IPBases overview

What is IPBases?

IPBases is a self-hosted intellectual property practice management platform for law firms handling trademarks, patents, and industrial designs. Deployed on the firm's own servers under a one-time perpetual license with no per-seat fees for up to 25 users, it consolidates the full IP matter lifecycle — filing, docketing, deadline tracking, renewals, billing, document storage, and client and associate portals — into a single system with one shared database and one audit trail. The platform is available in English and Arabic, with a specific focus on IP attorneys, trademark agents, and practices operating in the GCC and Middle East region.

IPBases structures trademark records around a single record per mark, capturing name, class, jurisdiction, status, client, associate, and complete history. A guided filing workflow covers application entry, document attachment, invoicing, and client notification. Rule-generated docketing automates deadline creation with a full audit trail, while automated renewal reminders fire at configurable intervals (defaulting to 90, 60, and 30 days before due date). Reminder emails are grouped per client to reduce notification volume, and a full mail log provides an evidence record of all reminders sent. Patent and industrial design matters share the same client base, billing module, and audit trail as trademarks, keeping all IP types under unified management.

The billing module ties fees to individual matters, supports associate routing and fee splits, and integrates with the invoicing workflow. Reporting and analytics cover renewals due, jurisdiction spread, and collection rate, with CSV export available. Role-based access control governs user permissions across the system. Because IPBases runs on the firm's own infrastructure, all data remains under the firm's direct control, with no reliance on a third-party SaaS environment.
