Citation Manage overview
What is Citation Manage?
Citation Manage™ is a software that helps businesses identify regulations and required actions, convert compliance actions into tasks, and manage permit conditions. It uses natural language processing, machine learning, and human curation to convert regulatory requirements into structured datasets, reducing errors and improving performance. Additionally, it applies effective management of change for compliance documentation, helping businesses avoid potential legal risks.
Key Features and Benefits:
- Uses simple questions to identify, understand, and respond to relevant regulatory requirements and obligations. Our analysts review all regulations to identify potentially applicable compliance requirements, and then distill volumes of this information into workable passages for the user.
- Offers functionality covering awareness, applicability, task writing, compliance action alerts, verification, report generation, change management through versioning, and risk assessment and audit capabilities.
- Citation Manage allows the user to incorporate company policies, standards, sustainability initiatives, ESG metrics, permit requirements, and other supplementary requirements, allowing you to store all information in one place along with the regulatory information that comes as part of Citation Manage. This allows the user to avoid duplicate effort in managing multiple systems and or information repositories.
- Lists requirements, both legal and supplementary, including subject area, citation, title, summary, and supporting links all in one view.
- Allows multiple-user options for sharing knowledge with key stakeholders to streamline decision-making.
- Gives full-text EHS regulations & statutes.
Citation Manage has revolutionized the arduous task of developing and maintaining a site’s Compliance Assurance Management System. Using Citation Manage as the foundation of a company’s compliance assurance management system gives way to the adage, “in order to end right, you must start right.”
Citation Manage is recognized as the leader and de facto standard for addressing the challenge of monitoring, managing, and maintaining complex EHS issues.
Key benefits of using Citation Manage
Defining Operations – Define locations and operations as many reviews consist of more than one. You will be able to answer each high-level and detailed applicability question in your review separately for each operation in each location. A mechanism also exists to allow you to give the same answer for every location/operation.
Permit, ESG Metric, and Sustainability Initiative Tracking – In addition to national, regional, and local law and regulation requirements you can add policies, standards, directives, and procedures that are specific to your company or review.
Subject Matter Experts (SMEs) - SMEs have advanced knowledge in a specific area, practice, process, technical method or piece of equipment or they can be third-party contractors who offer subject matter services on an hourly or service fee basis. Each requirement in Citation Manage is associated with a subject area, such as Air, Water, Waste, etc.; There are 18 of these areas that are used for pre-defined requirements. You can assign one or more SME to each subject area in your review (The SME is not required to be registered on the platform).
High-Level Screening - Answer qualifying and applicability questions to fine-tune and determine which legal requirements are relevant to your specific operational sites.
Detailed Screening – Following the high-level screening you are left with requirements for which you answered "yes" or "unsure" during the applicability questions. In most cases, each high-level requirement has several detailed requirements where we ask action statement questions to determine the applicability at the operational level (i.e. Submit annual GHG report no later than March 31 of each calendar year per 40 CFR 98.3(b)). This leads naturally into writing tasks.
Task Writing – Write tasks for any detailed requirement, operation, policy (ESG), or procedure that you indicated was or might be applicable during the screening process; There may be any number of tasks for each. This now ensures those requirements are taken to the point of compliance in the field. If you later make more detailed requirements or policies applicable, you will be able to write more tasks. If you change the applicability of a detailed requirement or policy from applicable to not applicable, you will permanently lose any tasks connected to it (our system will warn you before making the deletions).
Task Creation Options - Create tasks for yourself or your teams, select who is responsible, objectives, due dates, and frequencies. It also allows for identification of operational controls (e.g. ANSI standard) and evidence records.
Worksheet Queue - A list of all requested worksheets. These are excel reports to help your team work towards full compliance.
Requirement Changes – Displays regulatory changes (e.g. additions, deletions, or modifications) since your current review was created and how many tasks are associated with that requirement. You can decide if you want to do a new version at this time.
Updates and Versioning Capabilities – When regulations are updated, there’s an option to create a new version of your review with old versions of data saved and kept at the company’s disposal; This will assist with both internal and external audits and compliance processes by ensuring data is stored from specific times.
Risk Assessment – Assign monetary or downtime figures to each category of risk (environment, health, safety, or security), and then identify areas of regulatory compliance vulnerability by answering 13 questions about each applicable regulation. Citation Manage then evaluates and ranks the risks, enabling you to prioritize and address the largest risks first.
