Microsoft 365 Reports overview

What is Microsoft 365 Reports?

Microsoft 365 Reports is a desktop-based reporting and analytics application designed for IT administrators, operations teams, security auditors, and IS personnel responsible for managing Microsoft 365 environments. The tool generates over 200 ready-to-use reports across Exchange Online, SharePoint Online, OneDrive, Microsoft Teams, and license usage — without requiring PowerShell scripts or custom code. Reports are delivered directly to the user's desktop and can be exported to Excel, Word, PowerPoint, and PDF formats, or scheduled for automated email delivery at daily or weekly intervals.

Microsoft 365 Reports covers a broad range of reporting categories. Exchange Online reports include mailbox configuration, mailbox size and permissions, non-owner and shared mailbox access, send-as and send-on-behalf permissions, mail traffic (inbound and outbound), mail volume by subject, size, and keywords, top senders and receivers, attachment-based reports, email response time, public folder reports, and message tracking. SharePoint Online and OneDrive reports cover site inventory, site administration, site permissions, OneDrive permissions, file and page activity, and sharing and access request activities. License reports provide visibility into license usage by organization or tenant, license details by users and groups, used and unused licenses, license-to-user matrix views, and license breakdowns by Active Directory attributes. User and group reports track recently added, deleted, or updated users and groups, login history, last logon dates, failed login activity, locked accounts, and admin and non-admin role assignments. Microsoft Teams reports cover team and channel listings, meetings, deleted teams, usage, and security. Audit and compliance reports address file and folder activity, mailbox activity, site and role administration, group and user administration, and sharing activities. Dashboard summary reports present charts and data tables for mailbox size, mail traffic, user and group changes, password changes, and mobile devices.

Microsoft 365 Reports serves organizations of varying sizes across IT administration and compliance-focused industries. The reporting scope supports governance workflows including user access rights management, internal security threat assessment, data loss prevention review, and capacity planning. The breadth of pre-built reports and export options positions the tool as a centralized resource for administrators who need consistent, auditable visibility into their Microsoft 365 environment without relying on scripting expertise.
