users and support staff. I understand that unused functions can now be hidden when they are not needed but haven’t yet used that function myself.

Well beyond expectations. Our experienced project managers and project support offices have been able to embrace the tool without any negative impact on productivity and they are starting to see the rewards within days - measurably reduced reporting admin, increase visibility of other projects, increased consistency of approaches. PM3 has obviously been designed by, and for, portfolio managers which makes it instantly more usable than project scheduling tools that have been given a portfolio management wrapper or simple task tracking tools

Pros

Very easy to use Very simple to configure out of the box Highly configurable for project, programme, portfolio membership Allows top-down portfolio management. You so not need to know minute details of projects before adding them and getting value form the tool Provides visibility of projects without having to do much different - project managers do all the same things just in this tool rather than their own dis-jointed files and folders. Flexible and responsive customer support during implementation Available via government procurement frameworks

Cons

The planning function lacks some of the features of Microsoft Project so projects managers with advanced skills find it less useful. The supplier is working on enhancements for the next release. While there well over a hundred pre-configured report formats included none are exactly right for us. It would be good if there was a report-builder tool included. The lack of bulk-upload of pre-exiting documents like RAID logs or project registers increases the workload of transitioning existing projects to the tool.

PM3 - a year on

We are running our entire project portfolio out of the tool in a hybrid model. Large programmes are run directly in the tool. With small projects run in the business we just upload the business case and monthly progress data. This avoids us training people who will only ever run a single project in their careers. A bit more development on the resourcing module, and the ability for users to create new reports and this tool would be a world beater. Has immense functionality for the price.

Pros

Very good value for money. Easy to install and get started with. Core elements are configurable so we have been able to easily customise elements to our organisation. Updates and improvements are quite frequent so the product is always improving. Customer service is good. Engaged account management and the support team are quick to respond.

Cons

No ability to create new reports ourselves, which means we have to pay to have new ones created. Resource management tool is quite news and still evolving. It gets a bit slow when you add in lots of different resource types.

Thanks Aaron for your review. In July 2020 we will be updating the resourcing module which we think will meet your requirements. In terms of building your own reports, we have a PM3 BI license which allows you to build your own reports in a range of BI tools.

Monitor-able information all in one place to allow PMO to see where potential problems are with individual projects and how these may impact on others. Ease of use essential it means that project managers use the system Reports can be emailed to colleagues to allow for accountability to be taken We regularly go through the system in meetings to allow us to discuss progress with project managers live It would be amazing to be able to use this across systems

Cons

Stakeholder management and communications would be a great addition I don't think we are using the system to it's optimum level yet Although we understand that this is a commercial product and the cost isn't that high, we need to think carefully about how many licenses we have in order to be able to afford to continue with it

Good all round Portfolio, PMO and Project Management tool

Implemented PM3 and completed a global rollout across all IT in 2020. Easy to deploy, relatively intuitive and easy to use. Much easier deployment that other top tier PPM tools. Chose PM3 for its features across all three levels - Portfolio, Project and PMO. Other tools cover 1 or 2 of these areas, whereas PM3 covers them all pretty much. The flexibility of Best Outcome ensures our additional requirements are considered for future releases. Overall a good value system without having to go through the pain of implementing one of the top tier solutions. Would definitely recommend

Pros

Portfolio Management features extremely effective, abundance of reporting features

Cons

Project Management functionality is limited, inability to flex the workflows to align with company methodology.

Pros

This is an excellent tool that enables us to provide consistency and collaborative reporting across the organisation. The bespoke configuration options enable us to make this tool work in the way we need it to. The plethora of report options provides us with the ability to create reporting, from Project to Portfolio. The ease of Dashboard creation gives all PM's and Project Sponsors the ability to create their own key metrics report. We have already commenced with rolling out the next stage of resource management and have plans to expand this further to the other modules PM3 provide. The support we received throughout rollout and continue to receive post-implementation was & is exceptional

Cons

We are new to the system and are still learning about all the full value this will provide but, initial thoughts are the ability to drill down into the detail showing on the Dashboard would be very beneficial.

Excellent Customer Service and Value for Money

The implementation of PM3 has helped improve project management processes and governance across the organisation, it's also considerably reduced the time taken to produce reports which is a great benefit for a small team. What stood out when we were selecting the tool is the excellent customer service provided by the PM3 team and this remained consistent throughout customisation and implementation through to ongoing support. The team have always been very open to any feedback we have and continually look at how the system can be improved which is demonstrated through regular system updates.

Pros

PM3 offers a wide range of functionality as well as excellent account management support from the PM3 team at a very low cost. The tool can be adapted to use across varying levels of complexity which is very helpful when applying to a diverse project portfolio.

Cons

More bespoke reporting options would be helpful as would improved functionality of the resource module. However, this is offset by the value for money PM3 provides across a wide range of functions.

The support to get the users up and running excellent. The company know the value of embedding

Portfolio information all in one place. I have recently found if a project /programme manager is changed mid project. it's easy to carry out a handover.

Pros

The system is logically set out and easy to follow. it combines the various facets needed to carry out portfolio management all in one place and the it's not over complicated to use. on PM3 I like the video tutorials, Definition description page, Action Log, Reporting and the way you can alert stakeholders they have a pending actions for them. The software has many more good features. "I have been looking for a package like this for a long time."

Cons

There are a few niggles like entering task on the Gantt chart, you can get a little lost. Remembering to save or refresh can catch you out a little. As a new user I am still getting use to reporting on large projects.

Pros

Another project management application that was quite successful. Thanks to the cloud implementation, the integration was seamless. The business priority matrix is an advantage over other applications. The filter based on risk, value or benefit is very useful and I appreciate this processing. The app is user friendly, nice to use, quite intuitive. Groups of users can be created, so that task management does not have to be on one person, but also on the group. Dashboards and charts are very clear and nicely processed.

Cons

I didn't find any feature that I didn't like or had a problem with. Integration fine, controls fine, clear, I recommend it.

Excellent value for money

The product has enabled us to bring consistency to our processes, improve governance and save effort on things like reporting. The support from Best Outcome, both during set up/take on and afterwards has been excellent too

Pros

The product provides an awful lot of functionality for a very reasonable license fee, having looked at many significantly more expensive products over the years, we're very happy with the slightly reduced feature set vs the very substantial savings

Cons

Some features are a little bit rudimentary

Understanding the health of a project objectively at any point in time

Pros

IT projects can be very opaque, and that lack of transparency hides a myriad of issues. Too many PMOs and their tools are a heavy overhead to project managers and deliver little of value to the developers just financial summaries to higher levels of management, and a high level view of the health of the project. PM3 is simple to use, and understand, comprehensive, relevant and actionable

Cons

Not very much, it can be adapted to be usable in most contexts so although not explicitly an agile tool, if one understands that even agile projects do have significant milestones it is readily adapted
