Repository of questions and answers that are easily accessible from a supported web-browser.

Pros

Ease of use, including importing and exporting entries. Web-based system accessible from any supported web-browser makes it an ideal tool when there is a need to work remotely.

Hi Christina. Thank you for posting a review. We can clear up one of your main issues - regarding 'review' notices. We do that already. Check your setting for Entry Aging (on the Account tab). It is currently set to 365 days, but you can set it to 270, 180, 90, or even 30 days. This causes review notices to be emailed to approvers when content expires based on that schedule. Next, edit your personal preferences and turn on 'Subscribe to Approvals'. This will include you on any review notifications that you have been designated as an approver for (based on the entry's category). You can also use search Macros to find content that is set to expire soon.

Search has also recently been updated. In addition to manual searches for specific words, phrases, or whole questions, we have recently added RapidResponse into the RFP Tracking & Triage section. It recommends up to 4 approved responses for each question in your RFP, based on your currently-approved library content.

I find it a bit hard to manage old entries, perhaps due to the layout. It can feel a bit overwhelming.

These apply the search technology to every question in your RFP vs. the single-search method you are currently using.

There may be ways help you with managing older entries too. In addition to the Entry Aging setting in effect, be aware of the search macros that show you which entries are due to expire within 5, 10, 30, or 45 days. There are also search macros that show you which entries have been edited or approved today, within the last week, last month, or YTD.

Our customers are in Software, Healthcare, Wealth Management, IT Services, etc. One thing that makes it work in such a range of industries is that you can change the names, meanings, and functions of most of the baked-in filters. You can also define new Knowledge Types on the fly as well as ear-mark certain entries as 'Internal Only'. No argument from us on the 'Sexiness' of the UI. We certainly focus on the function over the glitz. Again, thank you for your repeat business with us.

This in combination with SO many other great features like the ability to rate entries, multi-language capabilities, RFP/project tracking tools, analytics to show win rates and reporting to show what is missing in a super easy tool to manage takes the focus away from 'just get it done' and makes RFP's about focusing on high quality, differentiated responses with less time and effort!

Thank you. There are more complex solutions out there, but as you have pointed out, our focus on the response (vs playbooks or PPT decks etc.) is exactly what is needed by many. As you have also pointed out in emails directly to us, RFPMonkey is not the sexiest software in the world, but it reliably does what is supposed to do:

1) be the library/repository of approved content which is easy to search and

2) record and track specific RFPs and report on their progress.

And it does these vital things in a rock-solid, easy-to-learn and easy-to-use way. Thanks again for a very positive review.

Thank you Heather. Entry Aging is certainly a valuable feature, as knowing that your content is up-to-date is vital.

I can see how basic users could get a bit lost. We'll look at simplifying (without losing functionality). In the meantime, keep in mind that the UI removes links that are not accessible based on a user's permissions. So you might consider creating limited User Roles for your basic users. This will hide from them features that you don't want them using anyway.

Also, we would be happy to run an overview/refresher session for your team to make sure that everyone has what they need.

Thank you Heather. You are exactly right - searching older RFPs is not very efficient (mostly due to poor cross-document search facilities). Putting the content into a searchable database helps companies large and small to reuse their content, catalog it, filter it, automatically expire it, etc.

And thank you for noticing that the larger competitors add not only complexity, but also implementation time, learning curve, and dollars.

Note to the world - Since this original review, VTrenz was acquired by Silverpop. Then Silverpop was later acquired by IBM. RFPMonkey had many users (around 200) in VTrenz and Silverpop. Sadly, we have not had the pleasure of serving IBM. Maybe some day.

Thank you Ashwini. We appreciate your support and value your inputs. We are in the middle of some UI tweaking which will help some of your users. Please also be aware that there are some configurations/customizations available based on permissions that you don't currently have access to.

Also, we are always happy to receive enhancement requests. If there are specific customizations that are of interest, please submit them through our on-line Support Portal. We evaluate each request. Some are already available (but controlled by someone else in your organization). Others are not yet available but are good candidates for standard enhancements. Some requests aren't right for all clients but can be built as client-specific code. We don't do many of those, but they do happen.

Thanks Gina for many years of trust. You are not our longest-running customer, but one of the top. Having been around since 2006, we have a couple that go back almost to the beginning.

The 60% time savings you cite sounds about right. You can't expect to totally automate the process, but you can certainly save tons of time. We're often told by folks who had tried a much larger proposal automation type of soln, that after months of implementation, and 10's of thousands of dollars, they still hadn't achieved 'automation', and that the portion of the tools that they used day in and day out was (you guessed it) the repository. So we continue to focus there.
