SYS Accesible is a Spanish SaaS platform for managing the safety documentation exchanged between a company and the external companies working at its premises, known in Spain as coordinacion de actividades empresariales (CAE) under Royal Decree 171/2004 and article 24 of Law 31/1995.

Where it applies

Wherever workers from different companies share a workplace, in any sector: factories and warehouses with outside maintenance, hotels, hospitals and care homes, shopping centres, office buildings, farms, logistics centres, residential buildings run by property administrators, and construction sites. It is not limited to construction.

How it is structured

Data is organised in four levels: the managing account, the client company (titular), its workplaces, and the projects running at each one. Requirements can be defined at any of these levels, so a document may be demanded of every contractor of a client, only at one workplace, or only for one specific project.

What can be required

Requirement types are created by the user, not imposed by the platform. Each one can be defined for companies, workers, work equipment, chemical products, vehicles or vehicles with machinery. For every requirement you set whether it is mandatory before entering the workplace, how long it remains valid, what will be accepted as proof, and an optional template for the contractor to download.

Roles and access

Eight role types with separate permissions: manager, manager collaborator, client company, read-only client, workplace supervisor, contractor, project user and administrator. A user can hold more than one role. Contractors log in to their own space, see only what concerns them and upload their documents there.

Validation and traceability

Validation is a human decision, never automatic. It can be performed by the managing company or delegated to the client company while the manager keeps full visibility. Every document keeps its upload date, expiry date, validation status and complete history, so any past state can be reconstructed.

Information in both directions

Beyond requesting documents, the platform publishes information to contractors: workplace risks, safety instructions and coordination measures, attached at company, workplace or project level and available in each contractor's own access.

Support and onboarding

Every screen carries its own contextual help, adapted to the role of the user viewing it, so no manual is needed. Support runs on a ticket system with attachments and traceability, escalating from contractor to client to manager.

Free tier

The free tier is limited by usage, not by time: it does not expire. It covers one client company with one workplace and one project, unlimited contractors and up to 25 assigned workers, which is enough to run a whole workplace with its concurrent companies from start to finish.
