Planning takes an afternoon. Telling fourteen people what is theirs, every week, takes fourteen filters, fourteen copies and fourteen emails. The people who do the work cannot open the plan, so they get a spreadsheet built by hand, and every copy and paste is a chance to put the right dates against the wrong person.

SendTask for Microsoft Project is a Windows application that does that job in three steps: open the plan, choose who and what, send.

• Reads .mpp, .mpt and .xml files straight from disk: Microsoft Project does not have to be installed, open or the same version.

• Each resource receives an email with their own tasks and an Excel sheet attached, or the summary table in the body alone.

• Three layouts per profile: standard (one line per task), day by day (a 22-day window with planned hours) or percent complete.

• Summaries, milestones, finished tasks, tasks too far ahead and your own exclusion list never appear in a sheet.

• Resources with no email address are listed with a warning instead of being dropped.

• Emails leave from your SMTP server and your address; the password is encrypted on your machine.

• Interface and workbooks in English, Italian, French, Spanish, German and Portuguese, chosen per resource.

• Master plans are traversed, with tasks grouped by the project they came from.

SendTask tells people what is theirs and stops there: it never writes to the plan and never locks the file. Collecting the sheets back into Microsoft Project is a separate product, GanttTimesheet.
