GoPlanner Visitors is cloud-based visitor management software that streamlines the reception of guests, customers, suppliers, contractors and consultants, from pre-registration to check-out. It replaces the paper logbook and photocopied IDs with a digital, traceable, GDPR-compliant flow in which visitors check themselves in and hosts are always kept informed.

How it works

1. Pre-registration: the host invites the visitor by email, also straight from Microsoft Outlook or Google Calendar. The invitation carries a QR Code, PIN or smartphone token and any documents to read and sign before the visit (privacy notice, company safety rules).

2. Arrival and check-in: at the front desk or on a self-service touchscreen kiosk. The visitor shows the QR Code, collects a temporary badge and is logged. With the NFC reader, data from electronic ID cards and passports fills the form in seconds, with no manual typing and no photocopies.

3. Host notification: an immediate alert by email, SMS or phone call, configurable per visit type.

4. Visit and check-out: every passage through the gates is tracked; at check-out the visit is closed in the digital log, ready for reporting.

Security and privacy

Visitors integrates natively with the other modules of the GoPlanner suite: Access (access control and gates), Time (time and attendance), Booking (meeting rooms, desks and parking) and Mensa (meal vouchers, also for guests). It connects to SAP, Microsoft Dynamics, ERP and CRM systems and to Active Directory / SSO through APIs and webhooks.
