Droplana overview
What is Droplana?
Droplana is a client document portal and document exchange platform for service businesses that work with multiple clients. It gives each client a private, persistent portal for sending files, collecting documents, exchanging messages, requesting approvals, and tracking file activity.
Clients access their portal through a single link and do not need to create an account or install an app. Businesses can upload files for clients, request documents from them, add comments to individual files, track when files are viewed or downloaded, and revoke access when a client relationship ends.
Droplana is designed for agencies, accounting and legal firms, consultants, mortgage brokers, developers, designers, and other professional service businesses that have outgrown email attachments, shared folders, and expiring file-transfer links.

Droplana is designed to work alongside existing business software rather than replace it. Teams can continue using tools such as Microsoft 365, Google Workspace, Figma, Notion, Asana, Slack, Linear, GitHub, CRM systems, accounting software, and invoicing platforms. Droplana provides the client-facing layer for exchanging files and information.
For security, Droplana uses TLS 1.2/1.3 for data in transit and AES-256 encryption for files at rest. File encryption uses a key derived specifically for each client, providing an additional security boundary between clients. PostgreSQL, application configuration, and logs are stored on LUKS-encrypted disk volumes. Each client's portal and data are isolated from other clients at the application level.
Businesses can choose between Strict, Controlled, and Relaxed client access levels depending on the sensitivity of their work. Strict access uses email verification and does not allow shareable permanent links. Access can be revoked immediately, invalidating the client's active sessions and access tokens. Security-relevant events including authentication, portal access, file uploads, downloads, deletions, approvals, and team changes are recorded in audit logs.
Droplana is hosted in Germany on Hetzner infrastructure. Application servers, PostgreSQL, and S3-compatible file storage are located in the EU. Droplana is operated by Ubique d.o.o., an EU company registered in Croatia. A Data Processing Agreement is available, and Droplana does not use Google Analytics, advertising trackers, or customer data for AI model training.
Droplana is intentionally not an all-in-one CRM, project management system, document editor, or task tracker. It focuses on the client-facing exchange of files, documents, feedback, approvals, and related communication.
