We have been using Workfront for almost three years and I have over 250 user's to date and increasing daily. Workfront gives everyone high level visibility into their projects down to the smallest detail. We are able to collaborate on the projects, which cuts down on emails and meetings. The reports & dashboard feature of WF gives a high level overview of all projects, task & issue’s. The centralized document management has allowed us to keep everything that pertains to a project with the project.

Pros: Excellent workflow management tool. Easy to plan, track, create custom forms and collaborate on all of your projects. Easy to customize the reporting and dashboard feature.

Cons: Nothing major comes to mind, we are happy with our purchase of Workfront and they are improving the application from input from their clients. If you see something you think needs improvement then submit a product idea and they will review and then add into production.

We have been using the Workfront solution for over 12 months now, and have found the service and availability of the cloud solution nothing less than excellent. We engaged and deployed in less than 2 months, we 3 onsite weeks with their consultant. Since it has been live, it is flexible enough too change the shape and direction of the change approval solution as we have moved along, moving from project to programme and now portfolio management. Some limitations with linking to MS Project and reporting, but a solid solution. The workfront team are very good to work with, fun and knowledgeable.

Since implementing Workfront, we have reduced meeting content from just being a status report. By tracking progress within the Workfront application, we have time to focus on the direction, success and quality of our projects.

Pros: Most users have been quick adopters, and have positive feedback on the ease of sharing documents, delegating tasks,. etc.

Cons: There are some customized tabs we would like to add to each project that are not external sites or a dashboard. Hoping Workfront will enhance this for future releases.

Workfront has really improved the way we work and helps get things done.

We started our PMO in 2009, needing a way to get a handle on our project intake and help define our project management methodology. We purchased Workfront (formerly AtTask) back then and have been happily using it ever since. The initial implementation was quick. Getting the system configured and putting users in there was the easy part. Being a new PMO and going through the motions of defining our process was the hard part. Workfront made it a little easier because allowed us to have a starting point and the basis of best practices. The tool is easy to use, so flexible, and has really improved the way we work. Its been so effective for us at the University that usage has expanded from just our Technology department to 5 other groups and that number keeps on growing. The technical support has been great when we needed it, the company has listened to customer's suggestions as well as trends in the industry, and the adoption for the tool has been steady, really becoming an essential tool for every day work. There are many PPM tools out there, all doing much of the same core functions, but Workfront has the edge when it comes to usability. Things in the software just make sense, and work. Its that simple.

Pros: - the system is highly configurable, can match your process and methodology - usability is top notch. The user interface makes sense and is easy to get used to - if you've thought about it, its probably in the software. If its not, you can request it and be sure that the company is listening and it might make it into the next release. - manages much more than just projects, it manages all of your stuff

Cons: - the company has gone through immense growth in the last 6 years so there has been instability in our customer support success manager, (not the technical support). We've had several different of these account managers over the years. - the license price changed as the software grew and caught us off guard (although the company was great and negotiated with us and was very accommodating - there is an API that allows you to connect and integrate other software into the tool, which is great, but there isn't great documentation or training on how to do it for beginners.

Workfront helps us manage projects, and now it has evolved to helping us manage workflows. It is easy to use and customizable. We use Workfront to help track over 100 projects a month and with a quick report we are able to see the status of projects at any time. Also, a key feature for our company is the proofing tool. The proofing tool helps us collect feedback and track approvals in one space, which is critical for our projects to be completed on time.

Pros: The interface is customizable. The reports and dashboards give us great visibility into the work being done on a weekly and monthly basis. Also, the Customer Care Team is also easy to reach and very helpful.

Cons: The new releases have occasionally caused a small bug in our system, however after contacting the Customer Care Team they have been able to resolve any problems quickly.

Complete and powerful PM information system with some areas to improve

Working in an in-house marketing department, we have been using Workfront for three years to manage our projects and operations. We need overall visibility on all the activities of our department, plus a powerful collaboration platform. Our main aim using Workfront is to manage the capacity vs workload of our department and to be able to forecast the demand. Workfront is fulfilling our basic needs, but we feel that there is a lack of ability to create clear dashboards or to have a better visibility of critical task between multiple projects at the same time (which happens when several campaigns overlap). There are other points to improve (see Cons below), but it seems that folks at Workfront are committed to improve those areas and correct the product weaknesses.

Pros: Logging hours is not painful (as it actually sounds), there are several choices to input them and it’s quite easy to get used to the habit. The collaboration features are very good: comments, sharing if documents, approvals... Work requests via assignments are clear and provide accountability. Integrated document proofing and versioning is a must for any creative department and this one works really well. Workfront support is quick and responses are elaborated, always providing a workaround if there isn't a functionality to match your need.

Cons: Reporting is a bit limited; while basic reporting is completely fulfilled and you can present the information in clear graphs, when you try to create complex relations (historic vs forecast, capacity vs demand) things get more complicated, there are limitations and you need workarounds to obtain the desired (or closest to the desired) information. Sharing of information is cumbersome; although you can send automatic reports by email, it's difficult to distribute more elaborated pieces of information. Resource management is limited; there are tools in the system, but they are not intuitive and are a legacy of previous versions of the system. Learning curve is steep, it doesn't take much time to get familiarised with the common request-collaborate actions (which most of the users will do), but it needs much time and training to carry out actual project management processes within the system.

The Workfront system is great and is pretty intuitive to use. I've had folks around the office call it the Facebook of project management tools and it is to some degree. If your users can use Facebook, they'll be able to figure out how to use this system. The greater burden will always be on your plan license users (hopefully your project managers) to learn the ins and outs of what they can accomplish with the tool. It has a lot of features and can be customized greatly.

Pros: Lots of features and can be customized through the use of custom forms, custom intake processes and reporting tools that allow you to pull pretty much any piece of information you want to see. These reports can also be tailored to specific user groups so they see just what you want them to see or what they have specific access to see. Tasking is handled pretty easily and is aggregated for each user on their My Work page. Depending on work style and workload (# of tasks) I'd highly recommend educating folks to keep their Working On area clean and only pick up new requests as they can begin working on them.

Cons: The current iteration of the resourcing tools need some additional polish. The tool is currently built in flash and per discussions with some consultants there are 2 separate flash pieces that don't always talk to each other very well. We're waiting on additional upgrades the company is planning on making to see how we can best utilize these and report on the information they collect. There's a great grid report for showing availability across users and job roles but it is also built in flash so it's not customizable - it would be extremely valuable if it were something you could tailor and customize while retaining the grid view.

I use Workfront on a daily basis to keep track of the projects I am working on and the stage each one is in. It is extremely helpful to be able to see an at-a-glance list of the projects I'm assigned to and their due dates in the My Work view. I have used competing products when I worked at other companies (Workamajig, Harvest), and Workfront is a great combination of a robust, powerful platform with a user-friendly interface. I prefer it to any other project management system I have used.

Pros: The workflows are great for our organization, because we can easily have a project flow seamlessly from the PM to our developers/designers and then to Legal & Compliance. Tagging people is also an extremely useful feature. I love the documents tab as a repository for all the docs related to a project, and that documents can be individually commented on. It is also easy to keep track of hours spent on a project with the "Log Time" feature.

Cons: Sometimes my My Work view gets a little cluttered up with projects that are waiting to launch or stalled. I think it would be useful to be able to organize projects or hide them in order to clean up the My Work page and only see the critical projects that are in motion at any given time. Or even if I could make personal notes to myself on specific projects so that I don't have to open them up to see what stage they are in.

We have been using Workfront within the marketing department for well over a year now. We started implementation in March last year and have been using the system since last summer. We are now moving to one global instance. The system has greatly improved visibility of all marketing activity as well as everything outlined in the pros section.

Pros: • Central visibility of all marketing activity progress and status updates • Collaboration between teams regardless of location • Complete workflow/campaign management from initiation to completion • Accurately manage, allocate and track resource • Enables multiple stakeholders to review and approve campaigns • Online proofing tool - all requested changes are in one place

Cons: Resourcing and capacity planning, but Workfront are already working on improving this area.
