Every Thursday at three in the afternoon the system delivers a post-ready schedule package that includes a formatted PDF for board posting, an Excel workbook with the final schedule, exceptions log and risk flags, multiple draft options with comparative scoring, a manager summary detailing drafts built, callouts covered, changes applied, pending approvals and budget impact, and a complete audit trail documenting every modification with timestamps and attribution. The callout management feature allows managers to log absences at any hour and receive the top three replacement candidates with justification based on rest periods, qualifications and fairness distribution. Fairness tracking operates automatically across weekends, nights, holidays and overtime assignments with configurable rules. Competency-based scheduling ensures required skill levels on each shift, PRN staff scheduling aligns with availability markings and holiday rotation is tracked annually.
Implementation follows a two-week process with no IT involvement and no requirement for staff accounts. The service begins with submission of existing staff lists and shift structures in their current Excel format. Hospital-specific rules are configured and mapped to the scheduling engine. A test cycle runs against the actual roster for validation before the first live schedule posts. Final schedules can be adjusted in Excel and re-imported for processing.
