Teams Chat Exporter is a data export and archival solution for Microsoft Teams environments that enables organizations to permanently retain and securely manage complete chat conversations. It supports compliance with regulatory requirements for chat retention and audit trails in regulated industries. The software installs directly within an organization’s existing Microsoft three sixty five environment and grants employees immediate self service capabilities to export any chat conversations in which they participate, whether one to one discussions or group exchanges.

The solution captures both individual and group chat histories along with associated files, images and documents. Users initiate exports through a straightforward interface that requires no specialized IT expertise. Exports run in the background and generate archives in HTML format that are fully searchable and filterable. The process typically completes within one to two minutes for conversations containing around one hundred messages and may take up to one hour for histories with thousands of messages. Upon completion the system stores exported archives in the user’s OneDrive directory for download and long term retention. The exporter collects all files listed under the shared tab of each chat and supports inline images and hosted content in version one point three point zero point zero, subject to API permissions. These archives operate independently of the cloud environment once downloaded.

Installation requires administrative permissions in the Microsoft three sixty five environment, including roles such as System Administrator, System Customizer or Environment Admin, and at least one Microsoft three sixty five Business Basic license. The solution does not support Teams Essentials licensing. Chats with external participants are exportable unless restricted by the external organization’s configuration. Licensing tiers correspond to the number of active Microsoft accounts in the tenant. The small tier covers up to fifty accounts, the large tier accommodates up to two hundred fifty accounts and the enterprise tier addresses deployments with more than two hundred fifty accounts and includes dedicated support services.

Technical documentation is available publicly on GitHub to guide integration and usage. The enterprise tier includes sixty minutes of remote installation support, regular updates with new features and API adaptations and access to a dedicated support email address under fair use guidelines. Other tiers receive support on a time and materials basis. A trial version is available for enterprise evaluation prior to purchase.
