I was responsible for selecting Workfront from among several options and rolling out across our EMEA organisation to 8 users. It is easy to use, and has the major benefit of being customisable. I am easily able to create custom fields within custom forms, and make multiple versions of custom reports, meaning that we have tailored the solution to closely match our requirements and maximise the efficiency savings.

Our company has been using Workfront (formerly AtTask) for over a year now, but our department is just not integrating it. While it is a good tool, everything has to be custom written for your use. The subscriptions are not cheap, and do not include instructions or classes.

So, our eMarketing design team has always been very "execution" focused... yes you need Governance (evaluate the Charter and brief documents) and Reporting (who's doing what and how much of it are they doing?)...but the reality of a very small team was that we were execute / execute / execute. Per that, the team started off managing projects via XLS, which is the bare minimum you can use; with Zero project plans / work assignments or easy document sharing or communication. Workfront, then AtTask, was brought on board and solved so many problems that as the number of projects increases, the number of Design team members has not had to.

We are a growing team that is evolving from the sticky notes, constantly out-of-date spreadsheets, broken email chains and desperate scribbles on napkins era of project management and into a more streamlined system that displays real-time information. We reviewed a few enterprise level solutions and Workfront came out on top. This is a very robust system that can be viewed as overwhelming and unfriendly, however I encourage you to invest in the on-site training and education. Workfront is more than an off-the-shelf solution, this is a system that needs to be custom fit to your particular workflow and business rules. The on-site consultant not only trained us on how to make Workfront fit our needs, but also took the time to review how we operate internally and offered best practices moving forward. We are a higher education, in-house creative marketing team that has been able to manage work flow on our own up to this point, but we need a system to allow our growing team to view work status in a consolidated view while allowing our client base an easy way to request work from us and get updates without having to call or email our team. Workfront consolidates communication, documents, and media in one place. If you are a creative team, then I highly suggest the in-line proofing tool. This allows for internal and client reviews of art within Workfront. No more running print outs around the campus! Workfront gives us an easy way to track time spent on projects. We have been plagued by endless revisions, scope creep, and other death by a thousand cuts requests on projects. We now have a way to see how our time is being spent and can see potential time pit falls before they happen.
