Pros

Connects seamlessly with xero. I love it, I tested many demos, it has an attractive interface, accuracy, great support - this task management system gets a 9.8/10 from me.
Excellent team integration, integration of financial and accounting software, but the best benefit for our purpose was the time tracking tool.
ProWorkflow is the administrative backbone of my business. At a glance I can see where a project is, how much time has been spent on it, what tasks have been completed and which ones are outstanding.

Pros

It is a super easy, useful, and simple to understand interface... perfect for the project that we are trying to complete.
She exceeded all expectations in thoughtfully working through and creating a checklist that I am thrilled to be implementing with my team as of this week.
Allows the team to keep the track of our customers, to see the exact phase of the journey and the specific tasks. The integration with our CRM is awesome and very helpful.

Cons

So if I have 10 contractors I use, I have to buy full account access for each of them, even though they may only use the software 2-6 times a year. This has always been my biggest complaint.
I dislike the fact that contractors cannot track time in the software.
Reporting section customizing reports is difficult without assistance from proworkflow.

Cons

Not having all the right add-ons features when editing templates. No clarity on what each block does, no suggestions, or lack of templates to use.
This is a problem because Process Street's reporting tools only surface the checklist due date, not the subtasks.
Inability to set permissions on subfolders without affecting the main folder. Inability to assign templates to members (which would surprisingly be useful in different situations).

Support is really great I once had a rep stay on the phone with me for over an hour trying to find a solution for us with an integrating software... not even their issue.

Pros

Everything seemlessly flow thru your work flow process eliminating double enrty work.

Cons

I wish it had a way for clients to sign off on quotes digitally. It would great if it had invoice templates as well, mirroring how the project and quote templates work.

We only use a portion of what the software offers but for how we use it, it works for us. It gives you a nice view into how time is spent - I like the various ways to search and how accessible info is

Pros

It's easy to time track and keep a log of all current and past jobs. It was easy to get trained on and implement in my daily process

Cons

I find there to be a lot of "steps" to get where you want (having to select various things, click certain buttons, etc.) that sometimes feel extra or unnecessary

Pros

We switched to ProWorkflow from Workamajig which was the greatest decisions our small digital agency has ever made. I love how easy it is to send client's invoices directly through the project management software. Now only if it was easier to reconcile paid invoices between ProWorkflow and Xero I'd be in heaven.

Cons

Had issues with their billing department not able to process a transaction, and instead of trying to help or troubleshoot to find a solutions they just threw their hands up in the air and blew us off.

Decent Affordable Option

Our company chose this software as a lower-cost solution from other, more robust tools out there. It definitely has a lot of features, I just wish they weren't so complicated. I work in an office of millennials (I'm the oldest at 33), and the interface is not as intuitive as we've come to expect from other software we interact with on a daily basis. In my opinion, a revamp of the UI would make ProWorkFlow grow leaps and bounds.

Pros

What I like most about this software is the ability to maintain hourly budgets alongside managing project milestones.

Cons

My least favorite part about this software is the reports. It is difficult to find the data I need. Additionally, each item takes much more steps than I prefer. Simplyfiying the process would be a great help.

ProWorkflow Rocks

I have been extremely happy with ProWorkflow. Our project management had gotten out of hand with the company growing so quickly. This software allows us to keep a handle on all projects and each task within those projects. The support I've received from the ProWorkflow staff has been amazing!

Pros

This software helped us streamline our work process. We have several people working on dozens of projects all the time. ProWorkflow helps us meet deadlines, look ahead for planning, and keep everyone on task so all deadlines are meet despite heavy workloads.

Cons

I would like to be able to add a status column to the main project page. Many of our projects get put on hold, or we are waiting for the client. It would be nice to be able to quickly change the status of a project so my employees know what's happening with one glance.

Our company uses PWF every day to track project process, time spent, and send messages about status and questions. It's really helpful for staying organized, knowing who is assigned to what task, and seeing how long you spent to tell if you're over/under budget for time.

Pros

Easy to use, easy to learn, keeps track of little details that might otherwise fall through the cracks.

Cons

None, really. I'm glad we use it.

Great platform

Fantastic staff. We have a complex setup using a request for and through their team, and the team at Zapier, we've created great functionality for all types of requests. All of our designers and marketing staff use PWF to maintain over 2,500 requests to-date.

Pros

Fantastic PM platform for teams with multiple users all looking to collaborate on projects down to the task level. Due dates are great to keep things on time. API integration into BOX is huge for us. We also take advantage of Zapier integration to allow the information import from complete online request forms automatically into the project request.

Cons

Some features could be added to improve usability. The option to send a message or file to anyone via email address, not just registered users, and let them respond. The ability for those non-registered users to view a project for say, status, or who is assigned to it. Or the option to give outsiders the ability to view a project status in process. Also, a process for project/task reviews by non-users. For example, a triggered message with a button to approve, or reject, or provide feedback that feeds back directly into the platform. Our users would also like more customization on the "Home" screen as to which detail is displayed rather than the default info.

Great customer service and quick to answer our calls. We understand that you're still going through some teething problems so we'll stick with Pro Work Flow for now as we've been informed that changes are coming. Would still recommend this software.

Pros

This software has helped us a lot as we came from excel spreadsheets. The reports capability is fantastic. The timesheet is easy to use. The customer support is also great.

Cons

The templates for invoicing is quite basic and can look a little unprofessional. Not having filters in reports that calculate the number of hours per staff member. Not enough report templates. It would be good if there were more ready-made templates. The syncing process with myob works but isn't the easiest.

A Flighty Employee's Dream

The ability to track the progress of every project from start to completion has increased our output and limited error in ways I might never have predicted.

Pros

While learning the software initially was somewhat taxing, once the basics are achieved, ProWorkflow improves the work process immeasurably. My entire team is hitting deadlines at a record rate thanks to the prioritizing of tasks and easy access to documents and team messages. It's a one-stop portal for the department to give direction, upload content, and post queries.

Cons

As stated above, ProWorkflow seems overly detailed initially and was a bit overwhelming to learn. A large part of this, though, was making the transition from the far-too-simplistic and far-too-limited software we'd been using for years.

Good start but still a lot to be implemented

Whilst PWF has potential and I'm sure the intention to rectify and further develop the software is there, in it's current format it does not meet our business needs, requiring us to use external software sitting outside of PWF's functionality. It appears to be set up for a niche market and would do well to expand its capabilities to provide fuller functionality for all clients.

Pros

I've been using PWF for a year now and see there is potential for this to be a convenient, easy to use tool once development improvements have been implemented. The support staff are friendly and provide assistance where possible. The software enables us to pay per user and grants multiple users to access the platform with individually allocated access rights, allowing us to set security levels pending the role of the user and adjust our monthly payments pending the number of consultants we currently have on board. You are able to live track time which is helpful for our consultants in allocating to billable projects. Review of time entered and staff workload is also a useful function.

Cons

I feel this software is still in its developmental stage and has a lot of improvements to be implemented. For example, integration with MYOB is poor and non usable, invoicing fields need expanding (ie choice of PO or street address, ABN field for recipient, etc), templates and emailing tools are very basic and limited, contact listings are restrictive and missing vital fields (ie ABN, PO Box, etc)...

Excellent Workflow system

The system allowed me to keep track of our clients documents and keep timeframes so I know where we are with each of our clients to make sure we follow and stick to our deadlines.

Pros

The software is so easy to use and integrates to my Gmail account easily so that when me and my resume writer share documents back n forth between it alerts each of us to check the system. I would definitely recommend this system for any small or large business. If you need to track where you're in the process with clients this system really does the job well.

Cons

I honestly have no complaints. The system is amazing!

ProWorkflow is the hub of our online Virtual Assistant office at Virtual Business Assistant NZ. We used a existing project template for collaborating on our website design and development project, and have created custom templates for our main services of Virtual Admin Assistant, Virtual PA and Virtual Sales & Marketing Assistant. Internal projects such as business planning, health and safety documentation...

Pros

The online tutorials, one on one training, together with fast, friendly response from the support staff ensured that I got up to speed and was operating in no time.

It is hard to fault PWF. It is comprehensive but not too bulky. The only thing I can suggest is a few options for setting up task templates to allow for changes to the structure. I.e., adding or rearranging tasks in a large project.

It has brought our productions into a more streamline process

At any given time, our company is in production on at least 10 - 15 webstores for our clients world wide. Balancing this constant flow of information is a very complex task, unless you happen to stumble on to ProWorkflow. It has brought our productions into a more streamline process and dramatically decreased our blood pressure overall. Just having a detailed and up to date list of all our productions and where they are in the grand scheme of things, is 'priceless'

Like No Other

I have researched and started free trials with numerous project management subscriptions, and I can't find one that enables me to actually see which projects are at which stage of completion easier than PWF. The drag and drop into categories on the Job Page has not yet been duplicated. This software really keeps me out of trouble. It seems like most Project Management websites would require me to higher a project management website manager to use them. Not sure how companies big or small could use them in their process. PWF is really, really nice. I have been with them for over a year, and I am very happy with their service.

Overall ProWorkFlow services the needs of the business very well. However there is room to improve.

The benefits of day to day performance of PWF software far outweighs the lack of adequate financial reporting. Appreciating that this tool is project management / scheduling focussed, some basic cost analysis is necessary when scheduling projects which have gone over estimates,etc. Overall, we are satisfied with the product and would happily recommend it to people we know as being one of the better ones to consider.

Project management, work scheduling, standard reports, quality of support service; response times to emails; time sheets; time widget;

Cons

Financial reporting - being able to export expenses information, in an excel format, functionally - including expense title; description, cost, dated entered into PWF and invoice/d status. Being able to see the status of the expense on the front screen, rather than drilling into the individual expense would be very beneficial. Employee Leave - as a time management / project management tool, recording...
