Each request passes through an automated approval sequence that includes multiple review stages, AI enabled validation for procurement policy compliance, and routing capabilities for additional information. The workflow accommodates reassignment of approval tasks, rejection with documented reasoning, and multi-level authorization protocols. Upon approval, suppliers receive email notifications with secure links to the order in their APOS account. Suppliers may accept orders for fulfillment or reject them with justification. Real time tracking monitors completed orders and backorders. When orders reach full or partial fulfillment status, the system generates onscreen alerts and email notifications containing secure links that enable purchasers to confirm or reject fulfillment details.

APOS integrates with ADIS (Amarac Dynamic Inventory System) to synchronize procurement activities with inventory control functions. This integration facilitates automated inventory replenishment workflows and delivers visibility into stock levels relative to outstanding orders. The AI enabled validation component analyzes purchase order requests against established policies to identify potential violations, budget threshold breaches or non-compliant purchasing patterns before orders advance through the approval chain.

The platform maintains comprehensive audit trails of all purchase order activities, including request submissions, approval actions, supplier responses, fulfillment updates and acceptance decisions. These audit records support compliance requirements and procurement analytics initiatives. Continuous communication between purchasing and supplying parties is maintained throughout the procurement cycle via secure notifications and embedded links.
