Podio Features In Depth

Creating Apps

Businesses are encouraged to create their own apps within Podio. App templates are useful for constructing apps that meet the individual needs of unique users, from streamlining deliverables to structuring sales leads.

Use Podio’s drag-and-drop tools to build your own app that can be added to any workspace, and accessed across all your devices, or select an app that’s already been designed by a fellow user in the Podio community. More than 700 apps are already available in the App Market, managing everything from HR and employee recruitment, to project management and CRM.

Managing Workspaces

Workspaces are virtual areas where groups of people or teams can work together to meet specific goals. For example, a sales team might create a workspace in order to manage an upcoming project. Anyone can be added to a workspace, regardless of whether that person is an employee of the specific organization.

Get your clients, contractors, and even vendors involved in the project management process by inviting them to participate in relevant workspaces. As a Podio user, you also have the option to create private workspaces that are only known to people in your organization who’ve been invited to take part. Or, you can create open workspaces that are listed for all employees of your organizations to view and join.

Organize Tasks

Podio’s task management features provide users with a way to break down large projects into smaller sets of individual tasks, which can then be assigned to employees or other responsible parties. Podio links tasks to the work that they’re a part of, which provides relevance and context for users.

To take advantage of Podio’s task management tools, start by creating a list of all the tasks that must be completed before a specific project will be ready to go. Set deadlines for these tasks, write brief descriptions, and assign them to specific people. You can also set reminders to yourself to go back and see if a task has been completed on time, even if that task was not assigned to you.

Tracking Opportunities

A lightweight CRM solution enables Podio users to manage their relationships with customers and track sales opportunities throughout the pipeline. The CRM solution can be customized as a Podio app to make those processes easier to achieve.

To use Podio as a CRM tool, install the CRM app pack and customize the provided template based on how your team works. You can use filters and reports to get important sales information into your CRM app, and you can use the Excel importing feature to import historical CRM data, as well.

Mobile Accessibility

Podio offers free mobile applications for the iPhone, iPad, and Android. These mobile apps give users a complete work experience from their tablets and smartphone devices. Users can collaborate with their organizations and access workspaces, activity streams, tasks, files, calendars and contacts through the mobile apps. Many Podio users say they actually use the mobile apps just as often, if not more often, then they use Podio on their desktop computers.

Very interesting tool/platform

I also use it to track leads and customers for sales and account management, mainly to track tasks and follow ups.

Pros

Mobile app accessible anywhere app marketplace and app builder tool ability to easily modify apps as needed ability to relate across workspaces external collaboration is great can easily send email to lots of different areas to create a task, status update, etc

Cons

We use Office 365, so a tighter integration with that, similar to what they have with Google apps, would be great.

Pros

There are pre-developed apps and packages of apps that you can add to your workspace to get started quickly.

Exactly what i was looking for when collaborating on projects with up to 5 different companies in different locations and time zones with varying degrees of responsibility.

Pros

Love the ability to add different apps to different workspaces as not all projects require the same structure.

Cons

Clarity of restricting information to certain people could be better. Real-time IM is required for this to take off.

Great all-in-one tool

There is quite a big number of tools to be informed about tasks, schedules and everything else around your projects.

Pros

- You can create a space for each of your projects - Your contacts can be added to one secure virtual location - Thanks to the activity feeds you see all changes, updated, edits and comments of your projects - Multiple users - very customizable

Pros

Other software takes time to train someone, but Podio works well for new members of the team from the start.

Cons

We still have a few team members using emails or trying to create an Excel sheet to track progress.

Pros

Podio is a perfect project and team management tool.

Cons

The interface is buggy and the site becomes heavy and slow sometimes but this is not a big issue since they have all of this features.

An amazing platform!

The feature I like most is the filter which is divided into the elements you set up, last update[yesterday, 30 days, last week], who create the activity. A feature which has shown to be really flexible!

Pros

You just comment @GroupA and all people who are inside it will receive the message.

Cons

As far as I used it I can't see no cons but I suppose the costumer support is not supportive. However, something that really bothered me was their daily email, but I am aware it can be useful for some organisations.

Do it all system!

No need to find discussions from email anymore. Also, tasks can be assigned to app items which gives them the correct context.

Pros

- Infinitely flexible and expandable - No coding skills needed to customize - Can bring in external people for free - Annual pricing gives 20% discount

Cons

- can be built too big and complicated but the person guilty of such actions is staring back from the mirror - notification flood can be overwhelming but it is easy to adjust

Pros

This is the future of work tools as it empowers business people to build their own tool in a few hours with no technical skills or help from IT or developers.

Cons

As it can do anything, so you must be completely on top of your business processes when you set it up - though it's very easy to change and adapt to suit your needs.

We've been able to create "apps" inside Podio for tracking everything we need from support tickets, billing, inventory, projects, receipts, to name a few, and even one to inform clients of project status automatically.

Cons

The mobile app experience for Podio is lacking with limited control of views within different apps and slow response time when updating at times.

Keep in mind that the workspaces are what you make them. Workspaces can become disorganized quickly if you are merging custom created apps with apps that are available on the app market. Make a plan of what you need out of the workspace before you go into it, and don't be afraid to edit and prune as you go along.

Cons

They are divided out by client/workspace. There is not way to have a master list of all projects across all workspaces.

I worked with podio for more than 4 years, and one of the things I liked most in the flexibility to create what you need. Is easy to integrate with other applications inside podio, or even to integrate with your mail or other platforms.

Pros

The plethora of apps available to use on this platform. I've requested many features from our Podio admin and he's able to do almost every single one b/c of the wide selection of apps.

Cons

Example: When entering data on our candidates, I wish the drop down would automatically offer the last companies used instead of the last ones created.

It's highly flexible and easy to use, saves us time.

Pros

It's the only system I'd ever come across that let you design your system around your business, instead of them forcing your business to fit their system

Cons

* Importing bulk changes isn't as easy as it could be * Advanced workflows require a higher package, so you're limited with the lower end packages in terms of automation, without using a third party service like Zapier.

I despite my less than stellar score, it really is a useful system as long as you can figure out how to use it and you can ignore the constant bugs and poor UI.

Pros

Lots of ways to organize a project and collaborate with different companies/people.

Cons

It's very buggy and often difficult to manage all the information. There is also a pretty steep learning curve to take advantage of all the features and very little help along the way.
