Benefits

Workfront enables you to have a 360-degree view of work across the enterprise, helping team members and leaders to better understand and organize their work. Because successful project leaders understand that those doing the work understand it the best, making work assignments has evolved into a more collaborative process that gives individual workers more control over what they do and when they do it. This democratization of the work management process empowers workers to contribute maximum value and gives executives visibility into all projects and other work, creating workplace harmony by enfranchising workers and informing executives. Workfront supports this modern approach to work with enabling technologies that promote workplace harmony, while increasing efficiency.

The new work management paradigm enables managers to evaluate potential and current projects, set the right strategic and tactical objectives, validate corporate initiatives and promote and execute those projects that provide the greatest business value.

Alternatives to Workfront

GetApp Analysis

More than just a basic project management application, Workfront is a complete enterprise work management solution. Designed for mid-market and enterprise-level organizations, Workfront offers users robust PPM capabilities that allow to be managed from the top down, while also providing the ease of use and team collaboration capabilities that support work management from the bottom up.

Workfront encompasses all work, including planned and unplanned work, for technical users and business stakeholders, running all the way from initial requests through final reports. Among Workfront’s most innovative high-level features are project and portfolio management, resource management, workflow and automation, request management, approvals, notifications and updates, social collaboration, document management, reports and dashboards, time tracking, mobile access, and Agile project management capabilities.

What is Workfront?

Workfront provides organizations with a unified work environment where individuals and teams can connect across the work lifecycle. Workfront provides its users with complete project visibility, along with reporting tools for executives, stakeholders, and project managers.

The grass roots work management approach that Workfront utilizes is growing in popularity, as organizations of all sizes begin realizing the power of using a single system of engagement. In addition to facilitating project planning and management, Workfront enables the execution of all kinds of formal and ad hoc work using any methodology, including Waterfall, Agile, and a mix of the two.

By combining these benefits together with a variety of social collaboration features, Workfront has been able to design a solution that serves as an alternative to the disconnected tools that many organizations are accustomed to using.

Main Features

Agile Project Management

Workfront enables teams to work however they want, utilizing any methodology, including Agile, Waterfall, or a mix of the two. Die-hard Agile devotees can rely on Workfront to blend their chosen methodology with the convenience of an enterprise work management system.

Workfront’s Agile project management module combines the benefits of an Agile platform, while eliminating the communication barriers that often trip teams up. Workfront stands apart from competing solutions by supporting both Agile and Waterfall projects in a single product, leveraging native functionality, and at no additional cost. Most importantly, Workfront uniquely allows organizations to roll up Agile work into more traditional project plans, meeting the process needs of Agile development teams AND the data requirements of executives and business stakeholders doing milestone-based planning.

Resource Management

Resource management tools allow organizations to balance the workloads of individual employees or teams. Workfront’s Smart Assignments feature automatically suggests which employees would be best suited for specific tasks. Managers can quickly review what each employee has on his or her schedule before assigning any new projects.

See what each of your employees has on his or her plate before assigning new tasks. Enter the skills and the available time required to complete a certain task, and Workfront will quickly identify the individuals best suited for the assignment. In making these determinations, Workfront uses a combination of data and complex algorithms.

Project Management & Tasks

Projects are never static. Rather, they are living, breathing organisms that change and shift over time. Using Workfront’s project management features, groups can create task lists and assign tasks to specific individuals. Users can also view updates and issues in one, centralized place.

Using Workfront’s inline editing features, you can edit your list of tasks and adjust due dates based on realistic timelines and expectations. These changes are handled through real-time collaboration capabilities and an easy-to-use "My Work" screen, which eliminates the need for you to waste time navigating from project to project or page to page.

Custom Dashboards

With Workfront, organizations can collect data and create customized views for complete visibility. Rather than spending hours compiling data, businesses are able to leverage Workfront’s reporting capabilities to keep on top of key metrics.

Select from the more than 50 out-of-the-box reports that come included with Workfront. You can customize any report using the platform’s drag-and-drop tools. You can also tailor reports with customized views and filtering based on user permissions and roles.

Integrations

Workfront offers out-of-the-box integrations with Microsoft Outlook and document management solutions like SharePoint, Dropbox, Google Drive, Google Docs, and Box. Integration with ProofHQ is available to facilitate document review, markup, and approvals.

Workfront also features an open, RESTful API that allows partners and customers to easily integrate the application with third-party products and tools. Several of Workfront’s partners have leveraged its API to build connectors between Workfront and CRM solutions like Salesforce.com and PeopleSoft; Agile ALM tools like JIRA, and Microsoft Team Foundation Server; and ERP products like Oracle and SAP.

Pricing

Workfront offers two primary license types: Plan licenses, which include advanced functionality for project and resource managers, and Work licenses, which provide functionality for team members and individual contributors. Workfront also offers a Collaboration package that enables occasional project participants—such as executive sponsors or external contractors—to submit and track requests; review, approve, and comment on tasks and projects; and leverage helpdesk capabilities.

Customers have the option to choose the optimal mix of each license type to meet their needs and adjust the mix based on actual usage. Workfront also offers optional add-ons for things like increased storage, digital proofing, premium-level support, post-implementation consulting, data encryption at rest, and additional sandbox entitlements.

Bottom Line

  • Robust enterprise work management solution
  • Supports Agile and traditional Waterfall development methodologies in parallel
  • Creates visibility that teams can use for prioritization, justification, and alignment
  • Easy for organizations to adopt and use
  • Encompasses all planned and unplanned work for technical users and business stakeholders

As a brand new user I think Workfront is a fantastic program for managing time and workflow.

18/07/2017

Pros

My favorite things about Workfront is the ease of use and that I'm able to see if all my tasks are one schedule.

Cons

I found the implementation process very time consuming and would have preferred to get more hands on experience before choosing settings.

Developing integration with this software is a challenge but not impossible

18/07/2017

Pros

I like that there is a very extensive api that gives you access to most every aspect and set of data in the system

Cons

My biggest complaint would be the immediate deletion of things when users delete them. Our organization needs a trail of everything that goes.

Great tool and great team that stand behind the tool and the customer.

18/05/2017

Consolidated, centralised intelligence on the projects and pipeline.

Pros

Provides a platform that allows a smaller business team or PMO to provide big and powerful reports and insights to decision makers without end users having to be experts.

Cons

Reliance on daily input of data from teams. Teams that are unable (or unwilling) to provide daily updates take away from the impact of the product.

Increased visibility of project progress. Cloud-based document storage. Reporting functionality.

Pros

Reporting functionality is fantastic. Is able to give us visibility of so many different things that we need to monitor and act on for each project.

Cons

Not able to store historical data in the same way as current-state data for the purposes of monthly comparison e.g. savings figures on a project

From a constant stream of chaotic, seemingly unstructured requests to a streamlined intake of work.

18/05/2017

Having a singe route for the marketing operations team (our internal agency) to take in work has created more structured, more consistent intake so work can be assessed more easily. It has completely stopped requests getting stuck in peoples email inboxes or sent to the wrong person. We now also have greater visibility of projects and requests. Can asses the type and volume of work so we can schedule resources easier and plan for future recruitment better.

Pros

It has broad functionality and follow typical project management flows and tools such as agile and different project views. It is rich enough to run complex projects and you can simplify it to make it easier to use for users that have no or limited project management experience. The system administrator can do most, if not all, configuration so you keep control of the system in-house without needing consultancy. I particularly like that you can report on all fields in the system, even against custom forms, so if you have a non-standard project need you can report on it.

Cons

Out of the box there are no templates or workflows, which means you start from scratch. There would be nice to have had some basic flows to start with. Some of my colleagues in the marketing team found the broad functionality, needing to access different screens to do different work, quite intimidating. This can be solved with custom dashboards, but as a project management tool designed for marketers (who don't usually have project management training) having an out of the box 'simplified view' would be good.

Wouldn't be without it now. It is vital for our project management and data analysis for planning.

18/05/2017

Visibility and transparency across our projects (10 per year), more accurate information for resource forecasting and project planning.

Pros

Personally, reporting is the most useful for me. I run reports daily to glean information for resourcing and future project planning. For our editors, the project plans are vital to manage 100s of tasks in one place and assign work to their team members.

Cons

It can be slow and temperamental at times. Dragging and dropping tasks is a no-no! You never know where it will end up! It is largely intuitive but I have found that it is only by trial and error that I have learned how to ask for what I want to see in reports. Not always immediately obvious. Updates can affect reports also and render them useless / not working as they were before the update.

We are using the product in an hospital environment for 4 years for every kind of project.

18/05/2017

We could register all projects in our institution and could supply dashboards to our top management.

Pros

Very high communication capabilities: very advanced tools for designing and customizing dahsboards. Strong capabilities in defining customized forms (custom data) Vey advanced API interface (we used them to interface Workfront with 4 different products) Powerful setup capabilities which are really great. The product is very felxible and can match any kinds of project types.

Cons

The learning curve is quite high if you want to take benefit of all the powerful capabilities. The product has currently two GANTT charts (a legacy one which has an advanced graphical designer built in Flash with no evolution, and a new one in HTML). The new one is simple and promising but needs further graphical enhancements. There are on-going implementations.
