What is BuildMind?
What BuildMind does
BuildMind keeps one number current on every job: committed cost — what you've paid plus what you still owe. Both sit side by side on one live budget bar, per cost line, so a line going over surfaces before the invoice arrives rather than at month-end.
Who it's for
Residential builders, general contractors, and trades running cost-plus, management-fee, or fixed-price jobs — the people personally on the hook for the budget, where a single project can run from a few hundred thousand to well over a million.
How a cost gets captured
Anyone who spends — crew, office, or an invited supplier — photographs the receipt, e-transfer record, or supplier invoice the moment it happens. BuildMind's AI reads the vendor, amount, and tax and suggests the cost code; you review and confirm. On confirmation, one pass updates the budget comparison, the cost record, the payment record, and the accounts-payable balance. Approving a cost is a decision, not data entry: you see its effect on the line before it is locked in.
Crews buy materials on site, out of pocket, small and often, with no purchase order. BuildMind books those reimbursable costs the same fast way instead of assuming a clean PO flow.
Budget lines are not silently editable. Changing a line requires a basis — estimate, contracted, or change order — plus a written reason, and can carry an attached contract or CO photo. Every change is kept in a per-line history showing the old and new amount, the basis, the reason, who made it, and when. Raising a line does not erase the original: the previous amount stays visible in that history.
Two ways builders use it
On cost-plus and management-fee work, BuildMind produces owner-ready cost records, so you can show where the money sits without a month-end scramble.
On fixed-price scopes, it gives early warning when a line starts eating the margin, while there is still time to act.
When the books are due
Match every invoice to its payment and mark payments cleared against your bank statement. One tap then exports a bookkeeping-ready CSV with QuickBooks-ready columns, plus a zip of the original receipt images renamed to a consistent format your accountant can work with — no manual renaming, no chasing paperwork.
Vendor profiles carry across all of your projects, so you can see what you have paid a supplier, what you still owe them, and on which jobs.
What BuildMind is not
BuildMind is a job-costing tool, not a construction management suite and not an accounting system. There is no direct accounting integration and no two-way sync — data leaves as CSV export only. There is no bank feed, no client or owner portal, no change order workflow (no owner approval routing or e-signature), no scheduling, no site logs, no safety checklists, and no estimating. Not affiliated with any other company using the name BuildMind.
Where it runs
Project and cost work happens in the BuildMind iOS app. There is no Android app and no web app for project work; the website at buildmind360.ai is where you create an account, choose a plan, pay, and view billing. Built and supported in Vancouver, BC by BuildMind Canada Technologies Ltd.
