BayQuote is quoting software purpose-built for landscaping and hardscaping contractors — not a general-purpose invoicing tool with quoting bolted on. It's designed around the way contractors actually work: on-site, on a phone, with a job to price before the next appointment.

How it works

On a site visit, a contractor snaps a few photos and adds a short description of the work. BayQuote's AI reads the photos and notes and drafts a line-item estimate — the scope and quantities (square footage, linear footage, etc.) needed for the job. Every line item is then matched against the contractor's own price book and priced using their own rates. The AI never invents a price: it drafts scope, the contractor's price book supplies the numbers, and every rate and quantity is editable before anything is sent.

Price book & team

Contractors build a reusable price book (flat-rate or cost-plus-markup pricing, their choice) that every quote pulls from automatically. An existing price list can be imported by photo or spreadsheet upload rather than re-typed by hand. Team members can be invited to a shared account so every quote, customer, and price book entry lives in one place instead of scattered across individual phones.

Sending & accepting quotes

Finished quotes go out as a branded PDF and email (or SMS), with an accept-by-link page the customer can open and approve directly from their phone — no login, no printing, no in-person signature required. Quotes can be sent in multiple languages (English, Spanish, Vietnamese, Tagalog, and Chinese) so the customer receives it in the language they're most comfortable reading, independent of what language the contractor's own team uses in the app.

Getting paid

Contractors can collect a deposit or full payment at the moment a customer accepts a quote, via Stripe Connect. Funds go directly to the contractor's own bank account — BayQuote never touches or takes a cut of the payment.

Staying on top of the pipeline

A sent quote that goes unanswered gets one automatic follow-up reminder. A shareable lead-capture link (for a website or social bio) lets prospects request a quote directly, landing as a ready-to-price draft in the contractor's queue. Accepted jobs can carry a before/after photo gallery for the contractor's own marketing, and any sent quote can be revised into a new linked draft in one tap rather than rebuilt from scratch.

Security & access

All traffic is encrypted in transit (HTTPS/TLS). Login uses session-based authentication with rate-limited login and password-reset endpoints to slow down credential-stuffing attempts. Payment card data is handled entirely by Stripe's PCI-compliant infrastructure — BayQuote's servers never see or store card numbers.

Platform

BayQuote runs as a mobile-first installable web app (PWA) — no app-store download required, works in any modern mobile or desktop browser, and can be added to a phone's home screen like a native app.
