The software features a catalog-based quoting system that maintains a centralized repository of products, services and charges to ensure consistent pricing across all users. Quotes convert to contracts and contracts convert to invoices in a single step without manual re-entry of line items, fees or taxes. Professional PDF documents can be generated for quotes and invoices, emailed directly or downloaded, and optional access-code protection prevents unauthorized viewing. Every send action and client update is recorded in a complete history log for future reference.

VendorMode includes customer and vendor management capabilities that organize contact information, track document activity and support seamless handoffs between team members. Job progress communications can be sent directly from contract records, maintaining a comprehensive communication history within each job. The billing dashboard provides visibility into billed versus collected amounts, outstanding balances and accounts receivable aging across customizable date ranges, with filters available for individual user and company-wide views.

The platform accommodates teams that begin with formal quotes as well as those that proceed directly to contracts or work orders without a preliminary quoting stage. Payment collection is managed externally and marked as collected within the system to keep billing records accurate. All outbound communications are transactional, limited to document delivery and essential account notices, and the software functions as a self-contained solution without native integrations or external API access.
