What is Invio?
Invio is a web-based invoicing and quoting platform for Australian sole traders, tradies, contractors and freelancers, with a New Zealand edition that switches to the New Zealand GST rate and invoice fields. It runs in any modern browser on Mac, Windows, Chromebook and phone, with no installation. Core functions cover the full billing cycle. Quotes and invoices are built from line items with quantity, rate and amount, or from text lines with no price, and frequently used items can be saved to an item library. Lines can be typed or dictated by voice. Each invoice carries a client, issue and due dates, an optional purchase order number that prints beside the invoice number, payment terms and notes, and can request a deposit. Amounts can be entered tax-exclusive or tax-inclusive, and GST is calculated per line at 10 per cent in Australia or 15 per cent in New Zealand, with zero-rated and exempt items supported. Subtotal, GST and total recalculate as lines change, and the business ABN is pulled from business details onto every tax invoice. Before sending, an email preview shows what the client will receive, and a readiness check confirms that core account details are in place. Invoices go out by email as an online link or PDF, and each one records whether the client has opened it. Payment can be taken by card or bank transfer from the invoice itself through a Stripe connection, with any card processing fee shown before sending. Payments received outside the platform can be recorded manually against the invoice, and the balance due updates accordingly. Automated reminders run on overdue invoices until payment lands and can be switched off per invoice. Recurring invoices repeat a one-time invoice on a schedule, and credit notes handle corrections to invoices already issued. The editor warns when a due date has already passed, and overdue invoices surface on the dashboard, which reports amounts paid this month, awaiting payment, overdue and total collected, alongside a list of invoices slipping past their due date. Expenses are captured with a photo of the receipt and filed against the relevant job. Reporting prepares GST figures by BAS quarter, and an export produces CSV for any chosen date range, which suits a monthly GST cycle as well as a quarterly one. Invio does not lodge the BAS. Integrations are deliberately focused, with each one tied to a specific job in the billing cycle. Stripe handles card payments. CSV export moves invoice data into Xero and MYOB. An optional AI connector links an Invio account to Claude or ChatGPT, so the assistant can answer live questions about what is owed and which clients are late, and draft invoices from a job note; ChatGPT use requires a paid ChatGPT plan. On the security side, an invoice sent through the AI connector passes the same bank-detail and email checks as one sent from the Invio interface, and any AI connection can be revoked from settings at any time. Users who trade under more than one business or brand can switch between them from one login, and a website widget captures quote requests into an enquiries inbox. Branding settings cover logo, payment terms, invoice numbering, bank account and a default footer note, applied to every document that follows. Support comes through an email help desk, a knowledge base, FAQs and written documentation, plus a library of guides on Australian GST, tax invoices, payment terms and overdue invoices. Invio does not include payroll, bank reconciliation or kilometre tracking, and is designed to sit alongside an accounting package rather than replace one. For a sole operator whose admin is mostly quoting, invoicing and chasing payment, that narrow scope keeps setup short: business details, bank account and branding are entered once, and the first invoice can go out the same day.
