GAEB-Online 2025 is a Windows desktop application for creating, editing, pricing, and exchanging bills of quantities (Leistungsverzeichnisse) using the GAEB standard — the mandatory electronic data exchange format for public and private construction tendering in German-speaking markets.

Core Functions

The application covers the full tendering workflow: import a GAEB tender document, review and structure the bill of quantities, enter or auto-suggest unit prices, and export the completed response file. A built-in AI Price Navigator analyses position texts and automatically suggests unit prices based on previously completed projects, using local semantic similarity models (MiniLM) combined with keyword matching. The more projects are processed, the more accurate the suggestions become.

Multi-User & Network

The price database (gaebItems.db) can be placed on any SMB network share — a Windows Server share, a NAS (QNAP, Synology), or a standard Windows 10/11 shared folder. All workstations read from and write to the same file. No dedicated database server or middleware is required. Concurrent write access is managed automatically via SQLite WAL mode with a configurable 5-second retry window.

Security & Data Privacy

On-premise by design: all project data and price databases remain on your own infrastructure. No mandatory cloud connectivity, no data transmission to external servers.

Local AI processing: the semantic similarity models run entirely on the local workstation. No document content or price data leaves the machine during AI analysis.

Automatic backups: before every write operation, the application creates a backup copy of the price database (up to 3 rolling versions stored in a _backups subfolder next to the database file).

Corporate proxy support: HTTP/HTTPS proxy with authentication (Basic, NTLM, Windows credentials) for licence validation and update checks in managed enterprise networks.
