What is INDOC?

INDOC is a document management software system designed for Colombian organizations seeking to digitalize, organize and control the full lifecycle of documents in compliance with Law 594 of two thousand and AGN regulations. The solution operates through two integrated modules: Correspondencia for official communications management and Archivo for lifecycle document management across active, central and historical stages. The platform supports both public entities and private companies under the Colombian archival regime.

The Business Process Management engine automates workflows without the need for programming expertise. It enables configuration of procedures by defining stages, activities and responsible parties for each document process. Document types are linked to their workflows so that transfers between departments occur automatically according to predefined rules while deadlines and responsibilities are enforced with pre-expiration alerts. Unlimited optical character recognition processing enhances image quality, extracts text with high precision and indexes it for full searchability without page restrictions. Integrated electronic invoicing captures incoming invoices, extracts key data from XML or PDF files and organizes them for internal registration without manual entry.

The Correspondencia module provides automatic registration for multiple communication types, configurable workflow definitions, real-time dashboards with expiration alerts and integrated file preview. Its native integration with the Archivo module imports registrations directly into expedientes. The Archivo module implements lifecycle stages defined by Law 594 of two thousand, featuring retention table parameterization, automatic foliation, single inventory format generation, dual-confirmation transfer workflows, controlled lending and disposal formatting in accordance with AGN Agreement four of two thousand thirteen.

INDOC delivers granular permission controls through customizable role-based profiles and records each action with user identification, timestamps and detailed audit trails for complete traceability. Multi-site operation support enables unified management of geographically distributed locations. Universal file preview ensures access to any file type within the system. Real-time dashboards display operational indicators, registrations by department, upcoming expirations and compliance metrics. The system generates comprehensive reports on document activity, traceability and performance. Enterprise authentication integrates with corporate directory services for secure login and confidentiality controls restrict access to sensitive expedientes to authorized profiles.
