Restrictive functional boundaries

Digital Media Systems Lead

We feel like there are a lot of limitations to what can be done with the automations

53% of reviewers feel negative about Zapier’s limitations. Users say the platform imposes constraints on the complexity and number of automations, often due to plan limits or technical restrictions. They mention issues like rate limiting, limited customization options, and restrictions on multi-step Zaps or API calls. Reviewers note that some integrations lack depth, making it difficult to fully automate certain workflows. Many express frustration with upload size limits, trigger limitations, and the inability to handle more advanced or specific use cases, which can hinder broader adoption for complex business needs.

Expensive premium features

I wish there were lesser subscription price point as I don't use a lot of zaps right now to justify the amount I am paying but I need it for some features not available on the free version.

49% of reviewers feel negative about Zapier’s paid features. Users say that essential functionalities, such as multi-step Zaps, webhooks, and premium app integrations, are locked behind higher-priced plans. They express frustration with the lack of a pay-as-you-go model and the need to subscribe to expensive tiers even for minimal usage. Reviewers mention that the jump from free to paid plans is significant, often making it hard to justify the cost for small or infrequent tasks. Many feel that the pricing structure forces them to pay for more than they need, especially when only a few features are required.

Frequent errors and troubleshooting

List Ops Spec

The error detection process could be more user-friendly, currently the interface to solver those glitches feels not so intuitive and requires some level of coding to resolve the integration's issues

63% of reviewers feel negative about Zapier’s bugs and issues. Users report that Zaps can stop working unexpectedly, often without clear notifications or explanations, making troubleshooting difficult. They find error messages and logs confusing, especially for non-technical users, and say that resolving problems often requires tedious step-by-step testing. Reviewers mention that platform updates or changes in connected apps can break automations, and customer support is sometimes slow or unhelpful. Many express frustration with the lack of intuitive debugging tools and the need for constant monitoring to ensure workflows remain functional.

Zap management challenges

Technical Director of IT

There are also limitations when it comes to decision paths on how many paths you can have and sub-paths. If you have complex use cases, you have to have zaps within zaps (called sub-zaps), which is not ideal and creates additional overhead from an IT perspective.

41% of reviewers feel negative about managing Zaps. Users report that building, maintaining, and troubleshooting Zaps can be confusing and time-consuming, especially for complex workflows. They say that errors in Zaps are often hard to diagnose, and changes in connected apps or data can break automations unexpectedly. Reviewers mention limitations on the number of active Zaps, challenges with debugging multi-step processes, and the risk of hitting monthly caps. Many find the learning curve steep, especially for non-technical users, and express frustration with the lack of advanced customization and organizational tools for managing numerous Zaps.

High and scaling costs

Co-Founder

We had to pay for the higher tier plan (professional plan) as otherwise the custom logic and apps like shopify don't work.

It is very pricey, and getting more expensive all the time. While I still find value in it, you basically have to spend at least $600 per year (currently) to get full function out of Zapier and even that gives you a small pool of actions that can quickly be exhausted.

50% of reviewers feel negative about Zapier’s pricing. Users report that the free plan is very limited, restricting the number of Zaps, steps, and premium app access. They say that as automation needs grow, costs can escalate quickly, making it expensive for small businesses or those with high task volumes. Reviewers mention that advanced features and multi-step workflows require higher-tier plans, which may not be affordable for all users. Many express frustration with the steep jump between free and paid tiers, and the challenge of justifying the expense for limited or occasional use.

I love all the notifications we get with zapier run errors and the ability to see where exactly the hangup is, what it is, and the ability to in-line edit the data and re-run the errored steps to avoid interruptions.

Manager

For the dealership it connects leads and paperwork triggers into my CRM and notification tools without me having to manually enter anything, which keeps things moving even when I’m not sitting at a desk.

Maintenance Manager - Amsoil Inc

The pricing model based on the volume of executed tasks becomes extremely expensive for continuous industrial usage. If a sensor sends data in a continuous loop, the monthly plan can be consumed in just a few days

Head of Growth

Pricing scales aggressively as task volume grows. Once you're running enterprise-volume workflows across multiple CRMs and ad platforms, the per-task cost becomes a real line item to defend, and it's easy to blow through your tier without realising it.

On the deal monitor side, it watches for triggers and automatically pushes alerts or updates into the channels I actually check, so I’m not manually refreshing anything or missing a good opportunity because I wasn’t looking at the right moment.

Multi-step Zaps, Paths (conditional logic), and Formatter are powerful once you understand them, and the recent AI-assisted Zap builder has cut setup time noticeably.

Technical Support Engineer

My favorite feature is the ability to make small automations, which update spreadsheets, inform teams, or automatically open tickets when some events occur in other systems.

Chief Revenue Officer

Occasionally, our cost will spike when running large volumes of data; however, every time I submit a ticket to their support team, they close it without ever fixing the Ruby code issues I have.

Real Estate Agent

It helped Villalba Propiedades automate data syncing and document exchanges, conserving time and minimizing human errors in everyday agency operations.

Owner

My favorite feature is that you can actually explore your Zap runs and Zapier will show you successful runs or why a Zap failed.

ERP Supervisor

We've had a lot of success using Zapier with our booking system to integrate it with other tools, like Slack and Google Sheets.

Digital Marketing Manager

Improves conversion tracking abilities when it comes to monitoring ad performance, allows for more advanced integrations between CRMs & Ad Platforms

Graphic Designer

Occasional glitches can occur, but there is customer support that reacts and can help solve problems within a reasonable time. Although the price is a little steep, it is worth considering for any creative professional who is handling multiple tools and is pressed for time.

Co-Founder and Chief Executive Officer

It brings my toggl timekeeping info into my cms so I don’t have to keep track of all these different dates.

It's not the cheapest option once you scale, and it's not the deepest for complex enterprise logic, but for speed-to-value and breadth of connectors it's still the default.

We’ve built tailored Zaps that handle everything from internal scheduling tasks to automating client-facing workflows in sales.

Marketing and Communications Executive

If a workflow involves multiple steps and runs thousands of times a month, the monthly bill gets very heavy.

I no longer have to manually enter data into JIRA and SAP which has eliminated another thing from my list of things to worry about.

It’s especially helpful for handling repetitive tasks like updating client records or tracking inquiries.

Sr. People Ops

Zapier is a great platform to automate and sync processes, saving a lot of time and reducing the risk of manual errors, while keeping a simple and interactive UX.

Tax Advisory

We set up triggers in Missive (like receiving a new email or comment) to initiate actions in other apps, such as creating tasks in project management tools or sending notifications in communication platforms.

Systems Engineer

I am a web designer and sometimes I need to integrate localized forms into my website, so that they can be integrated with other tools such as CRM, Google Sheets, etc.

Aquatics Administrator

I love that it has so many different software that it integrates with, alongside its built in sorting features which helps when the info you receive from all the different software can be sorted easily to only extract what you are after.

Realtor

This platform is essential within my company because it has native integration with practically any platform that is currently used in the work world and in case a complete integration is not available, they can be created manually, although it will cost a little effort but it is worth it.

In a previous job I built a lot of Zaps for customers, having the ability to copy workflows I've developed into their account was a massive win.

I also hate it that some of the features such as the time delay feature do not automatically come with the software.

Operations Coordinator

Zapier powers a lot of our automations from emails, texts, data gathering, and task updates.

Troubleshooting a broken zap isn’t always straightforward either since it’s not obvious which step in the chain failed, so you end up clicking through everything trying to find where it broke.

Training and Development Manager

It is great for automating data from one platform to another, so we no longer are required to do manual entries of data from Wufoo to TrackVia.

Assistant

Able to integrate all the platforms, you can automate a lot of simple tasks and free a lot of time for focus tasks.

Director

Overall this is a great system and I use it for multiple clients to automate everything from updating contacts in Mailchimp to ensuring all web forms get submitted to the right place.

Zapier has become an integral component of my software suite, building automated connections (zaps) between my CRM and website, or marketing programs.

Project Manager

Zapier has a great concept and offers a lot of potential for streamlining workflows and automating tasks. While the platform’s idea is impressive and promising, my experience has been somewhat mixed due to the limited support options available for paying subscribers.

Zapier helps me connect them, so I'm not wasting my time keeping them updated or notifying the team about changes.

Zapier allowed my company to streamline internal processes and manage org workflows much seamlessly and faster.

This allows me to simply "click" the connector I want and then automatically integrate.

Community Manager

It’s super handy for automating my recurring tasks, supports several integrations, and lets me connect my CRM to Excel.

Zapier is a resourceful tool that allows users to automate various activities by linking different applications and not necessarily utilizing laymen's abilities to code

Additionally, while the interface is user-friendly, troubleshooting complex Zaps with many steps can sometimes be a bit tedious when trying to pinpoint exactly where a data mapping error occurred.

For example, when someone books an appointment through TidyCal, Zapier instantly adds them to my email marketing list, tags them appropriately, and sends a welcome message—all without me lifting a finger.

IT Administrator

In a world of APIs and the need to have constant integrations, you can't go wrong with Zapier.

Quality Assurance Lead

Zapier saves me time and reduces staffing costs, enabling my team to focus on more complex processes. If you’re looking for a reliable way to scale operations and optimize workflow, Zapier is worth every penny.

Tech Specialist

Overall Zapier will save you time and money with how many features it has, it helps keep small to medium companies stay up to date on modern advancements in technology.

Software Developer

It’s been a huge help when using standard tools instead of developing custom solutions and at all before MCP.

More documentation to address advanced data management issues would be desirable.

The number of available apps and triggers is impressive, and even with minimal technical knowledge, I can set up workflows (“Zaps”) that save me hours each week.

Zapier connects all my software seamlessly, and once a zap is set up, it runs reliably without much attention from me.

Customer Support Manager

I can automate a few tasks that take time to do, such as updating spreadsheets and set up notifications for tasks

Managing Director

It is our go-to integration platform when we need one to bridge into high-end applications like Office365 and Google Reviews.
