Workbay is cloud-based workshop management software built for independent vehicle repair workshops in Ireland and the United Kingdom, covering HGV and trailer workshops, van and light commercial vehicle workshops, and car garages. The mobile app runs on iPhone, iPad, and Android and operates fully offline, queuing entries on-device and syncing automatically when a connection is restored. An administrator web portal provides browser-based oversight. The backend runs on Google Cloud infrastructure in the European Union (Belgium).

Workbay covers the full workshop workflow: job cards with labour, parts, and works descriptions; pre-loaded inspection sheets (HGV safety inspection, service sheet, pre-test checks for cars and vans, and vehicle health check); defect recording with photographs and rectification notes; and a vehicle history timeline. Compliance date tracking spans CVRT, NCT, MOT, annual test, tachograph, and service dates, with amber alerts surfacing three weeks ahead of due dates so workshops can proactively offer pre-test checks. Estimates are sent by email and approved with a single tap. Numbered VAT invoices are delivered and chased automatically via Stripe, with payment accepted by card, bank transfer, SEPA direct debit, and Tap to Pay on iPhone or Android. Additional modules include an online customer booking page, staff rota with shifts and time off, parts and stock management, performance reporting, and accountant exports. Two UI shells are available: a two-tab mechanic view with 60-point touch targets sized for nitrile gloves on a trolley-mounted iPad, and a five-tab office view.

Workbay is structured around two plans. The Standard plan provides a single user licence suited to owner-operators. The Premium plan offers unlimited user licences for workshops with a full team, and includes one optional AI feature: a mechanic may request that the app tidy the spelling and punctuation of a works description. The text is sent to the Google Gemini API, a suggestion is returned for review, and the mechanic decides which version to keep. No data is sent without explicit request, and personal data is not used to train AI models. Prices and labour rates are locked to the job at the time of recording, so updating a price list does not alter issued invoices. A 14-day free trial is available with no payment card required.
