Email Backup Tool for Microsoft 365 and Outlook overview

What is Email Backup Tool for Microsoft 365 and Outlook?

Without an Office 365 backup, your mail lives only on Microsoft servers, and you may not have a copy of it anywhere else. That is fine until an employer turns off access on your last day, a university deletes graduate accounts on a schedule, or a free inbox fills up and stops accepting new letters. Email Backup Tool for Microsoft 365 and Outlook is a Windows program that solves this problem in one place: it signs in to the account you own and copies the mail into a PST file that sits on your computer.

Most guides on this subject are written for tenant administrators and assume PowerShell, compliance search roles and a console. This tool is meant for the person whose name is on the mailbox, and an Office 365 backup made with it belongs to that person alone. No server component is installed, and nothing is uploaded to a third party along the way.

📌 Situations where it helps

A consultant is about to finish a contract and has three years of client threads in a company account. She ticks Inbox, Sent Items and her project folders, limits the range to the contract years, and runs an Office 365 backup over lunch. The PST goes into her own archive folder.

A retired teacher has used the same Hotmail address since 2009, and the account is near its storage cap. He runs an Office 365 backup of everything older than two years, checks the file in Outlook, and then deletes old letters online to free room.

A graduate gets a notice that her school account closes in thirty days. Her school mailbox may require IT approval at sign-in, so she opens the explanation screen the program shows before login and forwards it to the help desk.

🚀 How to start

1. Install the program on a Windows 10 or 11 PC and run it.

2. Press Sign in and complete the Microsoft login that appears in the program window.

3. Decide on the scope: tick or untick mailbox folders and set the From and To dates. Microsoft filters by date before any download begins.

4. Open a few letters in the reading pane to confirm this is the right account. External images are blocked there.

5. Pick a destination, press Export messages and leave it running. If the network drops, run the job again and it continues from the saved point.

👥 Who it is for

- People changing jobs who need an Outlook email backup they control.

- Students and alumni with school accounts that expire.

- Small business owners on Microsoft 365 who want an offline record of their own correspondence.

- Long-time Outlook.com users who want old mail off the server but still readable.

Not covered in this version: Gmail and Google Workspace, contacts, calendars and tasks, shared or delegated mailboxes, scheduled runs, and copying mail into another account. Output is PST only, so an Office 365 backup in any other format is out of scope.

❓ FAQ

How long does a Microsoft 365 backup take? It depends on Microsoft request limits more than on your hardware. In our test a 200,000 message mailbox finished in about three and a half hours.

How much free disk space do I need? Roughly the size of the mailbox. The program checks before it starts, and it also warns if the target folder is a compressed NTFS folder, since that can multiply the space used.

Is my password stored anywhere? No. Login happens on the Microsoft page, and the access token exists only in memory while the program is running.

Can I export an Office 365 mailbox to PST from a work account? Yes, if your organization allows the sign-in. Some tenants require an administrator to approve the app first.

ℹ️ Download the free trial to test your own mailbox: it writes a working PST with the 25 most recent messages of every folder. Email Backup Tool for Microsoft 365 and Outlook is sold as a lifetime, 1-year, monthly or business license.
