Dokuflex Document Management centralises, classifies, secures and retains company documents, and connects them to the processes that use them.

Organise and find: folders, tags and metadata you define, natural-language search, and OCR so scanned files are searchable.

Control: access per document by folder, role or project; immutable, exportable logs of who viewed, edited or downloaded each file, when and from which IP; versioning with change tracking.

Retain and prove: retention periods by document type, a warning before any purge and secure deletion at expiry; qualified time-stamping and SHA-256 hashing.

Work in the browser: open and edit Word, Excel, Google Docs and PDF files without downloading them.

Workflow included: approvals follow business rules, notify the next person by email, Teams, Slack or SMS, and can include e-signature in the same flow. Dashboards show step times and bottlenecks.

Security: AES-256 at rest, TLS 1.2+ in transit, EU data centres (Spain and Germany regions), a GDPR Article 28 DPA by default, or on-premise with the same features. ISO/IEC 27001 certified; ENS Medium certification in progress.

Migration from network folders, SharePoint, Drive or Dropbox is included in onboarding, with a reconciliation report.
