The platform employs a four-stage workflow architecture consisting of connection, classification, execution and approval phases. It integrates with enterprise systems through secure application programming interfaces and connectors to Outlook, Exchange, SharePoint, Microsoft Office three sixty five, customer relationship management, document management and human resources environments. The classification engine automatically categorises incoming requests by type, including data subject access requests, legal queries, freedom of information requests and complaints, and assigns urgency with transparent reasoning available for verification or override. For data subject access request automation specifically, the platform validates requests, verifies identity, classifies submissions against UK GDPR Article fifteen requirements, issues ICO compliant acknowledgments, gathers relevant data across connected systems, constructs a map of personally identifiable information, applies automated redaction with full audit logging, and compiles comprehensive response packages for final lawyer approval.
AiLA extends automation to trademark and patent portfolio management through dedicated modules. The trademark portfolio management module retrieves live registry data, tracks renewal and contentious deadlines, monitors registry correspondence and employs an AI agent to automate routine filings and form preparation. The patent portfolio visibility module consolidates multi-jurisdiction patent data, tracks annuity deadlines and examination status, parses office action emails and utilises an AI agent to manage routine payments and deadline tracking.
The platform maintains UK data residency by default with all processing and storage occurring on Azure infrastructure within the United Kingdom. It implements automatic identification and replacement of personally identifiable information with synthetic data prior to any large language model interaction to ensure that all data remains within the customer Azure environment. A zero retention policy prevents data storage or reuse by AI models without explicit consent. Bank grade encryption secures all traffic and documents in transit and at rest. Comprehensive audit trails capture every action, including redaction decisions and approvals, and granular role based access control governs all permissions. Customer data is never used for AI model training. The security architecture was reviewed by Baker McKenzie and DLA Piper and the platform participates in Barclays Eagle Labs and Lawtech UK programmes. Integration setup typically requires hours rather than weeks and the system is built against UK GDPR requirements, ICO guidance and UK employment law rather than being adapted from United States or European Union models.
