Alpha Events overview

What is Alpha Events?

Alpha Events is the all-in-one platform for music events, from club nights to festivals. It brings planning, booking, ticketing, on-site operations and the visitor experience together in one back office.

Planning and organization: A dashboard shows key figures, a setup checklist and open to-dos. Create events with slug, logo, status and scanner PIN, and archive them when done. Kanban task boards support deadlines, checklists, comments and @mentions. A team calendar handles invitations, reminders and calendar subscriptions. Invite team members and define roles and functional areas.

Artists and booking: Manage artists with photos and promo videos, and bands as bookable groups. Send booking requests, negotiate fees, and let artists accept or counter-propose in the portal. Riders cover technical and hospitality requirements with a composer, starter sets and fulfillment status. Day sheets per act list arrival, soundcheck, set time and rider. Plan stages and set times in the timetable, open slots for applications, and print it. Track stage equipment per stage and match it against riders.

Crew and vendors: Manage crew, helpers and external contacts and grant portal access. Plan areas and shifts, assign crew and collect shift applications via the portal. A vendor directory stores companies with trades, contacts, ratings and cost history.

Ticketing and entry: Sell tickets through your own Stripe account with custom design, discount codes, refunds and statistics. Guest lists work with quotas via link, QR guest passes, a check-in scanner and CSV export. The ticket scanner runs on any phone with email and event PIN.

Cashless and POS: Run bar and merch registers with cash, card (SumUp) or NFC payments. NFC wristbands carry access rights and credit, topped up at the register or online.

Visitor app: An event app without an app store offers program, timetable, map, favorites and wallet. The artist matcher lets visitors swipe through acts and get a personal timetable. A news feed, push notifications and reminders for favorite acts keep the audience engaged.

Budget and site: The cost planner compares plan vs. actual, reads invoices with AI and pulls revenue from shop and POS. Draw the festival grounds as an interactive map for the app and for planning. Infrastructure planning calculates power and water, draws fences, creates material lists and share links.

Marketing and feedback: Newsletters with double opt-in, an email editor and campaign tracking. Free or tracked QR codes with scan statistics. Surveys via link with filtered analysis and CSV and PDF export. Application forms with an inbox and one-click transfer into contacts.

Portal and integrations: A self-service portal gives artists and crew their shows, shifts, riders and documents. The event API publishes events to platforms and calendars. Settings cover company data, Stripe, SumUp, buyer texts and email language. Credits with packages, auto top-up and invoices. Notifications for mentions, proposals, applications and reminders. Accounts support optional 2FA and multiple accounts in one browser.

AI features: AI drafts tasks, shift and budget plans, reads invoices, riders and band lists, estimates power and rental costs, analyzes surveys and writes newsletters. Every AI result is a suggestion first and is only applied after confirmation. Bea, the AI bee, guides new users through the back office.
