RecordFlow is cloud-based software that archives Zoom cloud recordings automatically, the moment a meeting ends, to storage already owned: Google Drive, Dropbox, Microsoft OneDrive, a private YouTube video, or S3-compatible storage (Amazon S3, Cloudflare R2, Backblaze B2, Wasabi, MinIO). Recordings stream from Zoom to the destination in small pieces rather than a single download-then-reupload hop, which is where most Zoom automation tools fail on long files.

HOW IT WORKS

Sign-in happens through Zoom, with no separate RecordFlow account. Pick a destination and connect it — Google Drive and OneDrive let a folder be chosen directly, Dropbox uses its own app folder, and S3-compatible storage takes a bucket, an optional key prefix, and an access key pair scoped by a least-privilege policy RecordFlow generates for the chosen provider. From that point every new recording lands within minutes of a meeting ending, and existing history can be backfilled from the past month up to ten years.

TECHNICAL DETAILS

Recordings start moving within minutes of a meeting ending, with an hourly safety check as a backstop so nothing depends on a single attempt succeeding. Large and password-protected recordings transfer without extra configuration, and a failed transfer retries automatically with no action needed. Google Drive access uses the narrow "drive.file" OAuth scope (RecordFlow can see only files it creates); Dropbox access is limited to RecordFlow's own app folder; S3 access is limited to the bucket and prefix named at setup. Stored credentials are encrypted at rest, and recording bytes are never written to disk on RecordFlow's own infrastructure.

WHAT GETS ARCHIVED

Video (MP4), audio (M4A), a transcript in Zoom's raw VTT form plus a formatted, readable document and a plain-text copy suited to search and AI ingestion, and the chat log (TXT). Transcript headers can list who attended, with the email Zoom discloses for each participant. Zoom AI Companion output is archived as well: meeting summaries as Markdown and Word documents, and AI Companion transcripts for meetings that were never cloud-recorded. Files are organized by year and meeting date — a year folder holding one dated, topic-named folder per meeting — with optional per-series folders that collect every session of a recurring meeting or class in one place.

ADMIN-MANAGED MODE

One Zoom account administrator can install once and archive recordings for every opted-in member of the account into a single organized root, with one sub-folder per member. Built for university IT and operations teams managing account-wide Zoom storage rather than one person's own recordings; opt-in per member is reversible.

OPTIONAL AUTO-DELETE

Frees Zoom cloud storage on a safe delay: off by default, and when enabled, the Zoom copy is moved to Zoom Trash only after the archived copy is verified in the destination, where it stays recoverable for 30 days.
