VendorGuard overview

What is VendorGuard?

VendorGuard by Axivra is an AI powered vendor governance platform that automates the complete vendor lifecycle management process through a unified interface. The platform consolidates vendor onboarding, security assessments, compliance monitoring, contract administration and offboarding within a single system that replaces manual tracking and spreadsheet based workflows. It serves organizations subject to data protection regulations and industry standards such as the General Data Protection Regulation, SOC two and ISO twenty seven thousand one as well as emerging legal frameworks like the EU Artificial Intelligence Act. The design of the system aligns with the needs of data protection officers, security teams, legal professionals, IT operations and procurement specialists responsible for upholding comprehensive third party risk management programs.

The platform offers more than two hundred seventy pre configured compliance checklist items organized by vendor type that generate role specific tasks across nine lifecycle stages from initial evaluation to archival. A five dimensional risk scoring engine assesses vendors on security, compliance, operational, financial and reputational factors and prioritizes mitigation plans based on assessed risk. The Vendor Autopilot component acts as an autonomous AI agent that goes beyond conversational responses by creating tasks, updating vendor statuses and triggering notifications through Slack, email, Jira and custom webhooks according to defined automation rules. Role based access control enforces five distinct user permissions and assigns tasks to administrators, security officers, legal reviewers, IT operators and system owners in dedicated inboxes that filter assignments to prevent overlapping responsibilities.

The Data Access Map provides an interactive, force directed visualization of vendor connections to internal systems and data categories with risk encoding and contract context embedded in the graphical output that can be exported in scalable vector graphics format. For compliance with data protection requirements, Article thirty records of processing activities are generated automatically in both comma separated values and portable document formats derived from live vendor and system information. The EU Artificial Intelligence Act functionality proposes classification tiers and includes fields for Annex three, General Purpose AI and Fundamental Rights Impact Assessment with legal approval gates that block prohibited or unverified high risk AI vendors. An append only audit trail captures every action, approval and status change along with actor identification, timestamps and contextual details to support regulator ready reporting.

VendorGuard integrates with scanner and identity management solutions such as Amazon Web Services, Microsoft Azure, Okta, Microsoft Entra Identity and Active Directory as well as endpoint detection and response tools to import system inventories automatically while also supporting manual registration of systems. Native connectors for email, Slack, Jira and webhook endpoints enable automated notifications and task execution across existing workflows. Administrators can configure email templates, define service level agreement policies for vendor follow up and schedule compliance reports for distribution to stakeholders at regular intervals. Customization options include adapting compliance checklists to internal policies, mapping governance activities to multiple regulatory frameworks and implementing legal hold workflows for data preservation during investigations. Support for single sign on authentication ensures centralized access management in enterprise environments.
