RefAssure is web-based software that takes the chasing out of employment references for UK hiring teams: employers and HR, recruitment and staffing agencies, care providers, schools and trusts, and healthcare and logistics employers.

The workflow: add a candidate and their referees, which takes about two minutes. The candidate signs consent online first. Each referee then gets a secure link by email, plus a text when a mobile number is given. They need no account and can answer on any device. Anyone who has not replied is reminded automatically with 5 emails and up to 2 texts over 12 days, and the reminders stop the moment a referee submits.

Problems are caught early. Bounced referee and candidate emails are flagged, usually within minutes, so a replacement referee can be added before a start date slips. If a referee replies by email instead of using the form, the reply is captured against the candidate.

The output is a signed, timestamped PDF for each reference, with an audit trail of consent, requests, reminders and completion. That is the kind of record clients, CQC and Ofsted ask for.

Questionnaires: 5 starter templates (Basic, Standard, Comprehensive, Character, Performance), custom templates with ratings, yes or no, dates and free text, or upload your current reference form as a PDF or Word file and AI turns it into a template in about 20 seconds.

Pricing is pay as you go. The first reference is free with no card needed. Credits then cost 99p down to 80p per referee request, with no subscription, no contract, no per-user fees and no VAT added, and they never expire. Unlimited team members share one credit pool. Data is hosted in the UK. Signup is self-serve, with no sales call needed.

On the platform the median time to a completed reference is about 23 hours, and half arrive within 24 hours (229 completed references, October 2026).
