MDMS (ModernDMS) is a browser-based, multi-tenant dealer management system for equipment, machinery and commercial vehicle dealers, hire fleets and service workshops. It is built for Australian tax and banking: GST tax invoices, ABA bank files, a BAS worksheet and an STP-shaped payroll handover file.

Core data model

Each machine has one serial-numbered record that carries its purchase, build, service, hire and warranty history. Documents auto-number (for example QT, SO, BO, PO, INV, WO), every change to key records is written to an audit trail by database triggers, and multi-table actions such as goods receipt, work order completion and warranty settlement run as single server-side transactions.

Modules

Fifteen modules are sold separately: CRM, CPQ and quoting, Sales, Equipment, Parts, Warehouse, Service workshop, Field service, Warranty, Rental, Finance, Customer portal, HR and workforce, plus two premium modules, General Ledger and Operations, and Equipment Dealer Suite. The premium ledger adds a native double-entry general ledger with trial balance, profit and loss, balance sheet, cash flow and BAS reports.

Field app

The technician app is an installable PWA. Jobs, labour, parts, photos, signatures and checklists are cached on the device and replayed idempotently when the connection returns.

Integrations and api

Xero: invoices and supplier bills are pushed to your own Xero organisation and payment status is read back. A REST API with scoped API keys and an OpenAPI description reads customers, equipment, parts, work orders, invoices, deals and suppliers, and writes deals, work orders, invoices and suppliers. Admins can also register outbound REST connections and signed outbound and inbound webhooks. CSV import covers 16 datasets, with a setup wizard and sample data you clear before go-live.

Security and access

Tenant isolation is enforced in the database with row-level security. There are 19 roles, a user can hold several, and each action is checked again server-side.
