Pros

Connects seamlessly with xero. I love it, I tested many demos, it has an attractive interface, accuracy, great support - this task management system gets a 9.8/10 from me.
Excellent team integration, integration of financial and accounting software, but the best benefit for our purpose was the time tracking tool.
ProWorkflow is the administrative backbone of my business. At a glance I can see where a project is, how much time has been spent on it, what tasks have been completed and which ones are outstanding.

Pros

We love that each of our team has the ability to have a different view, so that way they see only what is important to them. Plus, we can see everyone's progress without having to bug them.
The report customization is awesome, it gets the information I need when I need it. I like how easy it is to track hours for a project.
User Interface has a lot of nice quality of life features, the different views for the projects (i.e. kanban/gantt), reporting features are nice for our managers, and the time allocation.

Cons

So if I have 10 contractors I use, I have to buy full account access for each of them, even though they may only use the software 2-6 times a year. This has always been my biggest complaint.
I dislike the fact that contractors cannot track time in the software.
Reporting section customizing reports is difficult without assistance from proworkflow.

Cons

Sometimes it's hard to navigate and things can get lost especially with different tiers within tasks.
Filtering through projects can be more confusing because we have so many users on the tool.
The searching for projects is the most frustrating part of the software.

Pros

I like the multiple levels of tasks and projects. The reporting is very good and easy to use and create custom reports, project templates are great and make setting up multiple projects easy and fast.

Cons

Task view and time view coud have better views and filters, wish I soud start a work week on Sunday rather than Monday, tasks should automaticly have teh project details associated with them in all views, otherwise projects that use templates end up with a lot of tasks with the same name. You should be able to complete projects without ticking off all tasks (Some tasks may be optional or not relevant)

Keeping track of project budgets, invoices and assingments is way easier that what we have seen in other programs.

Pros

Timesheets are great giving the time of day, assigned projects and notes for documentation. Projects section is good with the budget, staff assignments and notes sections. Invoices are easy to create.

Cons

There should be an option to mark time as billed and a summary for all unbilled time by the project with the estimated billing amount for tracking. Our projects are completed over the course of a year with bi weekly billings but finding out what was and was not billed is a pain. Quickbooks online timesheets has this built in and it seems like that should be a simple add on to PWF.

PWF has been a great asset for us to have easy access to all client projects and track where those projects stand. We've been able to tailor the project briefs, project tasks, and project schedules to work effectively with a wide range of project types.

Pros

All project communication and files are in one place; Easy to find previous jobs for reference when planning; Customer service is always very friendly, efficient, and helpful

Cons

Reporting capabilities aren't as easy to adjust as project briefs, tasks, and schedules

Ease of time tracking and meeting project deadlines

Pros

We love: - how easy it is to add time to projects - the overview of projects, tasks, time - that fact you can personalise your own tasks - how you can set your own tabs for project status

Cons

Contractors can't add time to tasks set, very frustrating to have to buy another licence for this when they are only in for a week. No onsite training available.

A solid software for small ad or creative agencies that need to track projects. Easy to learn and has some good capabilities for tracking time against budget.

Pros

It combines a lot in one software, from proposals and bids to SOWs and tracks everyones time against the work required to complete projects.

Cons

Sometimes hard to modify work in progress effectively. The reports were sort of annoying to run and didn't report certain data that really could have been helpful. Could be better if it included "likelihood' of proposals being accepted and could track forecasting of profit.

I've used Prowork Flow at three companies. It has been key to helping me establish processes that keep our teams running fast, effectively and with ease. Everyone finds it to be a useful and easy tool to use from clients to designer and writers.

Pros

-Easy reporting -Incredible Dashboard -Ability for clients to request projects (this is HUGE) -Customer Service is top notch

Cons

I started with Prowork Flow several years ago and when it was starting there were some things that needed tweaks but they listened to their customers and have made the experience better and better.

Excellent way to track projects

Projects stay on track much better when they are planned and tracked effectively. ProWorkFlow makes that difficult job much easier.

Pros

I do not have any employees, but I work with a couple of freelancers on specific projects. This software makes it easy to collaborate to ensure that each person knows the status of the project and to complete their tasks in a timely manner. Even when I work alone, I use ProWorkFlow to manage projects, as it makes planning and tracking projects efficient.

Cons

I used to have the quote and billing module, but they were useful enough for me, so I cancelled. I wish ProWorkFlow offered a module for not only billing but also accounts receivable. I would sign up for that right away.

All the information for the project is together

Cons

You cant link project easily. You can search for similar titles but not see other same name projects. It would be very helpful if there was a tab or client profile page to log onto and see all the projects that relate to that client.

My favourite thing about ProWorkflow would have to be how easy the software is to use and navigate. Managing projects etc

Cons

The least thing I like about the software has to be the calendar, how it doesn't plug in with our google calendar as well (syncing)

Organising our projects in PWF

We are not using all of he features of PWF - only really using it to time-track some monthly projects and track certain types of billing. The projects help us track our work on projects and also accurately invoice our clients. I know PWF is capable of doing more, but haven't had the need to use the other features.

Pros

We enjoy being able to load a task template each month for repeating projects. Also having multiple people able to track their time in the projects from various locations. Being able to print reports of tasks and times inside of the projects.

Cons

It is a bit "buggy" in certain browsers - ie Can't seem to be able to create a pdf (in chrome) when wanting to print a "tasks and time" report so I just "print" it and then save as pdf that way....also, unable to open new project and use template in one of the browsers (Safari I think). There is usually a workaround though. I find the archive section a little difficult to navigate when I need to search for quite a few archived projects ie when you hit the back button it takes you out of the archive page, but perhaps I've overlooked something.

Customisable perfection

PWF is the most important management tool in our company.

Pros

I've been a subscriber since 2011. In the last years the number of new functions skyrocketed. I love that we can add custom fields, it is really helpful. I am also happy with the quote and invoice module, the Xero integration is crucial for us. I can't imagine my company without PWF.

Cons

Possible improvements: - direct email import to projects - a bit more fancy Fixed Cost Items list editor - thumbnails for the pictures

We're a descent sized company with a lot of different projects and a lot of different tasks on those projects. Pro Workflow keeps things organized.

Pros

Easy to see information and edit it.

Cons

Difficult to find information without knowing exact details

Great project tracking software, albeit a bit pricey

Proworkflow was a great solution when we found it and started using 5 years ago. We've been a loyal customer and have varied from 4-7 users. It's great that you can add and remove people easily but it can be a costly investment. Although if it catches at least 1 hour of billable time a month, that would've been missed otherwise, it pays for itself.

Pros

Ease of tracking time, creating projects and tasks.

Cons

Cost seems high per person for a small agency really adds up.

An easy tool to support Project Management and communication

PWF has helped us in supporting the Projects we have conduction with our customers. communication has been easier, and the project follow up is easy. tasks are easy to manage but drawback is they are too simple some times to get a good view on some activities.

Pros

Projects info container is good enough for a closed project managing projects in PWF is not extra work but embedded in the workflow so reporting is accurate resource management gives some indications about the availability of staff easy to use, on boarding users is simple. videos / support are very efficient

Cons

Tasks are too simple and need to be adapted to incorporate more options

We have been using PWF for some years now and it is easy to use and easy to train new team members.

Pros

Being able to track dollars spent on project including time and expenses. This enables us to evaluate projects profitability and helps when setting pricing structure for future projects.

Cons

A lot of PWF teams have left and at times it is hard to find someone to help you, an email from new team member with contact details would alleviate that problem.

I'm not solving any real problems, this works just as good as my previous project management software. Honestly, I'd prob stop using it all together if it wasn't for all my projects being archived here for the last 3 years & it's a pain (speaking from experience) to transfer to something that works better for my needs.

Pros

The ease of entering projects and assigning to employees.

Cons

Inability to easily search for old project – the name or job number has to be exact, otherwise you're just scrolling through hundreds of files. I also don't like the ability to duplicate jobs if there's a duplicate order.

Helps us arranging our projects and tasks

More overview of all ongoing projects, more time efficient, easier to make a year planning and thus less need to work extra hours in busy times as we are now able to plan ahead.

Pros

Overview of all ongoing projects, easy to handle different requests from various users, can work with multiple users/projectmanagers/requests at the same time.

Cons

You can't easily re-plan/move tasks in the weekly overview by drag/drop to different days. Super unhandy. You don't see the amount of hours planned per person in total (only possible to see amount of hours planned within a special project). This would make overbooking much more easy to solve.

Overall, this project management tool has made a significant difference in my ability to track projects and to accurately report status and accomplishments to clients.

Pros

As a user with multiple clients and multiple projects often running concurrently, ProWorkflow is the best system that I have used so far. It is easy to use without having to have a lot of training before starting. It allows me to set up projects and tasks pretty quickly including deadlines. The reporting function is useful if a bit cumbersome. They're recently added dashboard has improved the ability to visually use the product to stay on top of projects.

Cons

The reporting function takes a little bit of getting used to and segmenting reports by different clients but has been recently improved.

Production Life Saver

I have been using Pro Work Flow for the last 4 years and couldn't survive without it. Easy to use, easy to teach other staff how to use, and customer service is available as needed. I'd recommend it to any company or business that needs to keep tasks and projects organized.

I don't really have anything that I'm not happy with. If I had to pick something...I wish there were more seasonal and/or holiday backgrounds to choose from.
